Terms & Conditions

1. Eligibility - By applying to participate as an art vendor at Columbus Porchfest (“Festival"), you ("Vendor") confirm that all products offered for sale are original works of art or handmade items created by the Vendor. Mass-produced, commercially manufactured items are not permitted unless explicitly approved by the Festival organizers.

2. Application Process - Vendors must complete and submit the official Vendor Application Form by the specified deadline. Submission of an application does not guarantee acceptance. The Festival organizers will review all applications and select vendors based on criteria such as the originality, quality, and diversity of their work. Vendors will be notified of their selection status by March 21, 2026.

3. Payment of Fees - Upon acceptance, Vendors must pay the designated vendor fee ("Vendor Fee") by the payment deadline specified in the acceptance notification. Failure to pay the Vendor Fee on time may result in forfeiture of the vendor’s space at the Festival.

4. Vendor Space and Setup - The Festival will provide each Vendor with a designated vending space. Vendors are responsible for providing their own equipment, including tents, tables, displays, and signage. All setups must comply with the space and safety requirements outlined in the Vendor Information Packet. Vendors must complete setup by 11:30AM on the day of the event and must not dismantle their space before 6PM unless instructed by Festival organizers.

5. Art Display and Presentation - Vendors are encouraged to create an attractive and professional display of their work. All displays must be safe, stable, and suitable for an outdoor environment. Vendors should clearly price all items and have an organized method for handling sales transactions. The Festival reserves the right to request changes to a vendor’s setup if it is deemed unsafe or inappropriate.

6. Insurance - Vendors are strongly encouraged to carry adequate liability insurance that covers their operations at the Festival. The Festival, its organizers, and affiliates are not responsible for any loss, damage, or theft of Vendor property.

7. Electricity and Special Requests - The Festival does not guarantee the availability of electricity. Vendors must provide their own SILENT generators or water supplies if required. SILENT GENERATORS ONLY - NO EXCEPTIONS! If you plan to bring a SILENT generator, you must upload a photo showing that your generator is silent! Failure to do so will result in automatic disqualification.

8. Vendor Conduct - Vendors are expected to conduct themselves professionally and courteously at all times. This includes interactions with Festival staff, other vendors, and attendees. Vendors must refrain from playing loud music or engaging in disruptive behavior. Any violation of these conduct guidelines may result in the Vendor being asked to leave the Festival without a refund of the Vendor Fee.

9. Waste Management  - Vendors are responsible for managing and disposing of their waste properly. Trash and recycling bins will be provided by the Festival, but Vendors must ensure that their area is clean and free of debris throughout the event. Vendors who fail to maintain cleanliness may be subject to additional fees or penalties.

10. Event Cancellation - In the event that the Festival is canceled or postponed due to circumstances beyond the Festival’s control (e.g., severe weather, governmental orders, acts of God), the Vendor Fee may be refunded at the discretion of the Festival organizers. Alternatively, the Vendor Fee may be applied to a rescheduled date or a future event.

11. Indemnification - The Vendor agrees to indemnify and hold harmless the Festival, its organizers, sponsors, volunteers, and affiliates from any claims, damages, liabilities, and expenses arising out of or related to the Vendor's participation in the Festival, including but not limited to injuries, damage to art, or property damage.

12. Limitation of Liability - The Festival shall not be liable for any loss, damage, or theft of the Vendor’s property, equipment, or goods. The Vendor participates in the Festival at their own risk.
