Foodees Fest
Charlotte, Charlotte Premium Outlets September 11-13th 2026

Welcome and thank you for your interest in vending with Foodees Food & Culture Festival.

FoodeesFest is a large-scale, outdoor, multi-day festival celebrating food, culture, and small businesses. Events typically host 100+ vendors, including food trucks, tented food vendors, artisans, authors, and non-food retailers.

This application helps us understand your business, menu or products, setup needs, and category placement. Submission of an application does not guarantee acceptance.

Each vendor must apply under the category that matches their actual setup and product type.

 

Important Event Protocol
• All vendors must be self-sufficient
• No power or water is provided
• Silent generators only (70 dB or below)
• Straight-leg canopy tents only
• Professional signage is required
• Beverage sales are restricted unless approved

 

Menu & Product Approval
All food vendors must submit:

• Category selection

Only approved items may be sold. Menu changes are not permitted once approved.

 

Load-In, Setup & Breakdown
Final schedules, layouts, permits, inspections, and operational updates are shared exclusively through the Foodees Vendors & Sponsors Facebook Group. Joining the group is mandatory for participation.

Late arrivals, early breakdown, or no-shows may result in removal without refund and loss of future booking eligibility.

 

Event Overview 
The Foodees Food and Culture Festival, hosted at Charlotte Premium Outlets is a dynamic celebration of diverse cuisines, artisan crafts, and rich cultural expressions designed to unify and delight our community. We aim to provide a memorable platform for both new and established vendors to connect with a wide audience in an atmosphere of celebration and discovery. 
 

Vendor Participation 

Foodees Vendors and Sponsors Facebook Group: ALL vendors are required to join the Foodees Vendors and Sponsors Facebook group. This is where vendors will find all information concerning events, layouts, load-ins, and permit information. Vendors will also find all information about event specific rules in the Facebook group. Joining the group is mandatory.

Space Allocation: Upon selection, we will allocate a specific area tailored to accommodate your setup needs, ensuring you have the necessary space to engage effectively with festivalgoers. Vendors are responsible for supplying any required utilities, including power and water, as well as all equipment necessary for their operation.

Pricing Transparency: All food prices must be clearly posted and visible to customers. Any vendor caught "price gouging" or changing prices for different customers will be asked to leave immediately without warning or refund.

Approved Merchandise: Vendors must submit a full list of items or merchandise to be sold at each event. Once your menu or products have been approved, you may not sell any additional items. This helps eliminate oversaturation of similar items. Vendors caught selling "unapproved" items will be asked to leave the event.

Alcohol Sales: No vendor is permitted to sell alcohol at an event without prior approval from Foodees. If a vendor is found selling adult beverages Foodees, LLC will contact local authorities and eject vendor from the event. There will be no refund or exchange for transfer of booking fee.

Compliance and Termination: Any vendor that violates these agreements will be asked to leave immediately and will be barred from all future Foodees events. No refunds will be issued.

Food Preparation and Waste Management: Vendors preparing food on-site must apply for a minimum of 10x20 space. All tented food vendors are required to place a mat or tarp covering the entire ground area of their tented space. Failure to comply will result in the immediate closure of your business on-site until full compliance is met. They are also responsible for their own waste receptacles and must dispose of all food waste or vendor waste in designated dumpsters. Absolutely no dumping, rinsing, or pouring grease, oil, sauces, or food particles onto the ground, grass, pavement, parking lot, or drains. Any grease spills, stains, or residue left behind will trigger remediation.
Remediation includes oil/grease cleanup, power-washing, or any venue-required corrective service. Failure to comply will result in loss of deposit and/or a fee starting at $100 and up to $500. Fees are based on the actual cost of cleanup, documentation from the venue, and labor/time required.

Silent Generators and Canopy Tents: All food trucks and vendors must use a silent generator with a noise level of 70db or below. Vendors who arrive without a compliant generator will be required to obtain one immediately or will be removed from the event without any refund/transfer. Vendors must also use straight leg canopy tents with weights, Foodees is not responsible for damages due to not providing and using sufficient weights where applicable for tents.

Hygiene and Cleanliness: Vendor spaces must remain clean throughout the event. Food prep areas, food prep items, vendor waste, and similar items must be hidden from the general public using canopy tents, pipe and drape, or other approved items.

Vehicle Access: Vendors are not allowed to pull their personal vehicles onto the event grounds until all customers have left the event area. Food trucks, food trailers,  or any vehicle will not be permitted on festival grounds until ALL customers have vacated the event grounds.

Photography, Videography, and Intellectual Property Usage:
By participating in the Foodees Food & Culture Festival, the Vendor grants Foodees, LLC and its representatives permission to photograph, video record, or otherwise capture images of the Vendor’s booth, property, and activities during the event.

The Vendor further agrees that Foodees, LLC has the right to use such images, videos, or recordings, as well as any logos, trademarks, or other intellectual property provided by the Vendor, for purposes including, but not limited to, advertising, promotion, and marketing of Foodees, LLC events, on any platform or medium, including social media, websites, print materials, and other forms of media.

