Single Booth

  • Booth fee: $350 USD
  • Booth size: 10 ft x 10 ft
  • Included in package: two tables, two chairs, two Sonic EXPO Dallas 2025 vendor badges
  • Additional helper badges can be purchased at a later date. You are allowed up to an 2 additional badges alongside the 2 provided; in other words: there is a 4 badge limit for a 10 x 10 space.

Double Booth

  • Booth fee: $700 USD
  • Booth size: 10 ft x 20 ft
  • Included in package: four tables, four chairs, four Sonic EXPO Dallas 2025 vendor badges
  • Additional helper badges can be purchased at a later date. You are allowed up to an 2 additional badges alongside the 4 provided; in other words: there is a 6 badge limit for a 10 x 20 space.

Terms & Conditions

Vendor Display Rules:

 

  • Vendor setups MUST be confined to the allotted floor space.
  • Additional tables or structures added to the front or sides such as coat racks, standees or shelves are allowed, feel free to bring what you need to decorate the space as you wish.
  • There is no official height restriction, but your setup MUST be made structurally sound and should be weighted/clamped to the table or ground. Any tables deemed a potential hazard may be asked to change their setup.
  • If you require electricity, please mention it in the accommodations section. As a note: depending on what our venue allows, electricity may incur an additional fee.
  • If you are an artist interested in having less space at a lower cost, we recommend applying for artist alley.

Table Sharing and Proxy:

 

  • Vendors can choose to table as a solo vendor, or split the space with one other vendor of their choosing when filling out the form.
  • No more than two vendors may split an vendor space.
  • If deciding to split with another vendor, one person must be chosen as the "primary vendor", which is where contact and payment invoice will be paid through if accepted.
  • If you apply as a solo vendor and decide after acceptance that you'd like to split a table, the secondary vendor you onboard MUST have applied to Sonic EXPO Dallas and MUST be of either waitlisted/accepted status in either AA or vendors, no exceptions. This is done out of fairness and to be sure we can properly screen all apps.
  • We do not allow unvetted vendors in our hall. If you are caught subletting your table to a vendor who was not approved by Sonic EXPO staff, you will be barred from future events.
  • Proxying is allowed at Sonic EXPO.

Submission Guidelines:

 

  • Applicants should have art or merchandise examples in their portfolio or shop that are Sonic, SEGA, or Atlus themed. Merch of other IPs is acceptable and can be sold, but we will prioritize onboarding vendors who have the SEGA spirit in their apps.
  • No bootleg, traced, AI generated, or stolen material; this includes using someone else's fanart as well as official media. (Crafts upcycled from official merchandise such as fabric, toys, comics, etc. are allowed.)
  • No explicit/NSFW material allowed.

Selection Process:

 

Applications will be juried. Our jurying process is based on several criteria, which includes:

  • The representation of Sonic, SEGA, and Atlus goods present in your website/shop. This is the MOST important criteria and holds the most weight.
  • Categories of merchandise sold; making sure we have a good variety of things for attendees to buy.
  • We DO NOT jury based on previous con experience or follower counts. First time tablers welcome!


Payment:

Table payment will be done through Eventeny. Upon acceptance, you will be able to pay via Eventeny's website. Payment is due June 6th; if it is not paid, you forfeit your spot to someone on the waitlist.

 

Sales Tax:

All vendors at Sonic EXPO Dallas must have a Texas Sales Tax ID to sell in the artist's alley. You do not need one at the time of application, but it must be completed in time for Sonic EXPO Dallas should you be accepted. Creating one is easy and can be done so here: https://comptroller.texas.gov/taxes/sales/

 

Waitlist Info:

 

If you are ultimately not selected to have a booth, there is an option to sign up for a waitlist in case of any potential dropouts. If space has opened up, you will be reached out by email if you are selected to fill.

 

Cancellation Policy:

In the event you are accepted but are no longer able to attend Sonic EXPO Dallas, please let the staff know as soon as possible via Eventeny or by email. If you inform staff of cancellation by September 30th, 2025, we can refund your table payment. Unfortunately, we cannot issue any refunds beyond this date.
