1️⃣ Event Participation
All vendors must be approved by FTFA prior to participation.
Once accepted, vendors will receive an official “Congratulations” email confirming participation.
Event is rain or shine. No cancellations or refunds will be issued due to weather or unforeseen conditions.
2️⃣ Payment & Refund Policy
Full payment is due at registration.
Your credit card will be charged immediately upon approval.
There are absolutely NO refunds for any reason (including weather, illness, or removal for non-compliance).
FTFA does not guarantee exclusivity of any product or food type.
3️⃣ Insurance, Documentation & Liability
To participate in this event, all vendors are required to upload the following into their Eventeny application prior to the event:
A valid Certificate of Insurance (COI) listing FTFA, the venue, and the city as additional insureds.
All wording for your Certificate of Insurance can be found in your Eventeny application.
A valid Health Permit from the local Health Department.
All vendors must carry general liability insurance with a minimum of $1,000,000 per occurrence.
FTFA is not responsible for any theft, loss, damage, or injury that occurs during load-in, throughout the event, or during load-out.
Failure to submit required documents by the specified deadline may result in forfeiture of your space with no refund.
4️⃣ Health & Fire Compliance
TRUCK REQUIREMENTS PER THE FIRE MARSHAL:
Every truck should have One Fire Extinguisher 2A:10B:C Tagged by a Third Party Certified Fire Protection Company. Secured in the truck and or mounted.
Every truck that cooks food-uses grease or fry's food should have a regular red fire extinguisher as I described above and a K-Class which is Silver on the outside for cooking/grease fires. Both tagged by a Third Party Fire Protection Company. Secured in the truck and or mounted. The K-Class has to be within 10 ft of the cooking equipment. ALL FIRE EXTINGUISHERS HAVE TO BE TAGGED IN DATE IS WITHIN A YEAR.
Kitchen ANSUL suppression systems: All have to be tagged by a Third Party Certified Fire Protection Company. These are done 2 times a year. So these tags- inspection dates have to be within 6 months.
Kitchen Hood Duct Work to Exit: All hoods, grills and cooking equipment should be clear of build up grease. This is a hazard for a fire by itself. The hood filters can be cleaned by you. The hood duct work inside to the exit has to be cleaned by a third party and tagged with the date of cleaning and should have the next date due.These are generally cleaned every 3 months is a good standard but can be 6 months according to use. Please don't come here with a grease build up inside the hood itself.
If you have any exit and emergency lights on or in the truck they have to work properly.
Make sure there are no electrical hazards as no cover plates on any junction boxes, electrical outlets, or open spaces in an electrical panel. Extension cords are not made for permanent use- I know there will be some used but make sure no frayed ends or exposed wiring on cords or surge protectors. All should be UL Listed and rated for indoor and outdoor use.
Try to make the areas around the food trucks as safe as possible with no trip hazards.
TENTS: Tents should have fire-flame retardant information on them: Permanently affixed label bearing the identification of size and fabric or material type. Tents should be 20 ft apart or away from other membrane structures. Cooking and heating equipment shall not be located within 10 ft of exits or combustible materials.
PROPANE TANKS: Shall be secured.
GENERATORS: Shall be installed not less than 10 ft of combustible materials, shall be isolated from the public by physical guard, fence, or enclosure not less than 3 ft away from the internal combustion power source. TENTS Generators should be 20 ft from the tent itself.
ANOTHER POINT- FLAT GRILLS- FRYERS PLEASE CLEAN UP YOUR COOKING EQUIPMENT COOKING SURFACES BUT AS WELL THE EQUIPMENT ITSELF AND BEHIND IT. I SAW A FEW FOOD TRUCKS LAST TIME AND ONE TENT THIS YEAR THAT HAD A LOT OF GREASE BUILD UP. THIS IS A HAZARD TO STARTING A FIRE AND THIS CAN AFFECT YOU, OTHER VENDORS AND THE PUBLIC. EVEN IF THE HEALTH DEPARTMENT PASSES YOU, I WILL NOT IT IF IT IS SEVERE ENOUGH. FIRES HAPPEN LIKE THIS QUITE OFTEN.
The Fire Department will inspect the morning of the event. Vendors must pass inspection to participate.
If a vendor fails inspection or is sent home for any reason, no refund will be issued.
5️⃣ Arrival, Setup, & Breakdown
Load-in times and directions will be included in your official Load-In Email prior to the event.
Vendors arriving after the stated cut-off time may not be allowed to enter and will forfeit their space.
Vendors must remain set up for the entire duration of the festival — early breakdown is not permitted.
All spaces must be left clean and free of trash or debris.
6️⃣ Parking & Vehicles
Trucks, trailers, and vendor vehicles must park only in designated areas.
If towing a trailer, you must unhitch and move your vehicle to the vendor parking area immediately after setup.
No additional vehicles may remain behind or beside your truck during the festival.
7️⃣ Electricity, Water, & Waste
Limited power is available and will be provided on a first-come, first-served basis.
Vendors are responsible for their own water and waste removal unless otherwise specified.
Generators must be quiet (below 70 decibels) and in good working order.
Absolutely no gray water, oil, or grease disposal on site — violators may be fined or banned from future events.
8️⃣ Conduct & Compliance
Vendors must act in a professional and respectful manner toward event staff, other vendors, and attendees at all times.
FTFA reserves the right to remove any vendor for unprofessional conduct, unsafe operations, or non-compliance with event policies.
Vendors removed from the event forfeit all fees and may be excluded from future festivals.
9️⃣ Marketing & Media
By participating, vendors grant FTFA permission to use photographs, video, or other media featuring their business for promotional purposes.
FTFA may tag or share vendor posts on social media to promote the event.
? Force Majeure
FTFA shall not be liable for failure to hold the event or for delay or cancellation due to causes beyond its control (including weather, natural disaster, government order, public health emergencies, or other force majeure events). No refunds will be issued under these circumstances.
