Welcome to the Newnan Porchfest! Browse through our general vendor application, and let us know if you have any questions. Use this application if you are a business, non-profit, charitable cause, or other vendor. This is an electronic agreement, and by selecting the booths, you are validating and approving this agreement electronically.
About the event
Terms & Conditions
1. Eligibility - By applying to participate as a general vendor at Newnan Porchfest (“Festival"), you ("Vendor") confirm that all products offered for sale are original works created by the Vendor, and/or that the Vendor owns the right to use all materials, logos, products, or offerings for sale. Mass-produced, commercially manufactured items are not permitted unless explicitly approved by the Festival organizers.
2. Application Process - Vendors must complete and submit the official Vendor Application Form by the specified deadline. Submission of an application does not guarantee acceptance. The Festival organizers will review all applications and select vendors based on criteria such as the originality, quality, and diversity of their work. Vendors will be notified of their selection status by April 1, 2026.
3. Payment of Fees - Upon acceptance, Vendors must pay the designated vendor fee ("Vendor Fee") by the payment deadline specified in the acceptance notification. Failure to pay the Vendor Fee on time may result in forfeiture of the vendor’s space at the Festival.
4. Vendor Space and Setup - The Festival will provide each Vendor with a designated vending space. Vendors are responsible for providing their own equipment, including tents, tables, displays, and signage. All setups must comply with the space and safety requirements outlined in the Vendor Information Packet. Vendors must complete setup by 11:30AM on the day of the event and must not dismantle their space before 9PM unless instructed by Festival organizers.
5. Display and Presentation - Vendors are encouraged to create an attractive and professional display of their work. All displays must be safe, stable, and suitable for an outdoor environment. Vendors should clearly price all items and have an organized method for handling sales transactions. The Festival reserves the right to request changes to a vendor’s setup if it is deemed unsafe or inappropriate.
6. Insurance - Vendors are strongly encouraged to carry adequate liability insurance that covers their operations at the Festival. The Festival, its organizers, and affiliates are not responsible for any loss, damage, or theft of Vendor property.
7. Electricity and Special Requests - The Festival does not guarantee the availability of electricity. Vendors should plan to provide their own power sources if necessary.
8. Vendor Conduct - Vendors are expected to conduct themselves professionally and courteously at all times. This includes interactions with Festival staff, other vendors, and attendees. Vendors must refrain from playing loud music or engaging in disruptive behavior. Any violation of these conduct guidelines may result in the Vendor being asked to leave the Festival without a refund of the Vendor Fee.
9. Waste Management - Vendors are responsible for managing and disposing of their waste properly. Trash and recycling bins will be provided by the Festival for customer trash, but Vendors must dispose of any bulk trash, bins, or other large trash items. Vendors must ensure that their area is clean and free of debris throughout the event. Vendors who fail to maintain cleanliness may be subject to additional fees or penalties.
10. Event Cancellation - In the event that the Festival is canceled or postponed due to circumstances beyond the Festival’s control (e.g., severe weather, governmental orders, acts of God), the Vendor Fee may be refunded at the discretion of the Festival organizers. Alternatively, the Vendor Fee may be applied to a rescheduled date or a future event.
11. Indemnification - The Vendor agrees to indemnify and hold harmless the Festival, its organizers, sponsors, volunteers, and affiliates from any claims, damages, liabilities, and expenses arising out of or related to the Vendor's participation in the Festival, including but not limited to injuries, damage to art, or property damage.
12. Limitation of Liability - The Festival shall not be liable for any loss, damage, or theft of the Vendor’s property, equipment, or goods. The Vendor participates in the Festival at their own risk.
13. Governing Law - These Terms and Conditions shall be governed by and construed in accordance with the laws of the State of Georgia, without regard to its conflict of laws principles.
14. Acceptance of Terms - By submitting an application to participate as an art vendor at the Festival, the Vendor acknowledges that they have read, understood, and agree to these Terms and Conditions.
