Vendor Application

Submitting a vendor application is FREE. Once you're approved to be a vendor, you receive access to select your vendor space on the fairgrounds map. After choosing a vendor space, you may proceed to the payment process. 

Vendor spaces range in price from $120 - $400 depending on where you choose to set up. We offer field space (approx 10x30'), pavillion (approx 10x12'), large tent coverage (approx 10x15'), and building space (approx 10x15'). 

Per the Carlisle Fairgrounds, electricity is limited but available near designated locations on the map with gray circles. (You will have access to the map when/if you're approved to be a vendor.)

Carlisle Antique Fest is an outdoor vintage, antique, handmade, and unique market held at the Carlisle Fairgrounds in Carlisle, PA. The event runs rain or shine. Spaces are available on a first-come, first-serve basis and must be reserved in advance.

Accepted Categories

We welcome vendors selling:

• Antiques – furniture, décor, jewelry, tools, and collectibles typically 50+ years old
• Vintage – fashion, accessories, décor, and items from the mid-century to early 2000s
• Handmade – original crafts, art, jewelry, candles, pottery, and textiles
• Unique Finds – upcycled, repurposed, or one-of-a-kind items that fit the event’s spirit
  (Vendors focused on mass-produced or new retail merchandise will not be approved.)

WE DO NOT ACCEPT - mass-produced or bulk-offered new merchandise, nor vendors offering service-based sales or consulting. 

Event Protocol

• Vendors must remain set up during all posted event hours.
• Booths must be clean, professional, and safe for visitors.
• Tents must be weighted and secured at all times. 
• Carlisle Events reserves the rights for food and drink sales

Parking & Setup - Vendors may either park in the parking lot or on their outdoor booth space.

Setup: Friday, 7 AM–12 PM
Early Shopping: Friday, 12 PM–6 PM
General Admission: Saturday 7 AM–6 PM | Sunday 7 AM–4 PM
Breakdown: Sunday after 4 PM (no early breakdowns)

Camping

Camping is permitted on site for vendors, but electric is limited at designated spaces*. 

Upon application approval, you acknowledge that you have read and agree to all terms listed below:

To participate as a vendor (“Dealer”) in Carlisle Antique Fest, you are entering an agreement with Yellow Woods Ventures LLC, dba Carlisle Antique Fest (hereafter the “Promoter”). 

For the purposes of this agreement, the vendor’s registered name and/or business name will be referred to as the “Dealer.” These terms apply to every Carlisle Antique Fest event for which the Dealer registers and participates.

Space Reservation
Once approved, all space reservations must be made directly and exclusively through Promoter. The Promoter reserves the right to refuse service, participation, or space rental to any applicant at Promoter's discretion and for any reason. The Promoter reserves the right to revoke service, participation, or space rental to any Dealer at Promoter's discretion at any time, for any reason.  

Dealers must complete the application, agree to these Terms and Conditions, and submit full payment before a space is considered reserved. No spaces will be held without approved application and completed payment. Promoter reserves the right to relocate Dealer space assignment to another location at Promoter's discretion. Dealers may not sublet, share, or transfer their contracted space to another party without prior written consent from the Promoter.

Dealer Performance
Dealer understands and agrees that Promoter makes no promises or guarantees, either expressed or implied, regarding sales, customer traffic, or the performance of any vendor at the event. Each Dealer is fully responsible for their own sales performance and business outcome at Carlisle Antique Fest and any other events hosted by the Promoter. All payments made to the Promoter are solely for the rental of exhibit space at the event. 

Set-Up, Display, Pack-Up
Dealer must set up and maintain their displays in a way that does not block aisles, create safety hazards, or obstruct any areas required for fire code compliance.

Dealer must keep all displays, merchandise, and signage within the limits of their assigned space and may be required to adjust or modify their setup at the discretion of the Promoter for any reason, including safety, aesthetics, or event flow. All merchandise offered for sale should align with the overall theme and quality standards of Carlisle Antique Fest, as determined by the Promoter. Items must be truthfully and accurately represented to customers. The products displayed at the event should be consistent with what the Dealer presented or described during the application process. The Promoter reserves the right to require the removal or adjustment of any merchandise or display that is deemed unsuitable, misleading, or inconsistent with the character or quality of the show.

Dealer agrees not to pack up, dismantle displays, or remove merchandise before the official close of the show unless they have received prior written approval from the Promoter.

Dealer Behavior
Dealer is expected to conduct themselves in a respectful and professional manner at all times. The use of profanity, abusive language, or any disruptive behavior will not be tolerated.

Photo & Video

Dealer grants the Promoter permission to photograph, film, or otherwise capture images of the Dealer, their booth, and merchandise during the event. These images may be used by the Promoter, or its authorized representatives, for any purpose related to the advertising, marketing, or promotion of Carlisle Antique Fest or its future events.

