Welcome to Musselfest March 7-8, 2026! This is the application to offer experiences at Musselfest 2026. This is an electronic agreement and by selecting to apply as a vendor, you are validating and approving this agreement electronically.

About the event

Welcome to the 40th Anniversary of the Coupeville Historic Waterfront Associations’ Penn Cove Musselfest! We celebrate our local vibrant historic downtown shops, restaurants and Penn Cove Mussels. There are kid friendly activities, food demos, mussel eating contests, food vendors, a beer tent (Blue Zone), and live music.

Terms & Conditions

Experience Vendor Terms & Conditions
Musselfest – Coupeville, WA
March 7–8, 2026

 
1. Event Overview
Musselfest is an annual community festival celebrating local seafood, music, art, and culture. Experience vendors—including interactive, wellness, educational, or activity-based offerings—are an important part of the festival. By applying and participating, vendors agree to the following terms and conditions.

 
2. Eligibility & Application
All experience vendors must submit a completed application form with payment and required documentation by the stated deadline.
Acceptance is at the discretion of the Musselfest Committee. Submission of an application does not guarantee participation.
Vendors must comply with all applicable local, county, and state regulations related to their experience, including health, safety, fire, and zoning requirements.


Any experience involving heat, water, physical activity, or specialized equipment (e.g., mobile saunas) must clearly outline safety protocols as part of the application.
 
3. Fees & Payment
Vendor fees must be paid in full upon acceptance.
Fees are non-refundable after January 30, 2026. Exceptions will be considered in cases of festival cancellation.


Vendors are responsible for all transaction costs related to their sales, bookings, or reservations.
 
4. Hours of Operation
Vendors must be fully set up and operational by 11:00 am each day of the festival.


Experience vendors must operate during published festival hours unless otherwise approved:

Saturday, March 7: 11:00 am – 4:30 pm
Sunday, March 8: 11:00 am – 4:00 pm
Early shutdowns or schedule changes are not permitted without prior approval from festival staff.
 
5. Set-Up & Tear-Down
Vendor check-in, load-in, and setup instructions will be provided at least two weeks prior to the event.
All load-in vehicles must be moved from the festival grounds to designated parking areas by 10:00 am on event days.
Tear-down may not begin until the close of the festival on Sunday unless otherwise approved.
 
6. Space, Equipment & Site Requirements
Vendors must provide all necessary equipment, structures, utilities, staffing, and supplies required for their experience unless otherwise arranged in writing.
Any structures (tents, trailers, mobile units, saunas, etc.) must be securely installed and capable of withstanding wind and inclement weather.
Vendors are responsible for maintaining a clean, safe, and clearly marked participant area, including any waiting or queue space.
Electrical, water, drainage, or fuel needs must be disclosed in advance and approved by the Musselfest Committee. Vendors must provide their own access unless otherwise arranged.
 
7. Safety, Health & Participant Responsibility
Vendors are solely responsible for the safety of their experience, equipment, staff, and participants.
Experiences involving heat, steam, water, physical exertion, or specialized equipment must follow all applicable safety standards and best practices.
Vendors must clearly communicate participation requirements, restrictions, and safety guidelines to participants (e.g., age limits, health advisories, waivers).
Vendors are responsible for providing and managing participant waivers if required for their activity.
 
8. Insurance & Liability
Vendors must provide proof of general liability insurance with a minimum of $1,000,000 per occurrence, naming Coupeville Historic Waterfront Association / Musselfest as additional insured.
Vendors are solely responsible for their property, equipment, and operations. The festival is not liable for theft, loss, damage, or injury related to vendor activities.
Vendors agree to indemnify and hold harmless Musselfest, the Town of Coupeville, and event organizers from any claims arising from their participation.
 
9. Independent Contractor
The Vendor shall be considered an independent contractor. This agreement does not create an employer/employee, partnership, or joint venture relationship between the Organizer and Vendor.

 
10. Compliance & Conduct
Vendors must follow all directions from festival staff, safety officials, and law enforcement.
Professional, respectful conduct toward attendees, staff, and other vendors is required at all times.
Failure to comply with these terms may result in immediate removal from the event without refund.
 
11. Cancellations & Weather
Musselfest is a rain or shine event. Refunds will not be issued due to weather conditions.
In the event of festival cancellation due to unforeseen circumstances (public safety concerns, natural disasters, etc.), organizers will notify vendors promptly regarding refunds or credits.
 
12. Additional Provisions
Vendors may offer only the experience described and approved in their application. Any changes must be approved in advance.
Use of propane, wood-burning, electrical heating elements, or open flame requires prior approval and compliance with all fire safety regulations.


Vendors are responsible for waste management related to their experience and must follow Coupeville sustainability guidelines.
 
Acknowledgment
By submitting an application and payment, vendors acknowledge that they have read, understood, and agree to abide by these terms and conditions.

Prices

Experience Booth Fee $200.00 Non-refundable You will be allocated a space on Alexander or Front Street. You must provide your own electricity and water. Please indicate in your application the size and type of set up (trailer, tent, etc.)
