About the application
THEMATA Book & Plants Fair is a thoughtfully curated market celebrating the intersection of books, plants, and plant-adjacent creativity. We are seeking independent authors, publishers, bookstores, nurseries, plant sellers, and plant-focused makers whose work aligns with a love of reading, growing, learning, and intentional living.
We prioritize vendors offering:
- Books, zines, printed works, and literary goods
- Houseplants, nursery stock, seeds, and plant starts
- Plant-related products such as planters, tools, soil, botanical art, stationery, and education-focused goods
Small businesses with original work, strong visual presentation, and a clear point of view
This is a juried fair, and selections are made to ensure a balanced, high-quality experience for shoppers. We are especially interested in vendors who value craftsmanship, sustainability, and community.

About the event
Terms & Conditions
1. Exhibitor Eligibility
Exhibitors must be authors, publishers, bookstores, literary agents, independent nurseries, plant sellers, plant shops, botanical artists, plant-focused makers, or other entities related to books, literature, plants, gardening, or botanical culture.
All exhibitors must submit a completed application form by the designated deadline to be considered for participation.
Approval of Exhibitor Application:
The event organizers reserve the right to review and approve all exhibitor applications based on relevance to the event, overall curation, and availability of space.
2. Booth Assignment
Booth assignments will be made at the discretion of the event organizers, taking into account the nature of the exhibitor’s products or services and the overall layout and flow of the event.
Booth locations will be communicated to exhibitors in advance of the event. Exhibitors may not move or alter their assigned location without prior approval from the organizers.
3. Exhibitor Fees and Payment
Exhibitor Fee:
The exhibitor fee is $75-$95 per booth. This fee covers booth space only. Exhibitors are responsible for providing all display materials, including tables, chairs, shelving, signage, and plant stands if applicable.
Payment must be made in full upon approval of the exhibitor application.
4. Booth Setup and Dismantling
Exhibitors may begin setting up their booths on March 21, 2026, between 7:00 AM – 9:00 AM. All booths must be fully set up by 9:30 AM.Exhibitors are required to remain at their booths until the event closes. Dismantling must be completed by 6:00 PM on March 21, 2026.
Late Setup or Early Dismantling:
Exhibitors may not begin teardown or leave their booth before the event concludes. Early dismantling without organizer approval may result in exclusion from future THEMATA events.
5. Exhibitor Responsibilities
Booth Staffing:
Exhibitors must staff their booths during all event hours: 10:00 AM – 5:00 PM.
Display and Materials:
Exhibitors are responsible for the setup, presentation, and maintenance of their booths, including books, plants, plant-related goods, printed materials, and merchandise. All displays must be professional, safe, and compliant with event guidelines.
Safety and Security:
Exhibitors must ensure all displays—including shelving, plant racks, and stands—are stable and do not pose hazards to attendees or neighboring booths.
Noise and Disruptions:
Displays and activities must not create excessive noise or disruption. Any demonstrations, workshops, amplified sound, or interactive elements must receive prior approval from event organizers.
6. Prohibited Items and Activities
The following are prohibited unless explicitly approved in advance:
Sale of unauthorized goods: Only books, literary items, plants, plant-related products, and pre-approved merchandise may be sold.
Animals: Pets and animals are not permitted, except for service animals.
Food and Beverages: Exhibitors may not sell or distribute food or beverages.
Inappropriate Content: Any materials deemed offensive, obscene, or inappropriate for a public audience will be removed at the organizers’ discretion.
7. Cancellation and Refund Policy
Cancellation by Exhibitor:
All booth fees are non-refundable.
Cancellation by Organizers:
If the event is canceled or rescheduled due to circumstances beyond our control (including weather or government restrictions), exhibitors will be notified promptly. Refunds or rescheduling options will be determined based on the situation.
8. Liability and Insurance
Liability:
Event organizers are not responsible for loss, damage, theft, or injury sustained by exhibitors, staff, or property. Exhibitors participate at their own risk.
Indemnity:
Exhibitors agree to indemnify and hold harmless the event organizers, venue owners, and affiliated parties from any claims arising from their participation in the event.
9. Photography and Media
Event organizers may photograph or record video during the event, including exhibitor booths and products. By participating, exhibitors grant permission for use of these images for marketing and promotional purposes.
Exhibitors may not photograph or film other booths without permission.
10. Compliance with Laws
Exhibitors must comply with all applicable federal, state, and local laws, including those related to sales tax, business licensing, and plant sales regulations.
Exhibitors are responsible for obtaining any required permits, licenses, or tax identification numbers.
11. Amendments to Terms and Conditions
The event organizers reserve the right to amend these Terms and Conditions at any time. Exhibitors will be notified in writing of any changes.
Acknowledgment
By submitting an application and payment, you acknowledge that you have read, understood, and agree to comply with these Terms and Conditions for participation in the THEMATA Book + Plant Fair.

| Deep Booth | $95.00 | Non-refundable | Each deep booth space measures approximately 7 feet wide by 8 feet deep. Exhibitors must keep all displays, tables, and merchandise within their assigned footprint. If you have specific setup needs or display concerns, please reach out in advance—we’ll do our best to assist within the table-only format. |
