WHAT WE PROVIDE
All approved vendors will receive:
- (1) 6-ft table
- (2) chairs
- Promotion via Aje Noire Creations official social media platforms
- Vendor spotlight features
- Placement within a curated, high-vibrational marketplace experience
IMPORTANT DEADLINES
- Vendor Registration Closes: January 30th, 2026
- Vendor Fees Become NON-REFUNDABLE: January 15th, 2026
- All payments must be completed before confirmation.
EVENT DAY SCHEDULE
- Vendor Check-In + Setup: 12:00 PM – 3:00 PM
- Vendor Rest / Alignment Period: 3:00 PM – 3:45 PM
(A time for grounding, preparing energetically, and resting before VIP entry) - VIP Early Access Shopping: 3:45 PM – 4:15 PM
- General Admission Entry: 4:30 PM – 5:00 PM
- Event Duration: 5:00 PM – 9:00 PM
- Vendor Breakdown: 8:00 PM – 9:00 PM
(Early breakdown outside this window is NOT permitted unless approved by the event coordinator)
About the event
Terms & Conditions
- 1. Payment & Refund Policy
Vendor fees must be paid in full to secure your space. - All vendor fees become NON-REFUNDABLE after January 15th, 2026.
- Cancellations before January 15th may be refunded minus processing fees.
- No transfers, credits, or partial refunds will be issued after the non-refundable date.
2. Vendor Space
- Each vendor receives 1 table + 2 chairs as part of registration.
- Vendors must remain within their assigned space; no moving, trading, or expanding without approval.
- Additional racks/displays require prior approval.
- 3. Setup & Breakdown
Vendors must set up during the designated time (12PM–3PM). - Late arrivals may lose the opportunity to participate.
- Breakdown begins at 8PM and must be completed by 9PM.
- Vendors are responsible for leaving their space clean and free of debris.
4. Products Allowed
Products must align with the event’s energy and mission, including but not limited to:
- Art & handmade creations
- Jewelry & accessories
- Apparel
- Crystals & stones
- Books
- Spiritual tools
- Wellness & holistic goods
- Cultural & intentional offerings
- No violent, explicit, harmful, or inappropriate items are permitted.
Food Vendors
- Food sales are not permitted unless pre-approved.
- Approved food vendors/trucks must comply with all local health regulations and documentation requirements.
5. Energy & Conduct
HeartWave is a high-vibrational environment. Vendors are expected to:
- Maintain a positive, respectful, and welcoming presence
- Avoid disruptive noise, strong scents, or negative behavior
- Respect neighboring vendors, staff, and event guidelines
- Uphold the spirit and energy of HeartWave throughout the event
6. Liability
- Aje Noire Creations, Pressure Applied Management, HeartWave, and the hosting venue are not responsible for theft, loss, damage, injury, or accidents.
- Vendors participate at their own risk and must secure their belongings.
7. Media & Promotion
- Vendors consent to being photographed and/or filmed for promotional use by Aje Noire Creations, Pressure Applied Management, HeartWave, the hosting venue, and any photographers or videographers contracted for the event.
- Vendors may promote the event using the official HeartWave and Good VibrationZ Market flyers and approved branding materials provided.
8. Agreement
By submitting payment and completing registration, the vendor agrees to all terms and conditions outlined in this packet.
Prices
| Vendor Fee | $75.00 | Non-refundable | A portion of the vendor fee is non-refundable until December 31, 2025. NO REFUNDS will be issued after December 31, 2025. If you need to make payments toward your fee leading up to the event, please reach out so arrangements can be made. THE EARLIER YOU COMMUNICATE, THE BETTER! All vendors must either submit payment or confirm participation by January 15, 2026 to secure their spot. |
