If you are selling ANY FORM OF ALCOHOL, (i.e. Beer, Wine, Liquor, pre-packaged alcohol mixes, alcoholic slushies, or alcoholic frozen treats, un-opened liquor/wine bottles for sale), YOU MUST APPLY AS AN ALCOHOL VENDOR!!!!
PLEASE READ THIS APPLICATION VERY CAREFULLY BEFORE APPLYING TO BE AN ALCOHOL VENDOR.
Thank you for your interest in becoming an alcohol vendor at the 2026 Kimmswick Strawberry Festival. Each Vendor booth space is 10 feet x 10 feet for $350.00 each. This fee includes a temporary business license, a temporary city liquor license, and one parking pass. An additional parking pass per vendor for the event may be picked up at Kimmswick City Hall, space availability dependent. If handicap parking is required, a handicap parking pass will be provided in lieu of a regular parking pass.
PURCHASE OF BOOTH SPACES
- Each participant is required to provide their own tent(s), table(s), chair(s), and materials. Tent sizes must be in increments of 10 x 10 ft. Consider purchasing weights or ties to secure your tent, and anything else to safely and effectively operate for the duration of the festival.
- All festival vendor spaces require payment to the City of Kimmswick through Eventeny. No checks or cash will be accepted for vendor spaces at the City of Kimmswick festivals.
- If you have a truck that measures beyond the booth space, you must purchase additional spaces to accommodate your truck/trailer. We can only accommodate trucks up to 10 feet in width. We are not able to accommodate trucks/trailers exceeding 10 feet wide due to unlevel grounds behind some of the booths, and the potential of narrowing the walking paths along the street.
- Once the festival committee assigns you a booth space, you are able to view it on the map located on our page through Eventeny.com. You are also able to view the vendors near you, as well as the parking locations, trash, atm, restroom, EMS/FIRE/POLICE locations during the festival. The location of music entertainment and the city alcohol partners are viewable as well.
- Booth assignments are not considered final until May 1st
ALL SPACE ASSIGNMENTS ARE MADE AT THE SOLE AND ABSOLUTE DISCRETION OF THE KIMMSWICK EVENTS COMMITTEE. YOUR SUBMISSION DATE DOES NOT GARAUNTEE BOOTH SPACE REQUESTS; HOWEVER, IS HIGHLY CONSIDERED AS WE ASSIGN VENDORS.
The committee does their absolute best to accommodate everyone’s request; however, it is not a guarantee!
The Event Committee reviews applications based on the earliest submission dates.
· Applying early DOES NOT GUARANTEE APPROVAL of your application. Applying early provides the opportunity of your requests being accommodated AFTER YOUR APPLICATION IS APPROVED.
· Our event committee reviews previous years and attempts to make changes to better serve not only our vendors; but, our merchants and residents as well. Sometimes those changes do include the availability of certain booth spaces. If your booth number request falls into this category, the Event Committee makes their very best effort to place you as close as possible to that location.

APPLICATION SUBMISSION
Once you submit your application, you will receive an email stating the submission was successful. Submitting an application does not guarantee you will be approved as a vendor. These applications open on June 7, 2025. Our Event Committee WILL NOT BEGIN REVIEWING APPLICATIONS UNTIL THE APPLICATION CLOSING DEADLINE OF FEBRUARY 15, 2026. You may request refunds up until May 1, 2026. There will be NO EXCEPTIONS FOR REFUNDS BEYOND MAY 1,2026.
If you receive an email stating you were waitlisted, this means the Event Committee has reviewed your application and are taking it into consideration. Being waitlisted does not mean you have been denied and it does not mean you will be approved. It means the Event Committee must further review before making a decision.

FESTIVAL DAYS/HOURS
All festivals are held rain or shine. Please plan accordingly. VENDORS DO HAVE THE OPTION TO CLOSE THEIR TENTS OR NOT SHOW UP AT THEIR OWN CHOICE, THIS DOES NOT PERMIT A REFUND. BREAKING DOWN/PACKING UP IS NOT PERMITTED UNTIL THE CLOSE OF EACH DAY UNLESS WEATHER EMERGENCY OCCURS.
