Game on Expo Space Application

Game On Expo is celebrating our 12th anniversary, and we welcome a diverse range of vendors, from retro gaming, to modern pop culture, to art and collectibles. When applying, please note if you need hotel accommodations. We strive for a fantastic vendor experience, and we can't wait to see what you bring to the expo floor! 

Early Bird Prices end April 30, 2026 (must be signed up and paid before May 1st, 2026 to receive the Early Bird discount). 

1. Full payment must be received within 30 days of the received invoice. After December 1, 2026, invoice payments are due upon receipt of invoice. Your space will not be confirmed until payment is made. 

2. Vendor set-up times and event times are strictly enforced. Vendors must have all booth items ready each day by the time the event is open to the public. 

3. Vendors must be open and remain accessible to attendees during all hours of the Game On Expo vendor hall. vendors must NOT begin moving displays until the event is completed at 5pm on Sunday January 17th, 2027.

4. Payments for Wi-Fi, electricity, additional tables and chairs are handled by third party companies. If you are interested in more information, please indicate on your application. 

5. At the conclusion of the Game On Expo, Vendor will properly remove all items, displays and other material from the booth, which includes proper trash disposal. If you are bringing special equipment or arcade machines, please talk to us in advance and we can make special accommodations for additional move out time or assistance. Vendors must be moved out no later than 11:00pm on Sunday March 17th, 2027

6. No food or drinks can be sold or given away by any Vendor without prior approval. If you plan to provide food/beverage samples or sales, please let us know. Failure to gain approval may result in removal from the event with no refund. 

7. No amplified music or microphones are permitted within the vendor hall or convention center. This is a disturbance to the neighboring vendors. 

8. Each person behind the vendor booth must have a visible vendor badge displayed. Each Vendor will be provided passes to the expo. Extra vendor badges can be purchased at a discounted rate. 

9. Smoking is permitted in designated outside areas only. Consumption of alcohol is limited to alcohol purchased by the venue (if applicable) and only in designated areas. 

10. Maintain your vendor area immediately surrounding your space in a neat and reasonable manner free of garbage and debris. Failure to do so may subject Vendor to a fine or other appropriate sanction. 

11. Game On Expo is a family friendly event, so any inappropriate items including but not limited to profanity and any lewd content (including products, images, or handmade items) must not be publicly visible in the vendor’s space. Failure to do so will result in Game On Expo asking to remove such items from your vendor space. A second warning will result in removal of your vendor space from the event without refund.

12. Space assignment is in the sole discretion of Game On management. Game On Expo will try its best to accommodate your request, but cannot make any guarantees. 

13. Vendor is solely responsible for paying any applicable state, local, and federal taxes, and for obtaining any required business licenses. 

14. Vendor agrees to abide by all local, state, and federal law. 

15. Vendor agrees to abide by all Phoenix Convention Center rules and regulations, a copy of which is available upon written request to the Game On Expo management.

16. Vendors will not hold Game On Expo responsible or liable for any breaches, losses, or damages to themselves or their property. 

17. No bootlegging/knockoffs, or AI art creations of any kind are allowed at Game On Expo. 

18. If selling video games, homebrews and fan translation games are permitted, however no repros of video games are permitted, unless clearly communicated and priced accordingly. 

19. Only certain replica weapons are allowed per Phoenix Convention Center rules. If you are selling any type of weapon or replica, please notify the Game On Expo team for approval. 

20. If Game On Expo has to postpone the event due to a pandemic or force majeure, vendor spaces will be carried over to a later rescheduled Game On Expo event. 

21. Vendors are not allowed to resell or sublease their space to another vendor without any prior approval by Game On Expo.  

22. Vendors must be set up and be at the event during allocated vendor times.  Failure to not be set up on time will result in not being allowed back to sell at future Game On Expo events. 

23. Your display must be contained within your allotted space and must not block the pass through or aisles for any vendor or attendee. 

24. No refunds will be provided after December 1st, 2026. If you are unable to be at Game On Expo after this date, please contact the Game On team and you may request that your vendor space be carried over to Game On Expo 2028. 

25. Each space is provided one table and two chairs. If you need extra tables or chairs you can either bring them yourself or rent them from CSI either through pre-order or onsite.  If caught stealing any tables and chairs that are not yours, you will forfeit your vendor space and will be asked to leave without refund. 

