The festival is responsible for providing compostable cups to all attendees. Porcelain tasting cups will be available for purchase ($10). You may provide your own tasting cups if desired (example: chai samples in paper cups).

About the event

The annual Eugene Tea Festival will offer interactive tastings and a vibrant marketplace featuring unique offerings from local artists and specialty tea vendors. This years general admission will be 100% free (includes compostable cup). Porcelain Cups will be available for purchase online and day-of for $10.

Terms & Conditions

To the best of their ability, vendors must provide a high-quality educational experience for attendees. Be knowledgeable about your products, services, and samples! Vendors with an indoor booth must provide tea samples for attendees. Eugene Tea Festival reserves the right to reject future applications if the Vendor breaks any of the policies or agreements in this application.

 

Applicants are requested to include a description, samples, photos, and/or literature about the products or services to be exhibited, along with an educational component to their sales efforts. Festival management reserves the right to reject the application based on quality or appropriateness to the festival whether returning or new vendors. Furthermore, any Vendor who arrives for move-in with products different from what was stated in the application may be asked to leave and there will be no refund of booth payments. Management reserves the right to remove any unauthorized or inappropriate products during the festival.

 

Booth Assignments:

Vendors will be assigned booth locations after May 1, 2026.

 

  • Booth location is based on sponsorship level and on a first-come, first-serve basis for fully paid booths. Extenuating circumstances will be considered if presented in writing.
  • No space will be assigned until the booth payment is fully received.
     

Cancellation Policy: No refunds for booth cancellations. The booth fee can be used to reserve a spot for 2027 if the vendor is unable to attend the 2026 festival.

 

Hours of Operation: Vendors are to remain open for business for the duration of the festival. Exhibits are not permitted to be taken down until 4:01 pm on Sunday, after the festival closes.

 

General Booth Layout and Acceptable Products or Services to exhibit:

  • The festival assigns exhibit space only for tea education and the promotion and sale of products and services specified in your application (including any subsequent modifications for which Vendors have obtained approval before move-in). Vendors promoting or selling any other products or services will be required to remove them from their exhibit.
  • All Vendors are encouraged to have a significant educational component within their exhibit.
  • Vendors are not permitted to exhibit or promote their products or services outside the boundaries of their assigned space or other approved spaces.
  • Vendors are not permitted to play music or use any equipment that projects sound, images or objects outside the bounds of their assigned space.
  • The use of headset and hand-held microphones is prohibited
  • Vendors are not permitted to place signage outside the bounds of their assigned space except in the case of Sponsors whose sponsor package includes such signage.
  • The exhibit space price does not include decorations, storage, janitorial, or other services.
  • Additional services and/or supplies needed for Vendor's booth are all subject to festival organizers discretion, must be arranged through festival organizers before April 30, 2026, and all expenses will be the responsibility of Vendor.
  • Storage - There is no on-site storage other than within Vendor's booth and under Vendor's tables.

 

Photography is encouraged – with limitations:

Casual, amateur photography is allowed and encouraged throughout the festival. For reasons of public safety, the use of tripods is not permitted during festival hours.

 

Vendor Listing on the Eugene Tea Festival Website

 

Only Sponsors will have their logos displayed on the Eugene Tea Festival website. If you are submitting a Sponsorship request, please email the following information to madelaine@eugeneteafestival.org.

 

  • Your Logo – High resolution is best, at least 350pix minimum.
  • Description – Provide a description of your business and its goods and services that best describe you to tea festival attendees.


Liability Insurance

  • We recommend that all Vendors be covered by Liability Insurance while exhibiting at the festival. Exhibitors should have liability insurance coverage that covers their business as it functions at the festival and that also covers the festival.


Please provide the following:

  • Certificate of Liability from your insurance company.
  • This certificate should show Eugene Tea Festival as additionally insured.


Note: There are not any specific limits required and should match the liability levels of your current policy. Usually, insurance companies will issue a Certificate of Liability Insurance at no charge.

The Fine Print – Please Read Carefully

 

1. This application is not a contract.


2. It is agreed that Eugene Tea Festival and its subcontractors are not insurers. Insurance, if any, shall be obtained by Vendor. Amounts payable by Eugene Tea Festival hereunder are based on the scope of liability as herein set forth and are unrelated to the value of the Vendor's property. It is further agreed that Eugene Tea Festival and its subcontractors do not provide for full liability should loss or damage occur. In the event that Eugene Tea Festival should be found liable for loss or damage to Vendor's equipment, the liability shall be limited to the specific article that was physically lost or damaged. Such liability shall be limited to a sum equal to $.30 per pound/per article with a maximum liability of $50.00 per item or $1,000.00 per shipment, whichever is less, as agreed upon damages and exclusive remedy. Provisions of this paragraph shall apply if loss or damage, regardless of cause of origin, results directly or indirectly to property through performance or nonperformance of obligations imposed by the offering of services to Vendors, or from negligence, active or otherwise, by Eugene Tea Festival and its subcontractors or their employees.

 

3. Eugene Tea Festival and its subcontractors shall not be liable to any extent whatsoever for any actual, potential, or assumed loss of profits or revenues, or for any collateral costs that may result from any loss, injury, or damage to Vendor's materials or Vendor personnel which may make it impossible or impractical to exhibit the same.

 

4. Eugene Tea Festival and its subcontractors shall not be responsible for any loss, delay, or damage due to events beyond their reasonable control which cannot be avoided by the exercise of due care and prudence, including without limitation, strikes, labor disputes, lockouts or work stoppages of any kind, fire, theft, windstorm, water, vandalism, acts of God, mysterious failure of power or utilities, and other events.

Inside Booth 10x10 $350.00 Non-refundable Our new vendor management platform charges a ~8.62% processing fee. This booth is located inside the Pavilion and includes electricity. You, the vendor, are responsible for bringing your own tables, chairs, and any other equipment you need (kettles, etc.). If you need a table, please include the table add-on in your application request.
Inside Booth 10x20 $700.00 Non-refundable Our new vendor management platform charges a ~8.62% processing fee. This booth is located inside the Pavilion and includes electricity. You, the vendor, are responsible for bringing your own tables, chairs, and any other equipment you need (kettles, table cloth, etc.). If you need a table, please include the table add-on in your application request. The festival is responsible for providing compostable cups to all attendees. Table Add-On $25.00 Non-refundable Booth fees do not include tables, please select this option if you need to rent a table(s) for your booth.
10x10 Tent Add-On $75.00 Non-refundable Booth fees do not include 10x10 tents/canopies, please select this option if you need to rent a tent(s) for your booth. Recommended for outdoor booths. Rental comes with tent weights.
Electrical Access (Outdoor Booths) $50.00 Non-refundable Indoor Booths come with access/equipment to electricity. Outdoor Booth fees do not include electrical access, please select this option if you need electrical access and equipment for your Outdoor Booth.
