Welcome to Musselfest March 7-8, 2026! This is the application to have a booth for a non-profit organization at Musselfest 2026. This is an electronic agreement and by selecting to apply, you are validating and approving this agreement electronically.

About the event

Welcome to the 40th Anniversary of the Coupeville Historic Waterfront Associations’ Penn Cove Musselfest! We celebrate our local vibrant historic downtown shops, restaurants and Penn Cove Mussels. There are kid friendly activities, food demos, mussel eating contests, food vendors, a beer tent (Blue Zone), and live music.

Terms & Conditions

Non-Profit Organization Terms & Conditions
Coupeville, WA – March 7–8, 2026

 

1. Event Overview

  • Musselfest is an annual community festival celebrating local seafood, music, art, and culture. Non-profit organizations are invited to participate as valued community partners. By applying and participating, organizations agree to the following terms and conditions.

 
2. Eligibility & Application

  • Only recognized non-profit organizations (with current IRS or state nonprofit status) are eligible for this category.
  • All organizations must submit a completed application form with payment and required documentation by the stated deadline.
  • Acceptance is at the discretion of the Musselfest Committee. Submission of an application does not guarantee participation.

3. Fees & Payment

  • Non-profit booth fee: $50 per booth.
  • Booth fees must be paid in full upon acceptance.
  • Fees are non-refundable after January 30, 2026 except in cases of festival cancellation.

4. Hours of Operation

  • Organizations must be set up and ready by 11:00 am each day of the festival.
  • Booths must remain open during published festival hours:
    Saturday, March 7: 11:00 am – 4:30 pm
    Sunday, March 8: 11:00 am – 4:00 pm
  • Early breakdowns are not permitted without prior approval from festival staff.

5. Set-Up & Tear-Down

  • Organization check-in and set-up instructions will be provided at least two weeks prior to the event.
  • All vehicles must be moved from the festival grounds to designated parking areas by 10:00 am on event days.
  • Tear-down may not begin until the close of the festival on Sunday.

6. Booth Requirements

  • Organizations must provide their own tents, tables, signage, and equipment unless otherwise arranged.
  • All tents must be secured with proper weights (minimum 50 lbs. per leg). Stakes may not be used on pavement.
  • Booths must be staffed at all times during open hours.
    Signage must clearly display the organization’s name and purpose.

7. Activities & Sales

  • Non-profits may distribute information, offer activities, or fundraise only as described in their approved application.
  • Sale of food or beverages is not permitted unless approved by the Musselfest Committee and compliant with health regulations.
  • Any raffles, drawings, or games of chance must comply with state and local laws and be pre-approved.

8. Insurance & Liability

  • Non-profits are encouraged to carry liability insurance, but proof of insurance is not required unless conducting food/beverage service or activities involving elevated risk.
  • Organizations are solely responsible for their property and equipment. The festival is not liable for theft, loss, or damage.
  • Organizations agree to indemnify and hold harmless Musselfest, the Town of Coupeville, and event organizers from any claims arising from their participation.

9. Independent Contractor

  • The Organization shall be considered an independent contractor. This agreement does not establish an employer/employee relationship between the Organizer and Organization, and no such agreement shall be established at any time.

10. Compliance & Conduct

  • Organizations must follow directions from festival staff, safety officials, and law enforcement.
  • Professional, courteous conduct is required at all times.
    Failure to comply with these terms may result in removal from the event without refund.

11. Cancellations & Weather

  • Musselfest is a rain or shine event. Refunds will not be issued for inclement weather.
  • In the case of festival cancellation due to unforeseen circumstances (public safety, natural disaster, etc.), organizers will notify participants promptly regarding refunds or credits.

12. Additional Provisions

  • Organizations may engage only in activities and promotions listed and approved in their application. Any changes must be pre-approved.
  • Electrical access is limited and must be requested in advance.
  • Use of propane, open flames, or other potentially hazardous materials requires prior approval and compliance with safety requirements.

Acknowledgment

By submitting an application and payment, organizations acknowledge that they have read, understood, and agree to abide by these terms and conditions.

10x10 Booth $50.00 Non-refundable Single booth space is 10 feet wide and 10 feet deep.
