About the application

This application is for vendors specializing in handmade art and crafts, such as jewelry, home décor, health and beauty products, wooden signs, furniture, and more. It is also open to food vendors operating under Cottage Law, selling pre-packaged goods like baked items, jams, sauces, spices, and other similar products. Additionally, retail vendors offering items such as clothing, personal protection gear, books, outdoor goods, and henna services are welcome to apply.

Please note that submission of an application does not guarantee booth space. Approval is required before securing your booth space with payment, which must be completed one week prior to the event for food and craft vendors, and retail vendors. Failure to submit payment by the deadline will result in the release of your booth space to the next applicant in line.

Created to support and spotlight local businesses, each Katy Exchange offers a vibrant, family-friendly atmosphere where visitors can explore unique vendors, enjoy great food, and experience the charm of downtown Katy. In its very first year, The Katy Exchange proudly gave back more than $22,000 to local charities, making a meaningful impact right here in our community. Each event highlights two nonprofit organizations, ensuring that every purchase, every visit, and every shared moment helps support causes that matter most. Terms & Conditions

Exhibitor Terms and Conditions:

The City of Katy disclaims any responsibility for statements, actions, omissions, or claims made by exhibitors regarding their marketing efforts and booth activities.

Exhibit Space:

  • Each exhibit space is 10 feet deep by 10 feet wide.
  • Electricity is not provided.
  • All work and personal belongings, such as tables, chairs, and boxes, must remain within the assigned space.
  • Exhibitors are required to bring a securely weighted and anchored canopy, no larger than 10’ x 10’, to protect against wind and weather conditions.

Food and Beverages:

  • Attendees are encouraged to bring their own drinks and snacks or utilize the available food vendors and drink booths.

Unoccupied Booth Space and Refunds:

  • The City of Katy reserves the right to reassign unoccupied booth spaces.
  • Full refunds will be given if a vendor cancels their space within 7 days of the event.
  • Partial refunds (50%) will be issued if cancellation occurs within 5 days of the event.
  • No refunds will be issued if cancellation occurs within 3 days of the event.

Event Postponement or Cancellation:

  • The City of Katy is not liable for damages or expenses incurred by exhibitors due to event postponement, interruption, or cancellation beyond its control.
  • If the City cancels the event, vendor application fees will be refunded.

Space Sharing and Display Policies:

  • Only items specified in agreements may be displayed in the booth.

Deadline:

  • Vendors are encouraged to complete contracts and payments promptly to ensure participation by the specified deadline.

Exclusions from Event:

  • The City of Katy reserves the right to determine the suitability of exhibitor products, services, or activities.
  • Exhibitors must comply with event standards. Non-compliance may result in exclusion or modification of displays.

Policies and Procedures:

  • All booth renters must follow the City of Katy's policies and procedures, as well as relevant fire, utility, and building codes.
  • Violation of policies may result in ejection from the event without a refund.

Facility Restrictions:

  • Only vehicles involved in unloading or picking up booth items are allowed to enter the festival area.
  • Drilling, nailing, or affixing items to the venue property is prohibited.
  • Exhibitors are responsible for any damage caused to the venue or other exhibitors' property.
  • Compliance with fire and safety regulations is mandatory.
  • Use of water in exhibits must be coordinated with the City of Katy.
  • Alcoholic beverages are not permitted unless approved by the City and proper permits have been obtained.
  • Food giveaways require prior approval and must comply with health regulations.
  • Extension cords must be safely covered and secured.

Event Cancellation:

  • In the event of cancellation due to circumstances outside of the City's control, participants will be notified via email, text, and social media. Refunds will be issued within 7-10 business days.

By completing this application, you acknowledge and accept all policies and procedures outlined above. You also certify that all involved parties will be informed of and comply with these policies.
