Vintage Fest Artist & Vendor Application
About the application
Vintage Fest is back for 2025 with a new location, Uptown Waterloo! If you're an artist, collector, or vendor that loves nostalgia and all things vintage, we want YOU to join us at Vintage Fest.
Collectors, Vendors, Artisans & Entertainers - items must be vintage inspired, incorporate vintage elements and/or are up-cycled. Applications are being accepted for the full 2 days with a limited number of single-day spaces.
Date: May 17 & 18th
Time: 10am - 6pm
Location: Uptown Waterloo, Ontario
Vendor booth spaces will be located in the Uptown Parkade. Note: a single booth space is approx. 9x18ft, the size of a parking space.
Note: This event is free to attendees.

Terms & Conditions
Payment Terms
All contracts are payable in advance and payment will be requested upon approval.
KWFamous will absorb 50% of the processing fees, the remaining 50% will be charged to the Vendor.
Vendor fees are non-refundable under any circumstances, including cancellation by the Vendor.
This event is rain or shine and will only be canceled if there is a danger to vendors or customers, as determined by KWFamous and the Waterloo BIA.
Vendor Responsibilities
The Vendor agrees to:
Bring their own equipment, including tables and chairs.
Adhere to setup and teardown schedules (subject to change):
Setup: 7:00 AM - 9:00 AM
Note: CARS MUST BE OUT OF PARKADE BY 9:15AM
Teardown: 6:15 PM – 7:30 PM
Note: Vendors are required to keep their booth set up for the duration of the event, from 10am-6pm daily.
Ensure vehicles are unloaded and parked outside the event area at least 15 minutes prior to opening.
Remove all waste (garbage, compost, and recycling) from their booth.
Note: no power outlets available.
Overnight Storage
Vendors may leave their booths set up overnight on Saturday, May 17th, 2025. Security guards will be onsite after hours; however, KWFamous is not responsible for any damaged, lost, or stolen property.
Insurance Requirements
Each vendor must carry liability insurance with a minimum coverage of $2,000,000.
Vendors must provide a certificate of insurance. Details on what to include will be sent to vendors via email at a later date.
Pets Policy
Pets are permitted at the event but not inside any buildings.
Host Responsibilities
The Host agrees to:
Provide designated booth space.
Ensure security personnel are present during the event.
Cancellation Policy
If the event is canceled due to weather or other unforeseen circumstances that pose danger to vendors or customers (as determined by KWFamous), no refunds will be issued.
Governing Law
This Agreement shall be governed by the laws of the Province of Ontario.
