Setup begins on festival mornings at designated times; vendors will receive a detailed schedule.
All booths must remain open during festival hours and be staffed at all times.
Breakdown begins at the conclusion of the festival, and spaces must be cleared by the designated time.

Free on-site parking is available for vendors.
Vehicles may temporarily park near the entrance for loading/unloading during setup.
Once unloaded, vendors should move vehicles to designated parking areas.

By submitting a vendor application for the Never Give Up Hope Music Festival, you agree to the following Terms & Conditions:

1. Application Acceptance
 • Submission of a vendor application does not guarantee acceptance.
 • Vendor spaces are limited and assigned at the discretion of festival organizers, based on category, availability, and alignment with festival goals.
 • Organizers reserve the right to decline any application for any reason.

2. Fees & Payment
 • Vendor fees must be paid in full prior to the event unless otherwise agreed upon.
 • Fees are non-refundable, including in cases of cancellation by the vendor or event rescheduling due to weather or other circumstances.

3. Vendor Responsibilities
 • Vendors are responsible for providing all equipment, tents, tables, signage, and supplies necessary for their booth.
 • Booths must be staffed at all times during festival hours.
 • Vendors must maintain a clean, safe, and family-friendly booth space.
 • Vendors must comply with all local, state, and federal laws, including food safety and sales regulations.

4. Setup & Breakdown
 • Vendors will be provided with designated setup and breakdown times.
 • Vehicles may only park in designated loading/unloading zones during setup/breakdown.
 • Vendors are responsible for removing all booth materials, trash, and signage at the conclusion of the festival.

5. Health & Safety
 • Vendors must comply with all festival health and safety guidelines, including sanitation, fire safety, and COVID or illness protocols if applicable.
 • The festival is not responsible for accidents, injuries, or loss of property. Vendors must carry appropriate insurance as needed.

6. Food & Beverage Vendors
 • All food vendors must have valid permits and licenses from local health authorities.
 • Vendors are responsible for proper storage, handling, and preparation of all food items.
 • Trash and recycling must be disposed of in festival-provided containers.

7. Prohibited Items & Conduct
 • The sale or distribution of illegal items, weapons, outside alcohol, or inappropriate material is strictly prohibited.
 • Disruptive, unsafe, or aggressive behavior will result in immediate removal from the festival without refund.

8. Liability & Insurance
 • Vendors assume full responsibility for their property, equipment, and personnel.
 • The festival organizers, staff, sponsors, and volunteers are not liable for personal injury, theft, damage, or loss of property.
 • Vendors are encouraged to maintain general liability insurance.

9. Indemnification
 • Vendors agree to indemnify and hold harmless the festival organizers, CRRC Recreation Center, and associated sponsors from any claims, losses, or damages arising from participation in the event.

10. Event Changes or Cancellation
 • Organizers reserve the right to modify, postpone, or cancel the festival due to weather, emergencies, or other circumstances beyond control.
 • Vendors will be notified as soon as possible in such events. No refunds are guaranteed in case of cancellation.

11. Photography & Promotion
 • Vendors agree that festival organizers may photograph or record the event, including vendor booths, for promotional purposes.
