About the registration
To participate as a food/dessert vendor at the 2025 Port Orange Holiday Market, please read the festival guidelines below that will guide you in the completion of your application. This is an electronic agreement and by selecting a space, you are validating and approving this agreement electronically.
Overview of Event
The Holiday Market is hosted at Riverwalk Park in Port Orange on Saturday, November 29th from 10:00-3:00 pm. Shop local on Small Business Saturday! This event is free to the public.
Whether you’re searching for one-of-a-kind gifts or looking to enjoy a day of festive fun, the Holiday Market is the place to be. Shop with 60 artisans and crafters offering handmade jewelry, artwork, home decor, and unique gifts perfect for the holiday season.
Enjoy free face painting, balloon animals, bounce house, soft play zone, music, youth group performances, and play bingo for prizes!
We're accepting sponsors, vendors, food trucks, and volunteers!
What Makes Our Events Different?
We are different because we do not charge the public! A lot of events charge $10 or more in admission, and even more for activities. We want our attendees to focus on our sponsors and vendors.
Required Items for Application Submission
The following items are due when the application is submitted.
• Menu of items to be sold with prices
• Pictures of food truck, trailer, cart, or tent setup
Copies of the following items are due 14 days before the event.
• Proof of Liability Insurance
• State of Florida Business License
• DPBR Mobile Food Dispensing Vehicle License or FDACS Food Permit
• Business Tax Receipt if applicable
It is the vendor’s responsibility to obtain all appropriate licenses required. When applying, please ensure that you will have the licenses and insurance required as vendor fees are non-refundable. Some listed requirements may not apply to cottage law vendors.
Food Vendor Fee (Fee is Non-Refundable)
Vendor fees are based on set up:
10' x 10' Tent - $100
Food truck/Trailer - $125
Menu Requirements
Only the items submitted and approved can be sold. Any menu changes must be submitted for approval in writing at least 14 days before the event. If a vendor has items for sale that were not previously submitted/approved, you will be required to remove those items from your menu.
All drinks other than water, soda, and sports drinks must be listed and are subject to approval.
Vendor Set Up/Breakdown
Set up is from 8:00-9:45 am. The event is open from 10:00-3:00 pm. Breakdown is from 3:00-4:00 pm. The park must be completely clear by 4:00 pm. All trailers must be dropped.
Vendors are required to remain set up for the duration of the event, even if you sell out. This is to ensure that the event remains full the whole time and doesn't confuse other vendors or guests who may see a vendor leaving and think the event is ending early.
If you sell out and would like to walk away from your booth, please close your window (or lower your tent legs) and put up a "Sold Out" sign.
Vendor Location
Please review the 11-29 layout. Food trucks/trailers will park in the yellow areas in the front parking lot. Tent vendors will be placed in the food truck spaces or in the numbered spaces, depending on availability. Order windows will face the park. Vendors must be 10’ apart.
Power/Water
Food vendors must be self-sufficient; Electricity and Water will not be supplied.
About the event
Terms & Conditions
Rain or Shine/Severe Weather Policy
This event is rain or shine. Every effort will be made for the fest to go on despite inclement weather within reason. In the case of severe weather or a natural disaster, the event will be rescheduled for everyone’s safety. Vendors will be automatically transferred to the new date. If unable to attend, a credit will be issued for a future event.
Trash During Event/Clean Up After Event
Food vendors are responsible for having a trash bin by their truck/booth during the event. You are required to clean up your space after the event and are responsible for the removal of your trash, boxes, and waste from the parking lot. If you leave trash behind, the City of Port Orange will charge a $50 fee.
Cooking Oil or Grease
Cooking oil or grease must be disposed of properly by vendor and not left on site. Improper disposal, spills, or abandonment may be reported to the EPA.
Sales Tax
Vendors are responsible for reporting taxable sales associated with the festival. To obtain information on a Temporary Tax certificate if needed, please contact the FL Dept. of Revenue.
Attendance
Attendance and/or number of sales are not guaranteed.
Liability Insurance
Vendors are required to have $1,000,000 in liability insurance coverage. Proof of insurance must be submitted at least 14 days before the event listing the City of Port Orange and Touch of Magic Events LLC as additional insureds.