· NO REFUNDS AFTER MAY 1st. NO EXCEPTIONS.
· Festival hours are 10:00am to 5:00pm daily (Saturday & Sunday)
· The city streets will be shut down to ALL vehicle traffic at 8:00 am EACH MORNING OF THE FESTIVAL. At that time VENDORS must have their vehicles out of the festival grounds and in the parking areas. ANY VEHICLES REMAINING WITHIN THE FESTIVAL GROUNDS AFTER 8 A.M. WILL BE TOWED AT OWNER”S EXPENSE.
· Absolutely no early breakdown or early packing allowed. This includes consolidating items on your table or taking items to your vehicle. Early packing triggers a chain reaction with other vendors packing and causes customers to leave thinking the event has ended. You will not be eligible for future events if violated.
· If you are found to be in violation of any Festival Guidelines, or any criminal acts (harassment, disturbing the peace, etc.) and are asked to leave the festival, YOU WILL NOT BE ALLOWED TO TEAR DOWN YOUR BOOTH SPACE UNTIL AFTER 5 P.M. You will also not be eligible for future events.
IF YOU ARGUE WITH STAFF REGARDING ANY INFORMATION STATED IN OUR APPLICATIONS; IF YOU STATE THAT YOU WERE NOT AWARE OF THE RULES & REGULATIONS DUE TO NOT READING THIS APPLICATION, YOU WILL NOT BE ALLOWED TO RETURN AS A VENDOR.

You will need to come to City Hall to check in and receive your parking pass and booth number cards before setting up your booth.
· THE RED BOOTH NUMBER CARDS ARE YOUR TEMPORARY BUSINESS LICENSES AND MUST BE DISPLAYED AT ALL TIMES.
· Alcohol vendors have an additional Liquor License inside their packet that must be always displayed.
· Food vendors must have their food & beverage permit and fire district permit (if applicable) always displayed.
· While at City Hall, we can assist you with any questions, directions, or concerns.
· MAPS OF THE FESTIVAL GROUNDS WILL BE INCLUDED IN YOUR PACKETS.
o These maps include locations of restrooms(including Handicap), hand washing stations, ATM’s, Fire/Police/EMS, large dumpsters, vendors, handicap vendor, and regular parking locations. If you would like to view the list of vendors near you during the festival, you can visit www.Eventeny.com, search Kimmswick, Click the tab “MAP”, Click the tab “View Full Map,” scroll down, and you will find the list of all our vendors, as well as another map (birds eye view) of the festival grounds with all the booths included on it. Your packet will include 1 parking pass.
BOOTH SPACES / SET-UP & TEAR-DOWN
Each participant is required to provide their own tent(s), table(s), chair(s), and materials. Tent sizes must be in increments of 10 x 10 ft. Consider purchasing weights or ties to secure your tent, and anything else to safely and effectively operate for the duration of the festival. You are to contain your merchandise into your space.
· SET-UP: Please do not block any driveways while you are unloading. Please remember to respect our city residents and merchants, they must be able to enter their driveways to their homes and businesses.
· You will not be allowed to pull vehicles onto any of the booth areas (the Park/Field lots) to unload. This rule is strictly enforced. Please bring wagons, dolly’s etc. to transport your inventory. You can park on city streets to UNLOAD/LOAD only.
· Once you unload, you must immediately move your vehicle to the parking areas. DO NOT BEGIN SET UP UNTIL YOU HAVE REMOVED/PARKED YOUR VEHICLE IN THE DESIGNATED PARKING AREAS. YOU WILL NOT BE ELIGIBLE FOR FUTURE EVENTS IF VIOLATED.
DO NOT JOYRIDE AROUND THE FESTIVAL GROUNDS AFTER SETUP! STAFF SHOULD NOT SEE THE SAME VEHICLE DRIVING IN CIRCLES AIMLESSLY AS OTHERS ARE SETTING UP, THIS CLOGS OUR STREETS AND HINDERS THE SET UP PHASE OF THE FESTIVAL.
