About the application

*This application applies to all vendors preparing and serving food or beverage onsite to be consumed at event.

Application and photographs must be submitted in one application. Applications will close Friday, May 16, 2025. Vendor acknowledges that submission of application does not guarantee acceptance into event.
 
Upon review and acceptance of vendor application, an approved vendor will receive payment notification by email. Payment will be charged in 5 business days after acceptance notification. Or please let us know if you will be mailing a check so we can cancel the charge on your card.  Vendor will be charged an additional $25.00 for bounced payments on card entered & returned checks with insufficient funds. If payment is not received by the deadline, vendor will be removed from the approved list and will not be able to participate in the event.

Terms & Conditions

  • Vendor acknowledges that submission of application does not guarantee acceptance into event. Photo(s) of product(s) displayed are required to be submitted with application.
  • Vendors are required to have a 10x10 tent and 25 lb. weight per tent leg for their booth space. Vendors are encouraged to bring their own battery-operated LED lights for their assigned booth. The vendor will provide their own tables, chairs, or other booth accessories as needed
  • Vendor is required to supply 100' of extension cord, if electricity request has been approved.
  • Booth space will be assigned in advance by the event organizer. An effort will be made to separate vendors selling similar products. However, all booth assignments are final, and no changes will be made during the set-up process for any reason.
  • Vendor is prohibited from selling merchandise or distributing information from an area other than their booth space.
  • Vendor must only sell those items submitted and approved by the City of Celina. City of Celina decisions are final. Only merchandise submitted in the application is allowed to be displayed during the event. You are required to submit photos for consideration. Vendor shall not sublet or assign this License to any other person.
  • Vendor is permitted to decorate booth/tent space as they please; however, the City of Celina strives to create a polished and professional appearance throughout the event. Vendor shall decorate their designated booth space accordingly. Vendor is encouraged to decorate their booth themed to the event.
  • Vendors may display signage within their assigned vendor space. All signage and décor shall be properly displayed and mounted. Vendors shall not place signage or advertisement flyers in any other locations aside from their designated vendor space. Signs, banners or display of any kind of inappropriate messaging, shall not be displayed by vendor in the booth/tent space or at any other event location.
  • Vendors are advised to bring a dolly or wagon to ease the transport of vendor supplies. Personnel or equipment are not provided to assist vendors in unloading or loading merchandise or displays.
  • No profanity or inappropriate materials or behavior accepted.
  • No political promotion/content. No political content/promotion as defined by references to a preferred candidate, political party, elected or appointed government official, election, referendum, ballot measure, legislation, regulation, directive, or judicial outcome.
  • Food & beverage sampling is not permitted without the appropriate permits and approval.
  • All Food Vendors must apply for a City of Celina Temporary Event Food Vendor (TEFV) Permit. Food vendors and Artisan vendors' (Cottage Law) food sampling must have a current City of Celina TEFV Permit.
  • All food vendors (excluding Texas Cottage Food Law Vendors) are responsible for providing the required proof of minimum insurance coverage within 10 business days after vendor acceptance notification. Vendors will send proof of insurance to events@celina-tx.gov.
  • If cooking with gas, oil, or open flame vendors must also schedule an inspection to receive a Mobile Fire Suppression (MFS) Permit.
  • Vendor must conduct themselves and dress in a manner appropriate to the event. It is the expectation that all vendors are courteous and professional to attendees, fellow vendors, and event volunteers & staff. The City of Celina reserves the right to remove and/or cancel a vendor if in violation of professional conduct in which case vendor forfeits any monies paid. City of Celina decisions are final.
  • Each vendor will receive a time schedule for arrival. Location and placement of each vendor will be determined at the sole and absolute discretion of the event organizer.
  • Vendor must be at the event, engaged in their official capacity, for the hours and/or duration that have been mutually agreed upon between the Participant’s organization and Event personnel.
  • Vendor acknowledges they are not a spokesperson for the Event and will direct any on-site media inquiries to Event personnel.
  • Vendor grants the City of Celina the right to use his or her name and likeness obtained in connection with participating at the Event for any publicity and advertising purposes.
  • Vendor will be responsible for their own cash box and receipts. You are responsible to apply for the Texas State Sales Tax ID# and to report your earnings as being sold in Celina, Texas. The state sales tax rate is 8.25%. For more information on applying and filing call 1-800-252-5555.
  • Before vehicles are allowed on site at the conclusion of the event, the participant’s booth must be packed up and ready to load. Vendors may not shut down or depart their booth during hours of operation. Any vendor who leaves before the conclusion of the event will terminate their right as a vendor for future events. Vendors must personally attend their booths and must be present during the entire festival. The vendor shall maintain his/her own booth at all times in a safe manner. Vendors are required to conduct all activities within their assigned booth space. Participants must dispose of all trash according to the City of Celina regulations.
  • The Celina Police Department will provide security during the event. This presence does not guarantee against theft or loss. The City of Celina is not responsible for any lost, damaged or stolen items or property.
  • The City of Celina holds the right to refuse participation to anyone because of non-compliance with the guidelines. This will result in forfeiture of all fees paid.
    Returned checks and cancellations will be charged a $25 fee. Payment is due within 5 business days after payment notification.
  • The City of Celina reserves the right to cancel any vendor at any time. Vendors canceled by the City of Celina shall receive a full refund, unless vendor has violated the terms and conditions of the “Vendor Policy and Guidelines” in which case vendor forfeits the refund. City of Celina decisions are final.

I do hereby further agree to indemnify, defend and hold harmless the City of Celina and all of its departments, officials, officers, agents, employees, from and against any and all claims, losses, damages, causes of action, suits and liability of every kind, including all expense of litigation, including but not limited to court costs and attorney fees for death,