 

The Vendor acknowledges and agrees that:

Ownership: All photos, videos, and other media captured by Foodees, LLC become the property of Foodees, LLC.


No Compensation: The Vendor will not be entitled to compensation for the use of images, videos, or intellectual property.


Accuracy: The Vendor guarantees that any logos or materials provided to Foodees, LLC are owned or licensed by the Vendor and that Foodees, LLC’s use of such materials will not infringe on any third-party rights.


This permission remains in effect unless otherwise revoked in writing by the Vendor before the event.

By signing this Agreement, the Vendor acknowledges and agrees to the terms outlined in this section.

Financial Commitment

Participation Fee: Your participation fee secures your designated spot at the festival and contributes to the event's operational costs. This fee varies based on the nature and size of your vendor space and is payable upon acceptance of this agreement. This fee is non-refundable except in the case of a full event cancellation by Foodees, LLC.

Rescheduling vs. Cancellation

Weather Policy: The festival is designed to proceed regardless of weather conditions. Should a reschedule be necessary, this does not constitute a cancellation. Refunds are only provided if the entire event is canceled by Foodees, LLC. Reschedule dates will be posted in the Foodees Vendors and Sponsors Facebook group. Vendors agree that, in the event of a reschedule, the vendor will transfer their booking to reschedule date.

Chargeback & Dispute Policy

By submitting payment and signing this agreement, you waive your right to initiate a chargeback or credit card dispute for any reason, including:

Event Turnout
Sales Performance
Vendor Placement
Weather/Natural Disaster/Damage that is weather related
Changes to Event Hours, Layout, and/or Schedule

Vendors who initiate a dispute or chargeback will be permanently banned from all future Foodees events, and their information will be logged into our vendor protection system. Disputes will be aggressively defended with contracts, photos, and digital logs.

 

Licensing and Permits

Compliance: All vendors must comply with health and safety standards and hold appropriate licenses and permits for their operations. Vendors participating regularly in Foodees events should obtain a retail license for each state where events are held, including NC, SC, GA, TN, FL, AL, VA, PA, NY, CT, MS, NJ, IL, VT, MI, MA & OH.

Timing and Scheduling

Setup and Teardown: Timely setup is essential for a seamless event start. Failure to meet the designated load-in schedule will result in the loss of your space and forfeiture of your fee. Any vendor that is late, unless due to a true emergency, will be asked to leave and will not be allowed to participate in the event.

Setup Deadline
All vendors must be fully set up and ready to serve/sell no later than one hour before the event’s official opening.


Load-In Schedule

Food Vendors (food trucks, food tents, etc.): Load-in typically takes place on Thursday from 8:00 AM-2:00 PM.


Crafters, Artisans, and Non-Food Vendors: Load-in typically takes place on Friday from 8:00 AM–10:00 AM.


Note: These hours are not guaranteed for every event but represent a common schedule.

By participating, you agree that all event schedule updates will be posted in that group and it is your responsibility to stay informed.

LATE ARRIVALS WILL NOT BE ALLOWED TO PARTICIPATE IN THIS EVENT. VENDORS WHO ARRIVE LATE WILL BE TURNED AROUND AND WILL NOT BE REFUNDED OR TRANSFERRED.

Friday: 1:00 PM - 9:00 PM
Saturday: 11:00 AM - 9:00 PM
Sunday: 11:00 AM - 7:00 PM

Terms & Conditions

FOODEES FEST – VENDOR TERMS & CONDITIONS
Facebook Group Requirement
All vendors are required to request to join and remain active in the Foodees Vendors and Sponsors Facebook Group, which is the primary channel for event communication, setup instructions, maps, and updates.

 
Foodees, LLC
By submitting an application and/or completing payment, the vendor (“Vendor”) acknowledges, understands, and agrees to the following Terms & Conditions in full.

 
Approval & Participation
Submission of an application does not guarantee acceptance. Foodees Fest, operated by Foodees, LLC, reserves the right to approve, deny, refuse, or remove any vendor at its sole discretion, at any time, with or without cause. Vendor placement, layout, location, and category assignments are determined by Foodees Fest and are final. Approval does not guarantee a specific location, layout preference, or category exclusivity.

 
Application Payment Authorization & Non-Refundability
Vendors must submit a valid method of payment with their application. Do not apply unless you are prepared to be charged.

Applications are reviewed based on festival availability and vendor category needs. Upon approval, the submitted method of payment will be automatically charged for the applicable vendor fee.

All approved charges are non-refundable. This includes, but is not limited to, cancellations or non-participation due to:

Staffing changes
Schedule conflicts
Illness or emergencies
Travel issues
Booking the incorrect event
Inability to attend all required event days
Failure to fulfill any obligation under this agreement
By submitting an application, Vendor expressly authorizes Foodees, LLC to charge the provided payment method upon approval and agrees that approval constitutes a binding commitment.

 
Approved Items
Vendors may sell only the items listed in and approved through their application. Unauthorized items, substitutions, additions, or changes are strictly prohibited and may result in immediate removal from the event without refund.

