About the application
Thank you for applying to be a Food Vendor at the upcoming Shakori Hills GrassRoots Festival, May 7-10, 2026.
Please read the below information carefully before submitting your application!
Chatham County Health Department forms must be completed and submitted upon confirmation of participation. All TFE applications must arrive at the Health Department no later than 15 days before the festival. The NC Health Department charges a $75.00 fee for each Temporary Food Establishment permit issued. Insurance Certificate: You must have General Liability of $1,000,000 per occurrence, $2,000,000 Aggregate with Shakori Hills Community Arts Center and Finger Lakes GrassRoots Festival named as additional insured. Vendors must be set up by 6pm, Wednesday May 6th. This ensures attendees safety and provides time for any needs to be taken care of before opening day. All vendors must keep booths intact and open until 6pm on Sunday. Absolutely no early breakdown! You may, however, stay open later, if you please. Total electrical amperage: No more than 20 amps per booth. All cooking equipment must be non- electric. No generator usage permitted. Fees: $375 and 10% of total sales (settlement report required) $25 Wifi Access fee Included with participation: electricity, one parking pass, and six weekend passes. ***All serving materials given to your customers must be recyclable or compostable.***ITEMS YOU CAN USE FOR SERVING: *Waxed Paper *Paper or wood *Aluminum Foil *Engineered compostables (please see attachment for more info)ITEMS YOU CANNOT USE FOR SERVING: *#6 Polystyrene (Styrofoam) *Plastic Drink Straws or Lids Any plastics (including Cutlery) Individual packets of condiments. NO plastic water bottes may be sold** Selling any single use plastic items will result in a $500-$1,000 fine. Any exceptions must be approved by festival staff. Each vendor has full responsibility for the security of his or her goods, property and booth at all times. Each vendor also has full responsibility for workers while at the festival. Each vendor must provide trash and recycling containers, with lids, and liners for his or her booth area, and must keep his or her site clean! It is expected that each site is in the same condition upon departure as it was upon arrival; all debris removed, and all trash and recycling placed in trash receptacles and recycling bins. North Carolina tax is the responsibility of the food vendor. Any food vendor using propane must have an explosive gas detector plugged in underneath their propane cooking devices, maintain easy access to propane tanks and emergency shut off valves. NCDA&CS certification visible and up to date.

| Food Court Vending | $375.00 | Non-refundable | Fees: The vendor fee is $375 for all four days of the festival. This fee includes: electricity access, high speed internet access, (6) 4-day tickets, one (1) vendor parking pass. If you need additional admission wristbands, you will be able to purchase them at a discounted rate. 10% of gross sales will be due by Monday 10/6/25 at 12pm with settlement reports. |