The Promoter reserves the right to edit, crop, modify, or combine these images with other photos, graphics, or text without notice or additional approval from the Dealer.

Dealer also authorizes the Promoter to use their name, business name, and any information provided during registration in connection with the marketing and promotion of Carlisle Antique Fest, in both print and digital formats.

Failure to Comply

Dealer understands that failure to comply with Terms and Conditions may result in immediate removal from Carlisle Antique Fest and loss of eligibility for future participation in any and all events organized by Promoter. Dealer understands that in cases of dismissal, early departure, protest, or complaint made before, during, or after the event, no refunds will be issued. All sales are final.

Cancellation Policy
NO REFUNDS WILL BE ISSUED. ALL SALES ARE FINAL.

 Reservations are nonrefundable. Cancellations must be received IN WRITING, no later than 20 days prior to setup (by 12:01 AM on April 10, 2026), to be eligible for rollover credit to the next show. Cancellation after this time will result in forfeiture of payment. Rollover credit must be used within one year from the time of the event for which dealer was registered. If not used within the one year time-frame, rollover funds are forfeited and may no longer be applied. Cancellations must be submitted via email to info@carlisleantiquefest.com.

In the event of show postponement by Promoter, all deposits and payments will be rolled to the rescheduled event. If the entire event is cancelled refunds will be issued to those who don't want a rollover credit. 

Sales Tax
Dealer understands that Promoter may be required to supply Dealer information, which includes but is not limited to registered name, address and phone number to governing tax authorities at the conclusion of the event. 

Waiver of Liability and Hold Harmless Agreement

In consideration for receiving authorization from Yellow Wood Ventures LLC to participate in the Carlisle Antique Fest event held at the Carlisle Fairgrounds, Carlisle, Pennsylvania, May 8–10, 2026, I hereby RELEASE, WAIVE, DISCHARGE AND COVENANT NOT TO SUE Yellow Wood Ventures LLC, Carlisle Fairgrounds, their officers, agents, volunteers, or employees (hereinafter referred to as RELEASEES) from any and all LIABILITY, claims, demands, actions and causes of action whatsoever arising out of or related to ANY loss, damage, or injury, including death, that may be sustained by me, my agents or associates, or any of the property belonging to me, or minor children under my care, WHETHER CAUSED BY THE NEGLIGENCE OF THE RELEASEES, or otherwise, while participating in such activity, or while in, on, or upon the premises where the activity is being conducted.

• I am fully aware of the financial, material, physical and other risks involved and the hazards connected with this activity, including but not limited to travel and/or any on-site hazards. I hereby elect to voluntarily participate in said activity with full knowledge that said activity may be hazardous to me and my property. I VOLUNTARILY ASSUME FULL RESPONSIBILITY FOR ANY RISKS OF LOSS OF ANY KIND, PROPERTY DAMAGE OR PERSONAL INJURY, INCLUDING DEATH, that may be sustained by me, or any loss or damage of property owned by me, as a result of being engaged in such activity, WHETHER CAUSED BY THE NEGLIGENCE OF RELEASEES OR OTHERWISE. I further hereby AGREE TO INDEMNIFY AND HOLD HARMLESS the RELEASEES from any loss, liability, damage or costs, including court costs and attorney fees, that they may incur due to my participation in said activity, WHETHER CAUSED BY NEGLIGENCE OF RELEASEES or otherwise.I understand that Yellow Wood Ventures LLC dba Carlisle Antique Fest does not maintain any insurance policy covering any circumstance arising from my participation in this event or any activity associated with or facilitating that participation. As such, I am aware that I should review my personal insurance portfolio.
• It is my express intent that this Waiver of Liability and Hold Harmless Agreement shall bind members of my family and spouse, if I am alive, and my heirs, assigns, and personal representative, if I am deceased, and shall be deemed as a RELEASE, WAIVER, DISCHARGE AND COVENANT NOT TO SUE OR HOLD LIABLE the above-named RELEASEES. I hereby further agree that this Waiver of Liability and Hold Harmless Agreement shall be construed in accordance with the laws of the Commonwealth of Pennsylvania.
• IN SUBMITTING THIS APPLICATION, I ACKNOWLEDGE AND REPRESENT THAT I have read the foregoing Waiver of Liability and Hold Harmless Agreement, understand it and sign it voluntarily as my own free act and deed; no oral representation, statements, or inducements, apart from the foregoing written agreement, have been made; I am at least eighteen (18) years of age and fully competent; and I execute the Release for full, adequate and complete consideration fully intending to be bound by same. Any minor children, of which I am their parent or legal guardian or have been given custody of their care by the act of bringing them to said activity with permission of their parent or legal guardian, do also empower me to make decisions on their behalf and certify this Waiver of Liability and Hold Harmless Agreement in their person.