· Upon arrival as a vendor, please be certain to set-up in your assigned space(s). If you do not set up in your assigned space(s) a city/festival official will attempt to reach you to move immediately. If necessary, the contents/products of your booth will be moved to the correct space. The City of Kimmswick and/or City/festival officials will not be responsible for any damage done during the transfer/storage of items.
· You may begin setting up on Thursday or Friday prior to the festival if you are in the City Hall field or one of the city parks. If you are renting A BOOTH-SPACE LOCATED ON THE CITY STREETS, you CANNOT start setting up until after 5:00pm on Friday before the Festival.
· If your space number begins with a letter, you are on a street. The only lettered booths not on city streets, are the following:
o Large Food Vendor # 1, Large Food Vendor # 2, S61 & S62, P1-P22A
· Please keep in mind our city streets will still be OPEN ON THURSDAY & FRIDAY. THE CITY STREETS WILL REMAIN OPEN UNTIL 8a.m. on SATURDAY. WE CANNOT CONTROL REGULAR PEDESTRIAN PARKING AND TRAFFIC ON THURSDAY AND FRIDAY DUE TO FESTIVAL GROUNDS BEING PUBLIC STREETS.
· If you choose to set up the day of the festival, please keep in mind that you will have to move your vehicle off the street before 8:00am. You will need to unload your vehicle and then move it to the designated parking lots as soon as you are done unloading. DO NOT BEGIN SETTING UP UNTIL YOUR VEHICLE HAS BEEN PARKED IN DESIGNATED VENDOR PARKING.
· Trucks and Trailers that purchased booth spaces for this equipment are encouraged to arrive as early as possible to avoid the crowding of vendor set-up.
· IF YOU BRING A TRUCK OR TRAILER LARGER THAN THE SPACE YOU PURCHASED, YOU WILL BE REQUIRED TO PAY FOR THE ADDITIONAL SPACING IF IT IS AVAILABLE. YOU MAY BE MOVED FROM YOUR CURRENT LOCATION, YOU MAY ALSO BE ASKED TO LEAVE. THE DISCRETION OF THESE DECISIONS ARE MADE BY THE CITY OF KIMMSWICK AND/OR THE EVENT COMMITTEE STAFF
· VENDORS WHO SET UP THEIR PRODUCTS OUTSIDE OF THEIR ALLOTED SPACE, WILL BE REQUIRED TO PAY FOR THE ADDITIONAL SPACING IF AVAILABLE. YOU MAY BE MOVED FROM YOUR CURRENT LOCATION, YOU MAY ALSO BE ASKED TO LEAVE. THE DISCRETION OF THESE DECISIONS ARE MADE BY THE CITY OF KIMMSWICK AND/OR THE EVENT COMMITTEE STAFF
· BOOTH SPACES: If you set your booth up in the wrong area you will be asked to move. PLEASE CHECK AND DOUBLE CHECK YOUR SPACE LOCATION… WHEN IN DOUBT ASK. Someone will be happy to help.
· Booths are side by side and back-to-back. You will be given a map with your space clearly marked.
· This is the only area you will be allowed to sell from.
No microphones are allowed.
· Music will not be allowed inside your booth without prior consent from the festival committee.
· Silent Generators are allowed; however, if complaints are made due to the loudness of your generator, the festival staff will advise you to turn it off. If a second complaint is made after being asked to turn it off, YOU WILL BE ASKED TO LEAVE.
· NO illicit, illegal, sexual or profanity items will be displayed or sold at any festivals.
· No selling from cardboard boxes/rubber tubs, all inventories is to be placed on tables and neatly displayed boxes/tubs must be kept out of sight, if under your table they must be covered.
· Keep your area clean and free of debris, there are dumpsters throughout town, for your convenience, please break down your cardboard boxes before PLACING in the dumpster DO NOT PILE NEXT TO or on top of DUMPSTERS.
· If any of the previously listed rules and regulations are not followed you may be asked to shut down your booth and leave the festival.
· Rules are subject to change without notice.
· This event is rain or shine, no refunds given for inclement weather.
· Wet Grounds….No hay, straw, saw dust, oil dry or cardboard are permitted. Plywood is allowed.

