Welcome to the 4th Annual Palm Springs Equality Wine & Food Fest! SIGN UP SOON FOR EARLY BIRD DISCOUNT. SPACE IS EXTREMELY LIMITED.  Vendor-Only discount rates are available for hotel stays. This is an electronic agreement and by submitting an application, you are validating and approving this agreement electronically.

About the event

Named one the BEST LGBTQ+ Food, Wine and Spirits Festivals in the U.S. by Wine Spectator, the Palm Springs EQUALITY WINE & FOOD FEST returns to the Hyatt Palm Springs bringing together some of the world’s finest vintners, featuring LGBTQ+, BIPOC, and Women owned and/or produced wines. Festival goers will enjoy over 100 wines, food samples, live entertainment, silent auction, and VIP experiences, all creating an environment that fosters community among everyone involved in enjoying every sip and taste. Your generous support will help elevate diverse talent, foster community, and bring these important conversations to the forefront, while supporting forward-thinking charities.

Terms & Conditions

The person or organization completing this application is hereafter referred to as the "Exhibitor." 

Montage Events ("Producer") of Equality Wine & Food Fest ("Festival") will reserve space for the Festival based upon our acceptance of the completed application submitted by the Exhibitor. Exhibitor acceptance and space usage is at the discretion of Montage Events. We reserve the right to deny any application for any reason. 

 

WINE/SPIRITS VENDORS

PARTICIPANTS WILL RECEIVE:

  • Listing in the 2026 EQUALITY WINE & FOOD FEST Program Guide and other on-site collateral, website, and in social media mentions.
  • Dedicated space to showcase and pour your wine/spirits.
  • Opportunity to take wine orders. Sales should be shipped direct from the vendor’s place of business to customers.
  • Opportunity to promote Wine Club or other vendor related events, perks, etc.
  • Opportunity to introduce your wines and interact with 600+ wine enthusiasts.
  • Special vendor only pricing at HYATT PALM SPRINGS for stays over Festival weekend. Rooms must be booked no later than May 9, 2025.

REQUIREMENTS:

  • Complete Application and Pay Vendor Fee.
  • Bring 2-3 cases of wine (2-3 varietals) for sampling, and ambassador(s) to pour tastings and discuss with guests.
  • Set up between 8am to 11am on Saturday, June 13th. Set-up must be complete by 11:30am.
  • Provide staffing during the entirety of the Grand Tasting from 12pm to 4pm.
  • Provide Certificate of Insurance and any other documents required by Event Producer or the Hyatt Palm Springs. 
  • Provide at least one 750ml bottle for inclusion in Silent Auction.

FOOD VENDORS

PARTICIPANTS WILL RECEIVE:

  • Listing in the 2026 EQUALITY WINE & FOOD FEST Program Guide and other on-site collateral, website, and in social media mentions.  
  • Dedicated space to showcase and pour your wine/spirits.
  • Opportunity to introduce your food/restaurant/business and interact with 600+ wine and food enthusiasts.
  • Special vendor only pricing at HYATT PALM SPRINGS for stays over Festival weekend. Rooms must be booked no later than May 9, 2025.

REQUIREMENTS:

  • Complete Application and Pay Vendor Fee.
  • Bring small bites (1000+ pieces) for sampling, and restaurant ambassador(s) to serve tastings and discuss with guests.
  • Set up between 8am to 11am on Saturday, June 13th. Set-up must be complete by 11:30am.
  • Provide staffing during the entirety of the Grand Tasting from 12pm to 4pm.
  • Provide Certificate of Insurance and any other documents required by Event Producer or the Hyatt Palm Springs. 
    Provide at least one gift card or item for inclusion in Silent Auction.

RETAIL/ART/LIFESTYLE VENDORS

PARTICIPANTS WILL RECEIVE:

  • Listing in the 2026 EQUALITY WINE & FOOD FEST Program Guide and other on-site collateral, website, and in social media mentions.  
  • Dedicated space to showcase your products.
  • Opportunity to introduce your business and interact with 600+ wine and food enthusiasts.
  • Opportunity to sell direct to consumer at event. (POS is the responsibility of vendor.)
  • Special vendor only pricing at HYATT PALM SPRINGS for stays over Festival weekend. Rooms must be booked no later than May 9, 2025.

REQUIREMENTS:

  • Complete Application and Pay Vendor Fee.
  • Set up between 8am to 11am on Saturday, June 13th. Set-up must be complete by 11:30am.
  • Provide staffing during the entirety of the Grand Tasting from 12pm to 4pm.
  • Provide Certificate of Insurance and any other documents required by Event Producer or the Hyatt Palm Springs. 

EXHIBITOR SPACE: Exhibitor Spaces are approximately 8'x8' and space locations will be determined by and are at the discretion of Producer. Booth space locations will be made available upon Vendor check-in.  PROVIDED: one 6’x30" front table; one 6'x18" back table (as needed); table linens; one ice bin, table identification signage. Exhibitor understands that this application is FOR SPACE ONLY, except for the items mentioned above. 

