Thank you for your interest in becoming a vendor at the K-Pop Stan Fest 2026! We are so happy you have an interest in being part of our amazing vendor line up and can't wait to meet you. We aim to bring the K-Pop community together thru food, music and fandom!
When filling out this form, make sure to set aside a few minutes to complete it!
These are our general criteria when considering an applicant for our festival event:
Vendors must be 18 or older or a minor accompany by an adult thru the duration of the event.
Vendors must showcase at least 50% of their merchandise to fit the "K-Pop" aesthetic to match the theme of this event. Please provide a link to a gallery (google drive/photos folder, instagram, etc) which showcases the type of merchandise you plan to sell at this event.
Vendors must bring their own 10" x 10" tent, table(s) , chairs, fixtures and table cloths to cover their tables and set their vendor spaced assigned to them. You are welcome to bring your own fans to keep cool. Because this is an outdoor event, there is no access to power, so any equipment must be battery / solar / propane powered. We also suggest to bring tent walls in case it rains and lights as this event will continue after dark and will end at 9:00 pm. For those who select the "prime row" tent walls must be included in your set up. If you fail to provide, you will be subjected to relocation. No refunds will be issued.
This year, we do not require stall vendors to provide a business permit to sell goods in NC, or your EIN but that may change in the future should we need to.
We will not be accepting any food vendors at this event as the venue will have plenty of food options available to purchase for all attendees. This venue is a credit card/debit card only business so plan accordantly.
This event will be outdoors in August, so expect hot and possibly humid weather! Dress appropriate to the weather. August is not a typically severe weather month for Charlotte, but we have prepared for that. We will be implementing a Rain Date Policy in case of severe weather. Rain date 8/30/2026
WiFi may be available to use from UDM (Urban District Market), however it does not have a wide reach outdoors, so please keep in mind a backup method of connecting to the internet if needed (such as for connecting your POS or card readers).
This application will be open from January 22nd to May 31st 2026. Vendor applicants will be notified of their application status by June 15th, if not sooner.
We will prioritize a variety of vendor specialties so we have diverse selection amongst the vendors, and appeals to a wider audience. We will only accept vendors that meet our standard criteria as mentioned in this application. If there are applicants we like, but are full on spots, we will start a waitlist to vend at this event and your name will be added to it automatically.
Waitlist: If and when a vendor drops, we may call upon the waitlisted vendors via email or social media messages. If a vendor drops we will notify a vendor on the waitlist in the order of your place in line. The waitlisted vendor has 24 hours to respond to accept vending before we contact the next waitlisted vendor on the list. If the next waitlisted vendor accepts the open spot, the first waitlisted vendor will remain on the waitlist. For any vendor drops that are within 72 hours before the event start time, we will simply email all waitlisted applicant vendors and accept in whomever responds first. If you are waitlisted and are not confirmed to vend at the event, please refrain from showing up at the event with expectations to vend, as it is unlikely you will be able to vend.
Rain Date Policy:
The event is scheduled for August 29, 2026, with a backup Rain Date of August 30, 2026 in case of severe weather. We have secured the venue for both dates to ensure the event can proceed safely. Vendors are required to be available for both dates August 29, 2026 and August 30, 2026, as the event may be rescheduled, if weather conditions on the original date of August 29, 2026 make it unsafe or impractical to proceed.

Cancelations and no shows will not be refunded and are subject to a $50 no show fee. Any vendors that do so will not be welcome to return as a vendor in the future.
Audience & Marketing
K-Pop Stan Fest 2026 is a free-entry family-friendly event and will be marketed as so throughout the Charlotte Metro Area (100-mile radius) and promoted nationwide thru all our social media platforms to give exposure. This event welcomes ALL. Pets are welcomed with open arms! Our marketing efforts include:
Email campaigns, paid advertising, social media promotions, local blogger and sponsor collaborations.
Vendor fees support event marketing and operational costs. No credits will apply to this event!
