Thank you for your interest in participating in the Depot Days Festival as an Artwork Exhibitor. This event celebrates the culture, heritage, and creativity of our region and provides a platform for artists and exhibitors to connect with thousands of visitors. To ensure a safe, enjoyable, and family-friendly experience for all, the following guidelines must be adhered to by all participants. Submission of your application constitutes agreement to these terms.

Experience the Magic of Depot Days in Hartselle, Alabama Each September, the heart of Hartselle comes alive with the sights, sounds, and spirit of celebration as the Depot Days Festival rolls into town. Held annually on the third Saturday of the month, this cherished tradition transforms our historic downtown and depot district into a vibrant hub of family fun, live music, local flavor, and community pride. Hosted by the Hartselle Area Chamber of Commerce, Depot Days is a heartfelt tribute to the railroad industry that helped shape both Hartselle and the North Alabama region. What began as a simple homage to our railway roots has grown into one of North Alabama’s largest and most treasured festivals — a weeklong celebration of heritage, heart, and hometown spirit. In the days leading up to Saturday’s main event, the community gathers for a full slate of festivities, including a 5K run, community worship service, beauty pageant, community concert, and the all-new Landmarks & Legends showcase — a journey through the people, stories, and history that gave life to this charming city. 🎉 Festival Day kicks off at 8 a.m. and runs through 4 p.m., delivering an unforgettable experience for all ages. From a dazzling car, truck, and motorcycle show to live music performances, dozens of food and craft vendors, a juried art show, and the beloved Kid’s Station filled with games, interactive activities, and hands-on fun — Depot Days is packed with opportunities to make lasting memories. Terms & Conditions

1. Event Information
  • Date: Saturday, September 20, 2025

  • Time: 8:00 AM – 4:00 PM

  • Location: Downtown Hartselle, Alabama

2. Booth Setup & Check-In
  • A vendor packet will be sent two weeks prior to the festival with your assigned arrival time, parking passes, and check-in instructions.

  • Booths must be set up during the assigned time only. Vendors outside of their time zone cannot be guaranteed access.

  • Vehicles must be cleared from the event footprint after setup unless they are part of the display.

3. Power Access
  • Electricity-accessible booths are designated by darker colors on the festival map.

  • These booths are priced $25 higher than standard booths.

  • The $25 fee is non-negotiable and required for access to electricity.

  • Exhibitors are not allowed to plug into buildings, stores, lamp posts, or any unauthorized power sources.

4. Booth Requirements
  • Booth spaces must be left in the same condition they were found.

  • Failure to clean up your space may result in a clean-up fee or denial of future participation.

  • Exhibitors are responsible for supplying their own tables, tents, chairs, etc. the Festival only provides the 10x10 booth space for set up.
5. Conduct & Behavior
  • All exhibitors must present a friendly and respectable front with festival staff, law enforcement, and guests.

  • Failure to do so will result in immediate dismissal and future ineligibility.

  • Due to this being a family festival, we ask that you refrain from including any form of nudity or obscene imagery in your artwork or booth display.

6. Sales of Consumables
  • Exhibitors may not distribute or sell any consumables (including food and drink) without express written permission from the Hartselle Area Chamber of Commerce.

  • A separate application for consumable sales can be found at www.hartsellechamber.com/Depot-Days.

7. Music and Sound Policy
  • Music played at booths must be at a respectful volume and must not disturb surrounding exhibitors.

  • All music must be family friendly and may not contain excessive profanity, sexual innuendo, vulgar language, or hate speech.

  • Music may not interfere with any entertainment provided by the Depot Days Festival.

  • If sound is disruptive, you may be asked to turn it off.

8. Code of Conduct Agreement
  • Exhibitors are expected to adhere to the overall festival Code of Conduct.

  • This includes compliance with all rules, respectful behavior, and maintenance of a safe and welcoming environment.

  • Failure to comply will result in immediate removal from the festival grounds.

9. Cancellation and Refund Policy
  • Cancellations must be submitted in writing by July 20, 2025.

  • Cancellations received by this date will receive a 75% refund of the original booth fee.

  • The festival will retain 25% of all cancellations as an administrative fee.

  • No refunds will be issued after July 20, 2025, for any reason, including weather, lack of sales, or vendor cancellation.

  • This Festival is a Rain or Shine event. No refunds will be issued due to cancelation by weather conditions. The Festival and its affilate organizations, entities, and personel will not be held liable for damage to any goods as a result of weather.
