About the registration

Welcome to the Troy Strawberry Festival food vendor application. 

 

This is the doorway to the heart of the Troy Strawberry Festival - the main revenue generator for many of the local non-profit organizations that serve Troy and Miami County, Ohio!  Your participation is key to the successful operation of dozens of services and support that make the area a great place to live!

 

This application is required for:

-Local Non-Profit Organizations running their own food operations for the purpose of generating revenue for their continued operations.

 

-Commercial food vendors that have partnered with a Local non-Profit Organization and have a signed profit-sharing agreement as specified in the TSF Rules and Regulations in place at the time of application.  The LNPO does not fill out this application, only the commercial vendor.

If no agreement is in place this application WILL NOT be approved.  Please contact the office for guidance if this is unclear or if you are having trouble.  The Troy Area Chamber of Commerce is unable to pair up vendors with organizations, but can provide a list of ones you may contact.

 

(Local Non-Profit Organization (LNPO)= a non-profit located in or serving Troy/Miami County, Ohio subject to verification).

 

What you will need to complete this application:

 

  • Primary Contact Information (entered under Business Name section even if you are an LNPO)- this is the person who will be contacted for everything during the event and issues with this application. A working, frequently checked email address is required as this is the primary communication method through the Eventeny website as well as direct emails for the office, as well as a working telephone number that can accept calls any time of day or night.  The information in the Eventeny account that this application is listed under should match this information.

 

  • Menu with product descriptions including handmade beverages if being sold (soda & water sales are governed under a separate purchase/sales agreement with the TACC)..

 

  • Pictures of food product and retail frontage.

 

  • Profit-Sharing agreement as specified in the TSF Rules and Regulations (signed and dated this year)

 

  • Commercial Insurance Policy as specified in the TSF Rules and Regulations (unexpired, in-force dates to include this event)

 

  • Non-profit contact information including an active phone number and email address.  LNPO's will enter the same info as the business contact on this application if applying for a self-run space.

Terms & Conditions

Applications close March 31st at 11:59pm.  Apply early as we evaluate submissions continuously.  An email will be sent through Eventeny regarding status changes as we evaluate entries.

 

This is an outdoor event and happens rain or shine.  Please be prepared.  Event may be suspended/closed/ended by organizers or public safety authorities at any time for extreme weather or other safety reasons.

 

Approval, Space size, rentals, and utilities are not guaranteed, even for returning participants.

 

No fees will be charged until application is approved.

 

Spaces must be maintained for queue/wait-lines, cleanliness, as well as safety and security. Oil and grease spatter/spill mitigation must be maintained to avoid charges for concrete/asphalt cleaning and repairs.  Operations are subject to Full Stop Order by event leaders for non-compliance.

 

All waste-water is handled via collection tanks managed by the festival.  Pneumatic tires and a battery-operated transfer pump are encouraged.

 

ABSOLUTLEY NO VEHICLES MAY ENTER/LEAVE/OPERATE WITHIN THE FESTIVAL SITE AFTER 3PM ON FRIDAY JUNE 5TH THROUGH EVENT CONCLUSION.  UNAVOIDABLE CIRCUMSTANCES MAY ONLY BE ACCOMMODATED UNDER RARE ESCORT BY FESTIVAL REPRESENTATIVE WITH PRIOR NOTIFICATION AND APPROVAL.

12x12 Tent Rental $230.00 Non-refundable Tent rental is available through the festival and its contracted vendor. Tent rental includes rental of a fire-retardant tent, installation, and removal of the tent(s). The festival will order and place your requested tent.
12x24 Tent Rental $360.00 Non-refundable Tent rental is available through the festival and its contracted vendor. Tent rental includes rental of a fire-retardant tent, installation, and removal of the tent(s). The festival will order and place your requested tent.
12x12 and 12x24 Tent Rental $590.00 Non-refundable Tent rental is available through the festival and its contracted vendor. Tent rental includes rental of a fire-retardant tent, installation, and removal of the tent(s). The festival will order and place your requested tent.
20 AMP/120 Volt Circuit $25.00 Non-refundable A singular 20 AMP/120 Volt Circuit with a standard three prong receptacle to a vendor-provided heavy-duty 12ga grounded extension cord is $25. Connections are 1:1, no splitters or tri-taps permitted. Vendors can have a maximum of (4) 20AMPs with their total being $100.
30AMP/240 Volt Circuit $80.00 Non-refundable A singular 30AMP/240 Volt Circuit requiring a vendor-supplied NEMA L14-30 twist lock connector on their service cord. This is NOT an RVappliance connector. Vendors can have a maximum of (1) 30AMP with their total being $80.
50 AMP/240 Volt Circuit $100.00 Non-refundable A singular 50AMP/240 Volt Circuit connection requiring vendor-provided SSR-50P or CS6365C twist lock connector on their own service cord. This is NOT an RVappliance connector. Adapters WILL NOT be provided. Vendors can have a maximum of (1) 50AMP with their total being $100.
