Bite Food Vendor Application
About the application
Local food trucks are invited to participate in the Bite Passport Program! There are two categories for food trucks to enter: Savory and Sweet.
As part of the program, participating vendors will offer complimentary bite-sized samples of their cuisine to passport holders. A tent is required for all vendors serving their small bites, allowing food trucks and trailers to remain available for attendees placing menu orders.
Guests will sample sweet and savory bites and vote for their favorites during the official voting window from 11:00 a.m. to 3:30 p.m., with 1st place winners announced before the event headliner takes the stage. Food vendors are expected to serve passport holders until the event concludes at 6:00 p.m.
Vendors are encouraged to sell additional menu items to attendees not participating in the Bite Passport Program and will retain 100% of all on-site sales.
About the event
Terms & Conditions
- Sample Distribution:
- Bite Vendors are required to provide 1,250 "Bite" samples exclusively to participants who have purchased a Bite Passport.
- Compensation: The City of Pflugerville is providing a stipend to all participating vendors to assist with the expenses of the Bite Program samples. Bite vendors will receive the compensation via check after the event has concluded.
- Savory Vendors Stipend: $1.25 per bite
- Sweet Vendors Stipend: $0.75 per bite
- Drink Vendors Stipend: $0.25 per bite
- Menu Provision:
- A select menu is encouraged by the food vendor to provide for attendees not participating in the Bite Passport program. Expected attendance: 6,000-8,000.
- Marketing:
- The restaurant must provide a .png vectored logo, picture, and description of the item for the contest and make sure the item fits in the designated event sample cup of 2oz. Bite menu items and marketing materials will be due once your application is approved.
- Operating Hours:
- Bite Vendors are obligated to remain open for the entire duration of the event.
- Food Preparation Standards:
- Cottage Food Vendors: Products must qualify under Texas Cottage Law (shelf-stable, non-TCS items) and be properly labeled.
- Food Trucks: Must have a current permit and have passed a recent local health department inspection.
- Commercial Goods: All other foods must be prepared in a licensed, inspected commercial kitchen.
Standard home-prepared goods that do not meet Cottage Law requirements are strictly prohibited.
- Approved Items Only:
- Vendors may only sell items that have been explicitly listed on the application form.
- Alcohol Sales Policy:
- No alcohol sales are permitted unless operating from an approved beer booth; any specialty drinks must be noted.
- Permit Requirement:
- The City of Pflugerville will provide an Austin Public Health Temporary Food Booth Permit for food vendors who do not have a valid Pflugerville permit through Austin Public Health, at no additional cost to the vendor. Vendors with an existing Pflugerville permit are exempt from this requirement.
- Event Conditions:
- The event will take place rain or shine.
- Awards & Judging:
- The Bite of Pflugerville event will be judged by participants with 1st place awards, 2nd & 3rd place honorable mentions and a “City” award.
By agreeing to participate in the event, Bite Vendors acknowledge and agree to comply with the outlined terms and conditions. Failure to adhere to these conditions may result in the forfeiture of participation and associated fees. We appreciate your cooperation in making this event a success.
