- Vegan Exchange may take photos and videos of your products. If you choose to repost a photo or video, you MUST add the words "PHOTO CREDIT: @VEGANEXCHANGELA" in the caption as it would violate copyright laws to not do so. If vendors are found not sharing credit to photos and videos, Vegan Exchange will report for copyright infringement & add their names to a DO NOT VIDEO/ PHOTOGRAPH list in perpetuity.
- We do not issue any refunds under any circumstances including unforeseeable events including pandemic outbreaks, government regulations, hurricanes or other weather-related events, etc. In the case that you have to cancel or simply cannot attend please email info@veganexchangeevents.com as soon as possible so we may credit you for a future date. Day-of cancellations and no-shows without any communication can affect future acceptances and will NOT be credited. We highly suggest you consider purchasing event insurance as this will help cover your costs in case of emergency or inclement weather. We recommend ACT Insurance,
- I understand that Vegan Exchange (VXLA) is a collaborative event - meaning the more we ALL promote, the more attendees we will have - and there is no guarantee of how many people will attend.
- I understand that Vegan Exchange is a RAIN or SHINE event and that no refunds will be given for inclement weather, pandemics, or unforeseen circumstances. If an act of god postpones an event, you will be credited for a future event. Inclement weather could result in up to 40% less attendance.
- I understand that it is my responsibility to promote my participation at Vegan Exchange through all of my social media channels to ensure my greatest success. I will NOT create a new Facebook event for my participation in Vegan Exchange but I will add Vegan Exchange's event to my Facebook page to maximize our collective reach.
- I understand that it is MY sole responsibility to sell my products and it is NOT Vegan Exchange's fault if I do not make a profit.
- I understand that if I leave trash/ oil/ food behind OR or if I leave before my area is cleared by an event manager, I am required to pay a clean up fee of $200 to have staff remove my trash. This is if I leave 1 box/ bag or 100 boxes/ bags.
- I understand that in order to participate in Vegan Exchange, in my normal, every day operations, my booth, restaurant, or truck MUST carry at least 4 100% vegan items as Vegan Exchange is NOT simply an opportunity to make money on the vegan community.
- I understand that HONEY is not vegan and I will NOT use honey in any of my products for Vegan Exchange.
- Vegan Exchange has the right to remove any vendor for any reason prior to or during Vegan Exchange without refunds if necessary. This includes but is not limited to: selling non vegan items, berating or being rude to staff who are simply doing their jobs, allowing animals inside of their booths, etc.
- I understand that I absolutely must promote my participation in Vegan Exchange on social media on at least 2 social networks- i.e. Instagram, TikTok & Facebook for example - in order to maximize our collective reach for our audiences.
- I understand that if I arrive late for set up, I will be charged a $50 late fee per 30 minutes late to be PAID UPON ARRIVAL.
- Are you cooking with propane and/ or grease? If so, do you ALREADY have a 5 lb (or more) Class ABC AND/ OR Class K fire extinguisher WITH receipt if within 2 years OR with tag attached in order to be compliant?
- I understand that I CANNOT sell any items that contain gelatin, meat, honey, beeswax, bee pollen, dairy, eggs, l. cysteine, feathers, gelatin, leather, suede... essentially there are to be no animal by products of any kind at my booth.
- I understand that Vegan Exchange does not provide WATER and I will need to bring my own for my gravity fed unit (if applicable) as well as any cooking I will be doing with it.
- FOOD & BEV TENTS - I understand that I must cover the ground of my booth with tarp AND I must have tarp coverage under fryers, grills, any equipment at the event.
- By typing your name here, you further agree to the waiver guidelines set forth regarding Vegan Exchange (the terms listed in the Terms and Conditions). You are also agreeing, as checked above, that you understand our refund policy as stated in the vendor application. Regarding Payment: Vendors will be charged two weeks in advance of every Sunday event that they are approved for and plan on participating in. Refunds will NOT be given, (exempting case by case exceptions as determined by management).
- NEXT STEPS - Read carefully: On the next page you will select the dates you are interested in applying in. For example, if you generally plan on being a weekly participant, select all the dates (you can always add/remove individual dates later on). Then, when selecting your booth type, be sure to complete the slection, and notitce the button "copy to all dates" will appear. This will save you a lot of time entering in the slections for each date.