· YOU MUST COMPLETELY TEAR DOWN YOUR BOOTH SPACE BEFORE BRINGING YOUR VEHICLE ONTO THE FESTIVAL GROUNDS TO LOAD YOUR VEHICLE. YOU WILL NOT BE ELIGIBLE FOR FUTURE EVENTS IF VIOLATED.
· PLEASE REMEMBER TO BE PATIENT WITH OTHER VENDORS AS EVERYONE IS TRYING TO PACK UP TO GO HOME JUST LIKE YOU. IF VENDORS ARE FOUND TO BE CREATING DISTURBANCES, THOSE INVOLVED WILL NOT BE ELIGIBLE FOR FUTURE EVENTS. IF A SITUATION ARISES AND YOU CANNOT LOCATE A FESTIVAL STAFF MEMBER, PLEASE CALL: 636-464-7407 AND WE WILL SEND SECURITY TO YOUR SITE TO ASSIST WITH THE SITUATION.
BEAUTY/ HEALTH PRODUCT VENORS
We do not allow vendors to inquire about attendees’ personal health information. Surveys/questionnaires involving health history, and/or acquiring personal identifiable information is NOT ALLOWED. If you as a vendor are found to be doing this on site at the festival, you WILL BE ASKED TO LEAVE THE FESTIVAL and WILL NOT BE ALLOWED TO RETURN THE FOLLOWING YEAR.
ELECTRICITY
· Electricity is LIMITED!
· Those who purchased electricity are authorized for ONE (1) outlet per electrical purchase.
· Please specify the required amps you need when purchasing electricity
· If you are found utilizing Kimmswick City Electricity without purchasing prior to festival, YOU WILL BE ASKED TO LEAVE THE FESTIVAL. YOU WILL NOT BE ELEIGIBLE FOR FUTURE EVENTS IF VIOLATED.
· The City of Kimmswick does not promote the purchase of electricity from businesses or residence.
The City of Kimmswick cannot be held liable for any issues related to utilizing electricity from non-city outlets.
· Please keep in mind the reasoning for your electricity usage and any additional permits that may be required (cooking equipment, heaters, etc.) Additional permits are listed further below.
PARKING
· You will NOT be allowed to park on any city streets. Cars parked on the street after 8 a.m. will be towed at owners expense!
· If you need more parking, an additional parking pass can be requested at City Hall until our lots are filled.
· If you require handicap parking, requesting prior to arrival is preferred as limited space is available. If requested prior to the week of the festival, a handicap parking pass will be in your packet for pick up instead of a regular parking pass.
· There will be additional regular parking at the Windsor School Parking Field (PG17 of MAP), the Kimmswick Parking Field for a nominal charge (PG17 of MAP).
· Additional Handicap parking is available at the Kimmswick Regular Park Field (PG17 OF MAP).
· Additional parking is available at the Windsor High School/Middle School with shuttle busses transporting people to and from the festival grounds. See PG 17 of map for shuttle bus pick-up/drop-off locations.
· Saturday and Sunday YOU CANNOT LEAVE YOUR PARKING AREA AND ENTER FESTIVAL GROUNDS WITH YOUR VEHICLE BEFORE 5:00 PM OR WHEN THE STREETS HAVE BEEN DEEMED SAFE BY THE KIMMSWICK POLICE CHIEF! This is a profoundly serious safety issue to our vendors, residents, and visitors. YOU WILL RECEIVE A CITATION IF VIOLATED. YOU WILL ALSO NOT BE ELIGIBLE FOR FUTURE EVENTS.
· If you think your booth will need to be re-stocked during festival hours, please bring a wagon or cart to carry the items from your vehicles into the festival grounds. Vehicles WILL NOT BE ALLOWED from 8-5p.m
· The City of Kimmswick does not promote the purchase of PARKING SPACES from businesses or residence. The City of Kimmswick cannot be held liable for any issues related to utilizing NON-CITY PROPERTY.
THE KIMMSWICK EVENT COMMITTEE
· Has the right to refuse all vendors at any time before or during the Festival and request that they leave the premises.
· We reserve the right to determine vendor location. This determination will be based on the size and space available as well as the type of craft, product, or attraction.