26. Marketing similar events without prior approval will result in removal from the event. 

27. No marketing, solicitation, or outside sales is permitted outside your assigned vendor space without prior approval. 

28. All applications will be reviewed by the Game on Expo management. Vendors of items that are not related to gaming or anime (i.e. cellular phone companies, home repair & remodel, vacation rentals, hotels, etc.) do not qualify for vendor space and will be redirected to our sponsorship team. All decisions made my the Game on Expo management team are final.

Vendor Hall Spaces

• All items (products, signs, and art) visibly displayed must be family friendly. No profanity, nudity, or other adult content is allowed to be publicly displayed.
• Prices do not include electricity, wi-fi, carpet, parking, or additional furnishings. Options for these items will be communicated to approved vendors prior to the event.
• Prices do not include transaction fees and sales taxes. 
• Additional tables and vendor passes are available for additional costs.
• All spaces include company listing on Game on Expo app.

Premium Corner 10’x10’ booth $900 Early Bird- EXTREMELY LIMITED (pipe and drape included)- First booth includes three vendor passes; additional booths include two additional vendor passes each) Also includes: One 8’x2’ skirted table, two chairs, trash can, and vendor sign. 

Corner 10’x10’ booth - $800 Early Bird (pipe and drape included): First booth includes three vendor passes; additional booths include two additional vendor passes each) Also includes: One 8’x2’ skirted table, two chairs, trash can, and vendor sign. 

Inline 10’x10’ booth - $650 Early Bird (pipe and drape included): First booth includes three vendor passes; additional booths include two additional vendor passes each) Also includes: One 8’x2’ skirted table, two chairs, trash can, and vendor sign. 

Indie Gaming Spotlight Corner Booth 10’x10’ booth (for indie video game developers only) LIMITED AVAILABILITY - $500 Early Bird (first booth includes three vendor passes; additional booths include two additional vendor passes each). Also includes: One 8’x2’ skirted table, two chairs, trash can, and vendor sign.

Artist Alley Corner Table (LIMITED)(6’x10’).- $400 Early Bird. Art done by artificial intelligence (AI), and stolen art are not permitted. Includes: One 6’x2’ skirted table with 6 feet of space behind the table. Open to artists creating 2D and 3D original items, prints, posters, sketches, and drawings. Includes two vendor passes, two chairs, and one vendor sign. 

Standard Artist Alley Inline Table - $350 Early Bird (6’x10’)- Art done by artificial intelligence (AI), and stolen art are not permitted. Includes: One 6’x2’ skirted table with 6 feet of space behind the table. Open to artists creating art, prints, posters, sketches, and drawings. Includes two vendor passes, two chairs, and one vendor sign. 

Gamer’s Garage Sale Corner Table (6’x10’) - $400 Early Bird. These spaces are limited to people who are selling their personal video game, comic book, and/or art collections. Retailers will be reassigned and charged for a vendor booth. Includes: One 6’x 2’ table with six feet of space behind the table. Tables are limited and priority will be given to those selling games, system, and video game related merchandise. Includes two vendor passes, two chairs, and one vendor sign.

Gamer’s Garage Sale Inline Table (6’x10’) - $350 Early Bird. If you are a retailer and sell video games either online or at a brick and mortar location, these spots are not for you. These are for people who are selling their personal video game collections.  Includes: One 6’x2’ with six feet of space behind open. For games, system, and video game related merchandise only. Includes two vendor passes, two chairs, and one vendor sign.

Standard Gamer’s Garage Sale Table (6’x10’) - $350 Early Bird. If you are a retailer and sell video games either online or at a brick and mortar location, these spots are not for you. These are for people who are selling their personal video game collections.  Includes: One 6’x2’ with six feet of space behind open. For games, system, and video game related merchandise only. Also includes two vendor passes, two chairs, and one vendor sign will be provided for each space purchased.

Table Sharing Policy:

Table sharing is allowed with prior written approval only. A maximum of two (2) artists or vendors may share a table.  All participants must be pre-approved by the Game On Expo staff and listed on the application. Unauthorized sharing or subletting is prohibited and may result in forfeiture of your space without a refund. 

The primary applicant is responsible for all communications, payments, and ensuring all parties comply with event policies. Each party must remain within their allotted space.

Reselling any vendor space to other vendors is strictly prohibited.  The Game On Expo staff can assist you in finding another vendor to purchase your vendor space if you are unable to attend.  

Chargebacks: 

Any chargeback or payment reversal initiated by a vendor will result in automatic cancellation of the vendor’s space without refund. Vendors who initiate chargebacks may also be prohibited from vending at future events. Chargebacks are treated as a breach of this agreement.
