Ready to feed the fandom? The Geek Out Pool Party is the ultimate splash of anime, gaming, and island fun — and we’re inviting local food vendors to dive in!

Bring your most mouth-watering creations and serve hundreds of hungry geeks, gamers, and party-goers at one of the most anticipated summer events in The Bahamas. From bubble tea and burgers to conch fritters and sweet treats, this is your chance to showcase your flavor, connect with new customers, and make a real splash in the community.

💸 Sales System: All food and drink purchases will be made using Funny Money, our exclusive event currency. It’s easy, secure, and keeps the vibes flowing smoothly!

🕑 Arrival Time: Vendors must be fully set up by 2:00 PM sharp — we open the gates right after, and the crowd comes hungry!

Terms & Conditions

The vendor manager will call you to confirm your participation before charging your card.

Food Vendor Terms & Conditions
(“Vendor”, “You”)
For participation in the “The Geek Out Pool Party” organized by The Geek Out (“Organiser”, “We”, “Us”)

 

1. Event & Vendor Fee
1.1 Vendor is granted a single table space at the Pool Party for the date and location specified in your vendor agreement.


1.2 Vendor shall pay a non-refundable fee of US $165 (One Hundred and Sixty-Five US Dollars) for the table space (“Vendor Fee”) to secure participation.


1.3 Vendor Fee must be received in full by the deadline specified in the vendor agreement. Failure to pay by the deadline may result in denial of the table space.

 

2. Vendor Arrival, Setup & “Funny Money”
2.1 Vendor agrees to arrive and be fully setup no later than 2:00 PM on the day of the event. Late arrival beyond this time may result in forfeiture of the table space without refund.


2.2 At the event, attendees will use a special event currency (“Funny Money”) issued by the Organiser. Vendor agrees to accept only the Funny Money during the event for sales. Vendor will be prepared with change of FM100 if required by the Organiser.


2.3 Vendor must adhere to the Organiser’s instructions regarding the exchange, redemption or settlement of the Funny Money after the event ends. This may include accepting wire transfers for accrued funds.

 

3. No Refunds
3.1 Vendor acknowledges that the Vendor Fee is non-refundable under all circumstances, including (but not limited to) Vendor choosing not to attend, canceling, non-performance, or early departure.


3.2 Organiser shall have no obligation to refund any portion of the Vendor Fee if the event is postponed or relocated (see Clause 5 for Force Majeure).

 

4. Vendor Obligations & Conduct
4.1 Vendor shall operate cleanly and professionally at all times, comply with local health and food safety regulations, secure any required permits or licences, and maintain appropriate insurance coverage.


4.2 Vendor shall not sell items outside the scope of food/beverage service (unless previously agreed by the Organiser).


4.3 Vendor shall keep its table space free of hazards, trash, etc; and shall remove its equipment, signage and waste by the time specified by the Organiser (or be subject to disposal at Vendor’s expense).


4.4 Vendor agrees to indemnify and hold harmless the Organiser from any claims, liabilities, damages or fines arising from Vendor’s service, operation, food safety issues, guests, staff, or breaches of applicable law.

 

4.5 Vendor Agrees to have and hold a valid Food Handlers Permit

 

5. Force Majeure
5.1 If the event is delayed, postponed, canceled or relocated due to causes beyond the reasonable control of the Organiser (including but not limited to acts of God, storms, fire, civil unrest, pandemic, governmental order, failure of venue utilities, or other force majeure event) (“Force Majeure Event”), then the Organiser may at its discretion:
a) reschedule the event, or
b) relocate the event to an alternate venue, or
c) cancel the event entirely.


5.2 In the event of cancellation under Force Majeure, the Vendor Fee will not be refunded, but the Organiser may (at its sole discretion) provide a credit or priority placement at a future event.


5.3 The Organiser shall not be liable for any additional costs, losses or damages incurred by Vendor due to a Force Majeure Event.

 

6. Termination by Organiser
6.1 The Organiser reserves the right to refuse or remove Vendor from the event (or prohibit setup) if Vendor breaches these Terms, fails to arrive by 2:00 PM, fails to pay the Vendor Fee, or engages in conduct deemed inappropriate by the Organiser.


6.2 In case of Vendor removal for cause, no refund or credit of the Vendor Fee will be given.


6.3 Vendor remains liable for any damage to the venue, property or other participants caused by Vendor, its staff or invitees.

 

7. Venue, Safety & Compliance
7.1 Vendor shall abide by all venue rules, event rules, pool safety regulations, local health and safety laws and any instructions of event staff or venue management.


7.2 Vendor shall be solely responsible for its own equipment, setup, signage, utilities (if any), and any associated costs, unless otherwise agreed.


7.3 Vendor must maintain a safe environment and shall not permit any unsafe practices, food contamination, or violation of health codes.

 

8. Use of Name & Marketing
8.1 Vendor grants the Organiser the right to use Vendor’s name, logo and images of Vendor’s booth/activity for promotion of the event, in print and digital form, without further compensation.


8.2 Vendor shall not use the Organiser’s name or event marks in its own marketing in a way that implies sponsorship or endorsement by the Organiser, unless the Organiser consents in writing.

 

9. Limitation of Liability
9.1 To the maximum extent permitted by law, the Organiser’s liability to Vendor under or in connection with these Terms, whether in contract, tort (including negligence), breach of statutory duty or otherwise, shall be limited to the amount of the Vendor Fee paid.


9.2 The Organiser shall not be liable for any indirect or consequential losses, loss of profits, loss of business, reputation, increased costs or expenses suffered by Vendor.

 

10. Governing Law & Dispute Resolution
10.1 These Terms shall be governed by and construed in accordance with the laws of the Commonwealth of The Bahamas.


10.2 Any dispute, controversy or claim arising out of or relating to these Terms, the event or the booth arrangement shall be submitted to the exclusive jurisdiction of the courts of The Bahamas.

 

11. Entire Agreement
11.1 These Terms (together with any vendor application form, booth agreement or invoice) constitute the entire agreement between Vendor and the Organiser in respect of the subject matter herein and supersede all prior negotiations, representations or agreements whether written or oral.
11.2 No amendment to these Terms shall be effective unless made in writing and signed by an authorised representative of the Organiser.

 
Vendor Acceptance
By submitting the vendor application and paying the Vendor Fee, Vendor confirms that it has read, understood and agrees to these Terms & Conditions.
