APPLICATION DESCRIPTION
Foodees Fest is accepting applications for Interactive Activations and Experiential Vendors for our event at West Town Mall in Knoxville (September 4–6, 2026).

This category is reserved for high-impact, guest-facing experiences designed to engage attendees beyond traditional vending.

Examples include:

VR experiences
Golf simulators
Gaming trailers
Interactive sports challenges
Mobile attractions
Photo/video activations
Brand activations
Ticketed or free-play experiences
This is a high-traffic, family-focused event, and we are selecting a limited number of activations that:

Draw attention
Handle volume efficiently
Are visually clean and professionally operated
Fit within a fast-paced outdoor environment
 
WHAT’S INCLUDED
Designated activation space based on your footprint
Placement within high-traffic areas when possible
Opportunity for direct engagement, lead capture, or ticketed participation
Inclusion in overall event exposure and marketing presence
 
REQUIREMENTS
Participation is required for all three event days
All activations must be family-friendly
Vendors must be fully self-sufficient (no power provided)
Generators must be 70 dB or less
Full setup footprint must be disclosed (including trailer, stairs, queue lines, etc.)
Must be capable of managing lines and guest flow within assigned space
 
INSURANCE (REQUIRED WITH APPLICATION)
All activation vendors must:

Carry general liability insurance ($1,000,000 per occurrence minimum)
List Foodees, LLC as Additional Insured
Submit a valid Certificate of Insurance WITH the application
Applications without insurance will not be considered.

VENDOR GROUP (MANDATORY)
All approved vendors must join the Foodees Vendors & Sponsors Facebook Group.

This group is where ALL final event information is posted, including:

Load-in times (typically Thursday + Friday morning)
Maps and placement
Permit and compliance details
Final event updates
Failure to join the group does not exempt you from any requirements.

Foodees Fest – Knoxville (West Town Mall)

By submitting this application and/or completing payment, you agree to the following:

 
1. Approval & Placement
Submission of an application does not guarantee acceptance. Foodees Fest reserves the right to approve, deny, or remove any applicant at its sole discretion.
All placement, layout, and positioning decisions are final.

 
2. Full Participation Required
This is a 3-day event. Vendors must operate during all scheduled event hours:

Friday: 1 PM – 9 PM
Saturday: 11 AM – 9 PM
Sunday: 11 AM – 7 PM
Late arrival, early breakdown, or failure to operate all days may result in removal without refund and loss of future booking eligibility.

 
3. No Refunds / No Transfers (STRICT POLICY)
All fees are final and non-refundable.

No refunds will be issued for any reason, including illness, emergencies, weather, travel issues, or inability to attend
No transfers to other events are permitted
No credits will be issued
Failure to attend does not qualify for any refund, transfer, or credit.

 
4. Insurance Requirement (MANDATORY)
All activation vendors must:

Maintain general liability insurance with a minimum of $1,000,000 per occurrence
List Foodees, LLC as Additional Insured
Submit a valid Certificate of Insurance with the application
Failure to provide or maintain insurance may result in denial or removal without refund.

 
5. Vendor Responsibility & Liability
Vendors are fully responsible for their:

Equipment
Staff
Operations
Guest interaction
Safety and supervision
Foodees Fest is not liable for any injury, damage, loss, or claim arising from vendor operations.

 
6. Footprint Disclosure (REQUIRED)
Vendors must disclose their complete operational footprint, including:

Trailer and tow vehicle
Stairs, ramps, or platforms
Queue lines
Generators
Any additional space required
Failure to disclose full space needs may result in denial, relocation, or removal without refund.

 
7. Power & Equipment
Power is not provided. Vendors must be fully self-contained.

Generators must be 70 dB or less
All equipment must be safe, secure, and suitable for outdoor public use
 
8. Guest Experience & Content Standards
All activations must be:

Family-friendly
Professionally operated
Safe for public participation
Foodees Fest reserves the right to restrict or stop any activity that negatively impacts the event.

 
9. Line & Crowd Management
All lines must remain within the assigned footprint unless otherwise approved.

Failure to manage crowds appropriately may result in required operational changes or shutdown.

 
10. Compliance
Vendors are responsible for obtaining and maintaining all required:

Permits
Licenses
Safety approvals
All local, county, and state regulations must be followed.

 
11. Vendor Group & Communication (MANDATORY)
All vendors must join the Foodees Vendors & Sponsors Facebook Group:

This group is the primary source for:

Load-in instructions
Maps and placement
Permits and compliance updates
Final event communications
Failure to monitor this group does not excuse non-compliance.

 
12. Load-In, Attendance & Early Exit
Vendors must arrive during assigned load-in times and remain for the full duration of the event.

Failure to comply may result in:

Removal without refund
Forfeiture of future booking opportunities
 
13. Media Release
By participating, vendors grant Foodees Fest permission to use photos, video, and brand likeness for marketing and promotional purposes.

 
14. Chargebacks
Chargebacks and payment disputes are strictly prohibited.

Any vendor initiating a chargeback may be permanently banned from all Foodees events and subject to collection action.

 
15. Removal Rights
Foodees Fest reserves the right to remove any vendor at any time for:

Policy violations
Safety concerns
Misrepresentation
Unprofessional conduct
No refund will be issued.

 
16. Additional Documentation
Foodees Fest may request additional documentation at any time, including:

Insurance updates
Waivers
Safety procedures
Setup diagrams
Failure to provide requested documentation may result in removal.

 
17. Assumption of Risk
Vendor assumes all risk related to participation, including weather, attendance, operational performance, and equipment.

Foodees Fest does not guarantee traffic, engagement, or financial results.
