About the application
Honoring AAPI Month during the month of May for our annual Asian Cultural Festival is a one-day family-friendly festival with cultural performances, food and entertainment for everyone. This application is intended for arts and crafts vendors. We would like you to have an excellent business opportunity to promote your business and/or sell your unique products.
RETAIL BOOTHS SHOULD NOT:
- sell food or drinks
- have activities that other vendors will be providing for a fee (ex: free water, pop corn or other food besides small candy items)
- sublease vendor space to another vendor
- giveaway food. water or other goods that would be sold at the event
Please read all information carefully and follow all instructions when filling out and submitting the applications. Do not leave any area blank or assume we already have your information. We strongly encourage potential vendors to submit completed applications as soon as possible as spaces will fill up quickly. We look forward to reviewing your application!
Date: SATURDAY, MAY 10, 2025
Hours: Set up from 8 am to 11:30 am on SATURDAY, MAY 10, 2025
Operation from 12 pm to 8 pm
Vendor Fees: Booth fee including application fee are $ 50 for the day. A mandatory cleaning deposit of $50 is fully refundable provided your booth space is left clean.

Process:
1) Submit application below.
2) Applications will be reviewed by team.
3) You will receive an approval or regrets email to the address provided in your application by April 15, 2025.
4) You MUST attend one vendor training orientation (April 30, 2025). The session will be held live and via Zoom.

About the event
Terms & Conditions
1) BOOTH RENTAL: Vendors will provide their tents, tables, and chairs as well as lighting and any signage/decorations. Electricity is available but you must bring your extension cords.
2) VENDOR TRAINING: Each vendor must attend ONE Zoom training to learn about and adhere to the SUWANEE ASIAN FESTIVAL's vendor expectations. Date: 4/30/2025. The link will be emailed to your designated email.
3) BOOTH PLACEMENT: BOOTH PLACEMENT IS DECIDED ON A FIRST-COME FIRST-SERVED BASIS. Vendor preferences will be taken into consideration, but the final decision for placement is by the Event Planning Committee.
4) LOAD-IN: Detailed instructions for Load-In will be provided during the Zoom meeting.
5) WEATHER: The event is rain or shine. It is the responsibility of each vendor to bring weather-proofing gear and supplies as needed, such as tarps. The event may shut down temporarily in the event of severe and dangerous weather conditions, such as hurricanes or tornado, etc., and will re-open when conditions are deemed safe again.
6) CANCELLATIONS/REFUNDS" There will be no refunds. Please ensure your availability and staff before committing.
7) LIABILITY: All vendors are required to sign and submit a HOLD HARMLESS WAIVER (see below) for the SUWANEE ASIAN FESTIVAL.
