Health & Wellness Vendor Terms and Conditions

Greater Phoenix Equality Chamber of Commerce
3rd Annual Queer Holiday Market
Event Date: Sunday, June 14, 2026
Event Time: 10:00 AM – 4:00 PM
Location: Warehouse215 | 215 E Grant Phoenix, AZ 85004

These terms apply to all registered non-profit organizations participating as vendors at the Queer Holiday Market.

1. Eligibility

Must be a recognized 501(c)(3), 501(c)(6), or mission-based organization.
A valid EIN or proof of nonprofit status may be requested during the application process.
2. Setup & Breakdown

Setup begins at 8:00 AM and must be completed by 9:45 AM.
Booths must remain open and staffed from 10:00 AM – 4:00 PM.
Early breakdown is not allowed. Teardown begins at 4:00 PM, and vendors must vacate by 5:30 PM.
3. Booth Space & Equipment

Standard booth space is 8x8 ft unless otherwise approved.
Non-profits must provide their own tent/canopy, tables, chairs, displays, and signage.
Tents must be secured with at least 25 lbs of weight per leg for safety.
Requests for a 8x16 space must be made in advance and may incur an additional fee.
4. Permitted Activities

Non-profit vendors may:

Distribute information, flyers, and branded materials
Collect donations, volunteer sign-ups, or newsletter subscriptions
Offer raffles, giveaways, or interactive activities
Product sales are not permitted unless pre-approved in writing by GPECC.
5. Conduct & Clean-Up

All vendors must maintain a respectful and welcoming presenceconsistent with the values of inclusion and community.
Booth areas must be kept clean and clear of trash. Vendors are responsible for removing all waste and materials at the end of the event.
No booth sharing is allowed unless authorized by GPECC.
6. Marketing & Promotion

By participating, vendors grant GPECC permission to use event-related photos, videos, or organizational logos for promotional purposes.
Non-profits are encouraged to promote their presence by tagging @gpeccaz on social media and using event hashtags.
7. Liability & Insurance

Non-profit vendors participate at their own risk and are encouraged to carry general liability insurance.
GPECC and the event venue are not responsible for any theft, injury, damage, or loss that may occur during the event.
8. Refund Policy

Vendor fees are non-refundable, except in the case of cancellation by GPECC.
No-shows or cancellations made within 30 days of the event will not be eligible for refunds and may impact future participation.
9. Final Instructions & Contact Info

Final event logistics, including booth placement and setup map, will be sent via email the week of the event.

8x8 Booth $200.00 Non-refundable Single booth space is 8 feet wide and 8 feet deep.