 

PUBLIC HEALTH/SAFETY: Our guidelines regarding COVID-19 and all public health concerns are developed and intended to create a safer space to gather. The guidelines may change as the date draws closer, and will meet or exceed any and all city and state requirements. 

 

SATURDAY SET-UP & BREAKDOWN: Exhibitor understands that they will not be allowed into the Festival area until 8AM.  Set-up must be completed by 11:30 AM for festival opening at 12:00 PM. Breakdown will start no earlier than 4:00 PM and all materials must be completely disassembled. Exhibitor’s area must be completely cleaned no later than 5:30 PM.

 

VEHICLES: The Exhibitor understands that they are each responsible to find parking. Vehicles should be parked on the streets behind and around the hotel, or in the underground garage. 

 

SPACE ALLOCATION USE: Presentation must be confined to the specified location and space size as set forth in its application and space permit. Nothing that extends beyond the allocated space is permitted.

 

Generators and amplified sound equipment, including but not limited to stereos, loudspeakers, and bullhorns, of any kind are NOT permitted. NO ELECTRICITY IS AVAILABLE IN THE SPACE, UNLESS PREVIOUSLY ARRANGED WITH PRODUCER.

 

Exhibitor agrees to indemnify, hold harmless, and defend Montage Events from all liability from loss, damage, or injury to persons or property in any manner arising out of, or incident to, their performance of this agreement, whether or not resulting from the negligence of the Exhibitor or its agents.

 

The Festival will not be canceled less than 30 days prior to the scheduled date, except for extreme weather, natural disasters (including disease/virus epidemic or pandemic), or other reasons by valid order of governmental authorities beyond Montage Event's control. In the event that cancellation of the Festival, less than 30 days prior to scheduled date, is caused by an “act of God” including but not limited to earthquake, storm, flood, fire, disease/virus epidemic or pandemic, terrorist act, riot, or by valid order of governmental authorities, Exhibitor shall not be entitled to a refund of sums paid to Montage Events, and Montage Events will not be held liable to the Exhibitor for any other damages.

 

Montage Events reserves the right to refuse any Exhibitor’s participation in the Festival at any time and for any reason. If necessary, Montage Events may eject an Exhibitor from the Festival grounds without reentry, and such Exhibitors will not receive a refund.

 

Exhibitor is an independent contractor. The relationship between the Exhibitor and Montage Events does not create a joint venture, partnership, agency or employee/employer relationship between the parties for any purpose, including, but not limited to, taxes or employee benefits. The Exhibitor will be solely responsible for payment of any and all wages, taxes, and insurance. This relationship shall not constitute a partnership between or joint venture by the parties or make either party the agent of the other. Neither party shall hold itself out otherwise nor shall either party become liable by any representation, act or omission of the other contrary to these provisions.

 

This Agreement shall be construed and interpreted pursuant to the laws of the State of California, County of Riverside, applicable to agreements entered into and fully performed in California. If any provision is deemed to be unenforceable as written it shall be modified so as to make it in its general interest, enforceable and as so modified shall form part of this Agreement. This Agreement and the schedules, exhibits and attachments constitute the entire agreement between the parties on this subject matter.

 

Exhibitors may use event names and logos in advertising their presence at the Festival. However, Montage Events, reserves and retains all rights, title, and interest in and to all Equality Wine & Food Fest tradenames, trademarks, and logos. 


Under no circumstances and under no legal theory, tort, contract, or otherwise, shall either party or its affiliates or its suppliers or resellers be liable to the other party for any indirect, special, incidental, or consequential damages of any character including, without limitation, personal injury, damages for loss of profits, goodwill, work stoppage, or any and all other commercial damages or losses, even if a party has been advised of the possibility of such damages.

 

It is agreed that the undersigned Exhibitor shall accept the above conditions as well as accept sole responsibility for any and all acts, including “acts of God” that occur within the rented space. Montage Events shall bear no responsibility for any and/or all loss including, but not limited to, consequential loss, general damage or punitive and exemplary damages sustained or caused by the participant(s), its agents or employees. Notice is hereby given that the Exhibitor shall provide its own insurance coverage.

 

BY SUBMITTING AND ACCEPTING THIS AGREEMENT, THE EXHIBITOR AGREES THAT THEY CAN READ AND SPEAK ENGLISH WELL ENOUGH TO UNDERSTAND THIS AGREEMENT AND HAVE READ AND COMPREHEND THIS AGREEMENT COMPLETELY. THE EXHIBITOR ACCEPTS FULLY AND AGREES TO ADHERE TO ALL OF THE TERMS OF THIS AGREEMENT AS WELL AS TO COMPLY WITH ALL FEDERAL, STATE, AND LOCAL LAWS AND REGULATIONS.

 

YOUR ELECTRONIC SIGNATURE IS THE LEGAL EQUIVALENT OF YOUR SIGNATURE ON THIS AGREEMENT AND YOU CONSENT TO BE LEGALLY BOUND BY THIS APPLICATION'S TERMS AND CONDITIONS.
