Welcome to the event! Browse through our applications and let us know if you have any questions. This is an electronic agreement and by selecting the booths, you are validating and approving this agreement electronically.

 

As an exhibitor or vendor at a comic convention, vendors usually have more space and flexibility than Artist Alley vendors and can offer a wider range of products, often including mass-produced or licensed items alongside original work. Here are some popular categories and examples of products that exhibitors typically sell:

  • Action figures and figurines (Funko Pops, Nendoroids, etc.)

  • Officially licensed toys and statues

  • Posters and banners of popular franchises

  • Trading cards (Pokémon, Magic: The Gathering, etc.)

👕 Apparel & Wearables

  • T-shirts and hoodies (fandom, pop culture, anime, gaming)

  • Hats, beanies, and snapbacks

  • Socks, scarves, and gloves with geeky themes

  • Cosplay pieces or costume accessories

💍 Jewelry & Fashion Accessories

  • Fandom jewelry (bracelets, rings, necklaces)

  • Watches or pins from specific franchises

  • Anime or gaming-themed sunglasses

👜 Bags & Carriers

  • Character-themed backpacks and messenger bags

  • Laptop sleeves, fanny packs, or pouches

  • Convention-exclusive tote bags

🎮 Gaming & Tech

  • Video games (retro and new)

  • Gaming peripherals (controllers, headsets, etc.)

  • Geeky tech gadgets (light-up keyboards, Bluetooth speakers shaped like characters)

📚 Books, Comics, & Manga

  • Graphic novels, manga volumes, and comic books

  • Indie and self-published titles

  • Art books, “making-of” guides, and visual encyclopedias

🧩 Toys, Games, & Puzzles

  • Board games, card games, or tabletop RPG materials

  • Dice sets (especially resin or metal)

  • Puzzles featuring fan-favorite art or scenes

🎨 Art & Decor

  • High-quality wall art or canvas prints

  • Fandom-themed tapestries or wall scrolls

  • Neon or LED signs featuring geeky quotes or icons

🕯️ Lifestyle & Home Goods

  • Fandom candles, mugs, or drinkware

  • Bedding and throw pillows with geeky patterns

  • Shower curtains, rugs, or towels with themed designs

💄 Beauty & Bath Products

  • Geeky nail polish or makeup sets

  • Character-inspired bath bombs or soaps

  • Perfume/cologne lines themed after pop culture

🧙 Cosplay Props & Supplies

  • Replica weapons, armor, or props

  • Foam and materials for cosplay crafting

  • Wigs, contacts, and cosplay repair kits

🧋 Indoor Food and Drink

  • Drink booth (boba, on-theme drinks)
  • Baked goods and sweets
  • Popcorn and snacks
  • There is no access to water (other than bathroom) and very limited access to electricity across the venue. Please tell us beforehand if you need accommodations. 

🧩 DIY & Maker Kits

  • Paint-your-own mini kits (e.g., D&D minis)

  • Model-building kits (Gundam, Star Wars, etc.)

  • DIY plush kits or art kits

Terms & Conditions

Chaoticon 2025 – Vendor Terms and Conditions

By applying to be a vendor at Chaoticon 2025 (September 13–14, 2025), you agree to the following Terms and Conditions:

1. Booth Information & Pricing

  • Standard booth spaces measure 10x10 ft and are priced at $350.

  • Double booth spaces measure 10x20 ft and are priced at $700.
  • Each booth includes (1) table and (2) chairs.

  • Corner booths are available for an additional $150, subject to availability.

  • Electricity is not guaranteed. If needed, vendors must contact the event team in advance to request access and make arrangements.

  • Sponsorship packages are available

    DOUBLE BOOTH available at $900 and include:

    • Two 10x10 ft booths

    • Location preference (side-by-side inline booths or one corner and one inline at no extra charge)

    • Endcap upgrade (2 corners) available for an additional $150

    • Logo placement in Celebrity Row

    • Complimentary autographs (you must bring your own items; limited quantity per vendor)

    • Sponsorship display featuring your business cards

      SINGLE BOOTH available at $500 and include:

      • One 10x10 ft booths

      • Location preference (one inline booth or one corner at no extra charge)

      • Logo placement in Celebrity Row

      • Complimentary autographs (you must bring your own items; limited quantity per vendor)

      • Sponsorship display featuring your business cards

       

 

2. Eligibility & Conduct

  • Vendors must sell products related to nerd culture, including anime, pop culture, toys, collectibles, apparel, comics, art, and more.

  • Vendors are expected to act professionally and respectfully toward attendees, staff, and fellow vendors.

  • Cosplay is not consent — vendors must respect all attendees’ personal space and boundaries.

  • Chaoticon reserves the right to remove any vendor from the event, without refund, for disruptive or inappropriate behavior.

3. Setup & Teardown

  • Friday (9/12): Setup from 11:00 AM – 9:00 PM

  • Saturday (9/13): Vendors must be fully set up by 10:30 AM
    – Restock allowed from 6:00 PM – 7:00 PM (must exit by 7:00 PM)

  • Sunday (9/14): Restock allowed from 8:30 AM – 10:30 AM

  • Teardown is not permitted before 4:30 PM on Sunday

  • All vendors must be fully packed and out of the venue by 10:00 PM Sunday

  • Overnight security will be provided, but vendors are still responsible for their own items.

4. Payments, Refunds, & Transfers

  • Chaoticon has a no refund policy.

  • In rare cases, refunds may be granted at the discretion of the organizers, and are not guaranteed.

  • Approved refunds will incur a $40 fee per booth and $10 per additional badge.

  • No refunds will be processed after August 1, 2025.

  • Booth spaces are non-transferable. If you cannot attend, your space will be offered to the next person on the waitlist.

5. Liability & Insurance

  • Chaoticon, its staff, and the venue are not responsible for any injury, theft, loss, or damage to any person or property.

  • Vendors are encouraged (not required) to carry their own insurance coverage.

  • Vendors participate at their own risk and agree to hold Chaoticon harmless for any issues that may arise during the event.

6. Event Policies

  • The event will be held indoors and will take place rain or shine.

  • In the event of severe or dangerous weather, Chaoticon reserves the right to reschedule the event.

  • No refunds will be provided in the event of a reschedule.

  • All vendors must comply with local laws and regulations, including sales tax collection if applicable.

By submitting your application, you acknowledge that you have read, understood, and agreed to abide by all Chaoticon 2025 Terms and Conditions listed above.