· The day of the festivals, vendor locations may be moved, prior to and/or after setting up, for any reason by the discretion of the City of Kimmswick Staff and/or Event Committee
· The City of Kimmswick and the Event Committee reserve the right to utilize the images of your products to promote on social media to attract more visitors. The event committee will make every effort possible to identify the businesses with the images posted to help with promoting our vendors.
· The Event Committee encourages all vendors to promote this event to the best of their ability, by hanging posters, posting on social media, tagging the City of Kimmswick Events page on Facebook and/or Instagram, inviting your network to our Facebook event page; however, not required.
· Vendors are also encouraged to be festive; however, not required.
ADDITIONAL REQUIREMENTS
SALES TAX: Per the Missouri Department of Revenue. Each vendor will be responsible for collection and payment of Missouri Sales Tax Please contact the Missouri Department of Revenue 573-751-3505. We do send a report to the D.O.R.; however, it is your responsibility to contact them prior to the events.
Register with the State of Missouri for a State Sales Tax Number.
MISSOURI STATE LIQUOR LICENSE: A State of Missouri Liquor License is also required at your expense and must be provided to the City of Kimmswick to participate as an Alcohol vendor in the festival.
FOOD/BEVERAGE PERMIT: ALL FOOD/BEVERAGE VENDORS AND COTTAGE LAW VENDORS (selling pre-packaged cooked/baked items) WHO ARE PROVIDING SAMPLES OR REQUIRE HEATING/COOLING OF PRODUCTS MUST HAVE A FOOD & BEVERAGE PERMIT THROUGH JEFFERSON COUNTY HEALTH DEPARTMENT. FIRE DISTRICT PERMIT: If you are cooking food, cooking with grease, or open flame, or using electricity for heating equipment, you will also need a “Special Event/Festival Permit” through the ROCK COMMUNITY FIRE PROTECTION DISTRICT. You may contact them at 636-296-2211 for additional details and requirements. You can also apply online at www.rockfire-rescue.org . Once at their website, under the "Fire Marshal" tab, scroll down, click on "Special Event Festival Permit." Once you complete the application, you can email it to permits@rockfire-rescue.org
The Rock Community Fire Marshal will be onsite during the festival to identify violations.
FOOD & BEVERAGE VENDORS: Proof of Commercial General Liability Insurance listing the City of Kimmswick as an additionally insured for a minimum of 2-million-dollar MUST BE PROVIDED TO THE CITY OF KIMMSWICK PRIOR TO THE FESTIVAL.
IF YOU HAVE NOT PROVIDED THIS DOCUMENTATION BY THE DAY OF THE FESTIVAL, YOU WILL BE ASKED TO LEAVE.
THERE ARE NO REFUNDS IF YOU ARE REQUESTED TO LEAVE THE FESTIVAL BY THE CITY OF KIMMSWICK STAFF AND/OR ANY DEPARTMENTS MENTIONED ABOVE. IF YOU ARE FOUND IN VIOLATION OF NOT HAVING THE PROPER PERMITS AND ARE REQUIRED TO LEAVE, YOU WILL NOT BE ALLOWED TO RETURN THE FOLLOWING YEAR.
SECURITY
· Extra police presence will be provided Friday and Saturday night.
· Participants are responsible for their merchandise and equipment in case of loss or damage.
· The Festival Committee, The City of Kimmswick, its Officers, agents or employees shall be held free from and against all expenses, claims, actions, liabilities, attorney fees, damages, and losses of any kind whatsoever, actually or allegedly, resulting from or connected with the operation of said booths.

KEY STRATEGIES FOR VENDOR SUCCESS
· Vendors are encouraged to promote their attendance at the festival on their social media channels.
· Provide Marketing Materials: Have business cards or brochures readily available to distribute to interested shoppers. Even if they don’t make an immediate purchase, they may reach out later or refer others to your business. Make sure your contact information is easily accessible for potential customers to reach you.
· Offer specials: Entice shoppers with sales, discounts, or buy-one-get-one offers. Such promotions capture attention and encourage impulse purchases, driving traffic to your booth and boosting sales.
· By implementing these strategies, you can maximize your success as a vendor and make the most of your participation in the festival.