 
Pricing & Signage
All pricing must be clearly displayed using professionally printed signage. Handwritten signs are not permitted. Prices must be submitted for approval prior to the event if requested. Price gouging, inconsistent pricing, or failure to display pricing may result in immediate removal and permanent disqualification from future Foodees Fest events.

 
Alcohol & Prohibited Items
Alcohol sales are strictly prohibited. Vendors may not sell, sample, distribute, or display alcohol in any form.

The following items are also prohibited unless expressly approved in writing by Foodees, LLC:

CBD, THC, nicotine, or related products
Weapons or weapon accessories
Counterfeit or illegal goods
Violation of this section will result in immediate removal without refund and permanent ban.

 
Waste Management & Cleanup
Vendors must leave their assigned space in the same condition as it was upon arrival.

All trash and food waste must be disposed of in designated dumpsters
Cardboard must be fully broken down
No grease, oil, food residue, sauces, liquids, or wastewater may be dumped, rinsed, spilled, or poured onto the ground, pavement, grass, drains, or surrounding areas
Grease mats or containment trays are required for all food vendors.

Any spills or stains must be cleaned immediately using proper absorbents.
A Foodees Fest staff member must inspect and sign off on each vendor space Sunday night prior to departure.

Failure to comply will result in:

Forfeiture of deposit
Additional remediation fees exceeding $500, including venue charges, third-party cleanup costs, and documented damages
 
Deposits
A cash-only deposit is required at check-in:

$100 – food trucks and tented food vendors
$50 – artisans and crafters
Deposits are refundable only if the vendor:

Remains onsite for the full event
Properly cleans and restores their space
Complies with all rules and protocols
Early exit, no-shows, or rule violations will result in deposit forfeiture.

 
Load-In, Attendance & Early Exit
Vendors must arrive and set up during assigned load-in times. Late arrivals may be denied entry without refund.

Vendors must remain onsite for the entire event duration. Early exit will result in:

Loss of deposit
Loss of future booking eligibility
Possible permanent ban at Foodees’ discretion
 
Vehicle Access
No vendor vehicles may enter or exit the event space until the crowd has fully cleared. This applies to all vendors, including food trucks and trailers. Early vehicle movement will result in deposit forfeiture and future booking consequences.

 
Power & Generators
Vendors supplying their own power must use quiet generators rated at 70 decibels or less. Unsafe, excessively loud, leaking, or improperly placed generators are prohibited and may result in immediate removal without refund.

 
Fire Safety
All vendors must comply with applicable fire codes and safety requirements.

Fire extinguishers are required where applicable
Vendors frying food must have a Class K fire extinguisher onsite
Propane, cooking equipment, and tent setups must meet fire marshal standards
Non-compliance may result in immediate removal.

 
Fees, Taxes & Processing
Vendor invoices include the vendor fee, applicable sales tax, and processing fees. All fees are non-refundable unless Foodees Fest cancels the event. Partial refunds are not issued under any circumstances.

 
Weather, Rescheduling & Venue Changes
Events are rain or shine. Weather delays, layout changes, reschedules, or operational adjustments are not cancellations and are not grounds for refund.

 
Chargebacks
Vendors agree not to initiate chargebacks or payment disputes. Any chargeback will result in:

Permanent ban from all Foodees Fest events
Recovery of fees, collections, and legal costs to the fullest extent permitted by law
 
Licensing, Permits & Compliance
Vendors are solely responsible for obtaining and maintaining all required licenses, permits, inspections, and certifications. All documentation must be displayed onsite and provided upon request. Vendors must comply with all city, county, state, and federal regulations.

 
Insurance Requirement
Vendors must carry general liability insurance with a minimum of $1,000,000 per occurrence and list Foodees, LLC as additionally insured. Venue names are not required but may be listed. Insurance may be purchased through Eventeny’s insurance partner after approval.

 
Independent Contractors
Vendors are independent contractors. Nothing in this agreement creates an employment relationship, partnership, joint venture, or agency relationship between the Vendor and Foodees, LLC. Vendors are solely responsible for their employees, contractors, wages, taxes, insurance, and compliance with all laws.

 
Media Release
Vendors grant Foodees Fest permission to use photos, video, and brand likeness captured at the event for marketing and promotional purposes. All media is the property of Foodees Fest.

 
Liability
Vendors assume all risk related to their property, staff, and operations. Foodees Fest and Foodees, LLC are not responsible for lost, stolen, or damaged items.

 
Accessibility
Vendors must maintain accessible booth layouts and customer service practices in compliance with applicable accessibility laws.

 
Communication
Vendors consent to receive email and SMS communications related to the event. Opt-out instructions are provided with each message.

 
Accuracy of Information
Vendors certify that all information submitted is accurate and truthful. False or misleading information may result in immediate removal without refund.

 
Governing Law
This agreement is governed by the laws of the State of North Carolina.

 
Agreement Acknowledgment
By submitting an application and/or completing payment, Vendor confirms that they have read, understand, and agree to all Terms & Conditions above.
