About the application

All applications must be printed and fully completed. Applicants are required to email the application to hwtcac@gmail.com or mail the completed application so that it is received by the event organizer on or before February 6, 2026. Full payment is required by Friday, February 6, 2026, to secure your reservation. Checks should be made payable to “HWTCAC,” with “WTC 2026” noted in the memo line. All booth fees become non-refundable as of Feb. 6, 2026.

About the event

Terms & Conditions

HWT&CAC will supply one (1) 8' x 8' booth space at the Pop-up Makeke site assigned to you, one (1) 8-foot table, and general lighting. Vendors are responsible for supplying their own tables and chairs if needed and for removing their own trash. All other furnishings are the responsibility of the Vendor. Electrical service will not be provided for appliances, and portable generators are not allowed.

I/we understand and my organization/business agrees to the following:

• Any cancellation must be made in writing and postmarked by Friday, February 6, 2026. No refunds will be issued for cancellations made after this date.
• The Waimea Town Celebration will take place rain or shine. No rain date will be provided.
• No food or beverages may be sold from product booths. Prepackaged snack items are permitted.
• Space assignments will be made at the sole discretion of HWT&CAC.
• The Waimea Town Celebration is a family-oriented event. Slogans, images, or items deemed offensive will not be permitted. HWT&CAC reserves the right to refuse any product, item, or vendor at its sole discretion.
• Vendors must provide proper signage at their booth and are responsible for their own trash removal.
• Vendors must staff their booth for both days during advertised hours of operation (Friday: 4:30 PM – 8:00 PM; Saturday: 9:30 AM – 8:00 PM).
• All vehicles must be removed from vendor areas at least 30 minutes prior to advertised hours of operation. There is no reserved parking.
• Vendors are responsible for keeping their area clean at all times, including the front and back of their booth. All items must remain within the designated booth space. No overflow into walkways will be allowed.
• No alcoholic beverages are permitted.
• No security will be provided; vendors assume all risk for theft, loss, or damage to any items or equipment left unattended.
• HWT&CAC does not guarantee sales and is not responsible for any loss.
• I/we understand and agree to assume all risk of injury or damage arising out of or resulting from the use of the facilities or property. I/we agree to make no claims for injury or damages against Historic Waimea Theater & Cultural Arts Center (HWT&CAC), Kikiaola Land Company, Kauai Economic Development Board, Taba Realty, the County of Kaua‘i, Hawai‘i Tourism Authority (HTA), or their agents or employees. I/we further agree to be personally responsible for any damage to the grounds, buildings, or equipment caused by our occupancy or use of the premises.
• I/we agree to abide by and enforce all rules, regulations, and policies of the Waimea Town Celebration as stated in this application.

  • Please provide a list of ALL items that you wish to sell/advertise. (Attach another sheet, if necessary.) Be specific as possible. Items not listed on this application may not be sold at Waimea Town Celebration. We wish to have the greatest variety possible with minimal duplication to give everyone a chance to earn money. HWTCAC reserves the exclusive rights to all beverage sales at this event.
  • Waimea Town Celebration would like to promote your organization/business through on-stage announcements made by our emcees. Please consider donating item(s) for a promotional giveaway (at no cost to guests) held throughout the two-day Hō‘olaule‘a event. Please also provide a few sentences below about the history of your business and/or any interesting information to encourage support from our guests.
  • Will you be participating in our Promotional drawing by providing donated items? If yes, arrangement for pickup will be made by an event volunteer. Mahalo for your consideration.
