About the application

Celebrate AAPI Month with us this June 6, 2026 at our annual Suwanee Asian Festival—a vibrant, one-day, family-friendly event filled with cultural performances, delicious food, and entertainment for all ages!

 

This application is specifically for non-profit organizations & is a FIRST COME FIRST SERVE BASIS. We are excited to offer your organization dedicated space to connect with community members, share your mission, and promote your programs and services.

 

Non-Profit Booth Guidelines
To ensure fairness and consistency for all participants, NON-PROFIT BOOTHS MAY NOT:

  • Sell food or drinks
  • Offer activities that paid vendors are providing for a fee (e.g., free water, popcorn, or other food items beyond small candy giveaways)
  • Sell items unrelated to the non-profit’s mission or organization
  • Allow other businesses or individuals to sell under the non-profit tent
  • Sublease booth space to another vendor
  • Give away food, water, or goods that are otherwise sold at the event.

Please read all information carefully and follow every instruction when completing your application. Do not leave any section blank or assume we already have your information on file. We strongly encourage organizations to submit completed applications as soon as possible—space is limited and will fill quickly. We look forward to reviewing your application!

Event Hours: 12:00 PM – 8:00 PM

Booth Fee: $100 (includes application fee)
Mandatory Cleaning Deposit: $50 (fully refundable if booth space is left clean)
Parking: FREE

 

Application Process
Submit the completed application form.
Approval notifications will be sent to the email address provided in your application by May 9, 2026.
Mandatory Vendor Training: All approved participants must attend one orientation session on May 26, 2026 @2pm (VIRTUAL MEETING).

Terms & Conditions


1) BOOTH RENTAL: Vendors will provide their tents, tables, and chairs as well as lighting and any signage/decorations. Electricity is available but you must bring your extension cords.

2) VENDOR TRAINING: Each vendor must attend ONE Zoom training to learn about and adhere to the SUWANEE ASIAN FESTIVAL's vendor expectations. Date: 5/26/2026 @2PM. The link will be emailed to your designated email.

3) BOOTH PLACEMENT: BOOTH PLACEMENT IS DECIDED ON A FIRST-COME FIRST-SERVED BASIS. Vendor preferences will be taken into consideration, but the final decision for placement is by the Event Planning Committee.

4) LOAD-IN: Detailed instructions for Load-In will be provided during the Zoom meeting.

5) WEATHER: The event is rain or shine. It is the responsibility of each vendor to bring weather-proofing gear and supplies as needed, such as tarps. The event may shut down temporarily in the event of severe and dangerous weather conditions, such as hurricanes or tornados, etc., and will re-open when conditions are deemed safe again. 

6) CANCELLATIONS/REFUNDS" There will be no refunds. Please ensure your availability and staff before committing. 

7) LIABILITY: All vendors are required to sign and submit a HOLD HARMLESS WAIVER (see below) for the SUWANEE ASIAN FESTIVAL. 

Prices

Cleaning fees $50.00 All vendors must pay an upfront and fully-refundable cleaning fee. It will be refunded after the event, provided the vendor booth space is left clean. Vendors should bring mats, ground tarps, brooms, and cleaning supplies to ensure the return of the cleaning fee post-event.
Non-profit booth: 1 DAY - 10' X 10' Space $100.00 Non-refundable All vendors will bring their own 10' X 10' tent and tables/chairs. Power source will be provided.
