This application is for vendors selling retail items, crafts, merchandise, or services at RWB Fest, held Friday, June 27th from 5:00–10:00 PM, with fireworks at 9:45 PM.

 

RWB Fest is a high-attendance, family-friendly community celebration with an average attendance of over 6,000 people. Vendors should be prepared for large crowds, evening operations, and steady foot traffic throughout the event.

 

Vendor Capacity
To ensure a quality experience for attendees and vendors, participation is limited to a maximum of 60 total vendor spaces. This total includes merchandise vendors, nonprofit organizations, and community businesses. Submission of an application does not guarantee acceptance.

 

Accepted Categories

  • Merchandise vendors may sell approved retail goods including, but not limited to:
  • Handmade items and crafts
  • Apparel and accessories
  • Art, prints, and handmade décor
  • Small retail goods and specialty items
  • Prepackaged food or drink items commonly found at farmers markets
    (examples include baked goods, jams, honey, spice blends, and bottled beverages)

Food trucks, made-to-order food, and on-site food preparation are not permitted under this category. Vendors selling prepared or made-to-order food must apply under the Food Truck Vendor category.

 

General Information & Event Protocol

  • Vendors must provide their own tent, tables, chairs, and display materials
  • Power is not guaranteed
  • All merchandise, signage, and displays must be family-friendly
  • Vendors must follow all instructions from Parks staff, event officials, and emergency personnel

Setup & Breakdown

  • Setup and load-in times will be provided to approved vendors closer to the event
  • Vehicles must be removed from vendor areas prior to the event opening
  • Vendors are expected to remain set up for the duration of the event unless approved otherwise
  • Vendors are responsible for leaving their space clean and free of trash at the conclusion of the event

Applications will be reviewed to ensure a balanced vendor mix and a positive experience for attendees.

About the event

RWB Fest is a free, family-friendly community celebration held on Friday, June 27th from 5:00–10:00 PM, featuring food vendors, community booths, activities, live entertainment, and a fireworks show at 9:45 PM. This event is designed for all ages and focuses on community, fun, and a shared summer experience. The event takes place outdoors. Attendees should expect large crowds, evening activities, and a high-energy atmosphere leading up to the fireworks display. Parking Public parking will be available in designated areas surrounding the event site. Attendees are encouraged to arrive early and follow posted signage and directions from event staff. Some walking may be required. Event Protocol This is a family-friendly event; all activities and behavior must be appropriate for all ages Follow all posted rules and instructions from Parks staff, event officials, and emergency personnel No unauthorized vehicles in event areas Fireworks will begin promptly at 9:45 PM; spectators should plan accordingly The event will take place rain or shine unless severe weather requires adjustments Additional event details, maps, and guidelines will be shared closer to the event date.

Terms & Conditions**

 

By submitting an application, the vendor agrees to the following terms and conditions:

  • RWB Fest will take place on Friday, June 27th from 5:00–10:00 PM, with fireworks at 9:45 PM.
  • Submission of an application does not guarantee acceptance. Vendor participation is limited to 60 total spaces, including merchandise vendors, nonprofit organizations, and community businesses.
  • Vendors must apply under the correct category. Food trucks, made-to-order food, and on-site food preparation are not permitted under the Merchandise Vendor category.
  • Vendors selling prepackaged food or drink items (farmers-market style) must comply with all applicable local and state regulations.
  • All merchandise, signage, and displays must be family-friendly.
  • Vendors must provide their own tent, tables, chairs, weights, and display materials. Power is not guaranteed.
  • Tents must be properly weighted and secured at all times. Unsafe setups may be required to adjust or be removed.
  • Vendors must complete setup within the designated load-in timeframe and remove vehicles from vendor areas prior to the event start.
  • Vendors are expected to remain set up and operational for the entire duration of the event unless approved otherwise by event staff.
  • Vendors must follow all instructions from Parks staff, event officials, and emergency personnel at all times.
  • Vendors are responsible for maintaining a clean, safe, and orderly booth space and must remove all trash and materials at the conclusion of the event.
  • The City is not responsible for lost, stolen, or damaged property.
  • The City reserves the right to remove any vendor who fails to comply with event rules, safety requirements, or operational expectations.
  • The event will take place rain or shine unless severe weather requires changes or cancellation.

Submission of an application indicates acceptance of these terms and conditions.

Prices

RWB Fest – Merchandise Vendors $50.00 Non-refundable The merchandise vendor participation fee is $50.00. To secure your space, payment must be received by the deadline provided in the approval email. Failure to submit payment by the stated deadline will result in removal from the event and the space may be offered to another vendor. Payments are made payable to Kops and Kids and may be submitted in one of the following ways: Mail: Kops and Kids PO Box 179 Newcastle, OK 73065 In Person: City Hall 120 NE 2nd Street Newcastle, OK 73065 (Cash or check accepted) Due to limited space and a cap of 60 total vendor spaces, submission of an application does not guarantee acceptance. Additional event information, including setup times, load-in instructions, and final logistics, will be provided closer to the event date.
