Shop Black Fest – Memphis 2025

We’re excited to welcome you to Shop Black Fest Memphis 2025! This application is for mobile boutiques and other mobile businesses (not food trucks).

Event Details:

? Date: April 12, 2025
? Location: Downtown Memphis (Bass Pro & Riverside Dr.)
? Outdoor Event – Vendors must provide their own setup.

Important Rules:

? No booth sharing. Each vendor must have their own approved space.
? No leaving early. Vendors who leave before the event ends will be fined $50 and prohibited from vending at future festivals.
? All mobile businesses must fit within their assigned space. Maximum allowed space is 25 feet, including trailers.
? Vendors must unhitch trailers from vehicles. Parking for tow vehicles will be available nearby.

What to Bring:
  • Mobile boutique or setup display within assigned space
  • Racks, tables, or product stands as needed
  • Signage and branding materials
  • Weights or stabilizers for any tents or external displays
Setup & Parking:
  • Setup begins 3 hours before the event start time. Vendors must be fully set up at least 30 minutes before the event begins.
  • Vendors arriving late will forfeit their booth without a refund.
  • Parking for tow vehicles is available nearby. Details will be provided closer to the event.

Terms & Conditions

Shop Black Fest Vendor Terms & Conditions

By submitting an application to Shop Black Fest Memphis 2025, you agree to the following terms and conditions:

1. Application Process & Approval
  • Vendors will receive an approval or denial email within two (2) weeks of submitting their application.
  • If your application is not approved, your vendor fee will be refunded, minus the non-refundable application fee.
  • All approved vendors must complete payment in full to secure their spot.
2. Refunds, Cancellations & Date Changes
  • All sales are final. No refunds will be issued for cancellations or missed events.
  • Vendors who need to switch event dates must pay a $75 date change fee.
  • Shop Black Fest reserves the right to deny, remove, or cancel any vendor for failure to comply with event policies.
3. Setup, Breakdown & Vendor Conduct
  • Setup starts 3 hours before the event. All vendors must be fully set up at least 30 minutes before start time.
  • Late vendors will forfeit their space and will not be allowed to set up.
  • No early breakdowns. Vendors who leave before the event ends will be fined $50 and banned from future events.
  • Vendors must keep their area clean and dispose of all trash properly.
4. Space Assignments & Booth Sharing
  • Vendor spaces are pre-assigned before the event.
  • Booth sharing is strictly prohibited. Each vendor must have their own space and application.
  • Mobile businesses (food trucks, boutiques, etc.) must fit within the assigned 25-ft space limit and trailers must unhitch their vehicle to park separately.
5. Weather Policy & Event Changes
  • Shop Black Fest is a rain-or-shine event.
  • In the case of severe weather, the event may be rescheduled, and vendors will be notified. No refunds will be issued due to weather-related changes.
6. Licensing, Insurance & Food Vendor Requirements
  • Food and beverage vendors MUST be licensed and insured. No exceptions.
  • Vendors are responsible for obtaining any necessary permits, licenses, or approvals required for their business.
  • Vendors must comply with all local, state, and health department regulations.
7. Liability & Indemnification
  • Vendors participate in Shop Black Fest at their own risk.
  • Shop Black Fest, its organizers, staff, and affiliates are not responsible for any injury, loss, theft, or damages incurred before, during, or after the event.
  • Vendors agree to hold harmless Shop Black Fest, its staff, venue, and partners from any claims, damages, or liabilities.
8. Marketing & Promotion
  • Vendors grant Shop Black Fest permission to use their business name, logo, and product images for promotional purposes.
  • Shop Black Fest does not guarantee sales or foot traffic but provides an opportunity for vendors to showcase their business.
9. Communication & Inquiries
  • All official communication will be via email at support@shopblackfest.com.
  • It is the vendor’s responsibility to check their email and respond promptly to any event-related messages.

By submitting an application, you confirm that you have read, understood, and agreed to these terms and conditions. Failure to comply may result in removal from the event without a refund.

Application Fee – Regular Pricing Ended $35.00 Non-refundable There is a $25 non-refundable application fee which is charged upon application. $10 added after regular price ends. Application will be approved/denied within 1 week of application. Late Fee applies after Vendor Deadline. Please wait at least 2 weeks before sending an inquiry about application. Total booth fee is application fee + vendor booth fee.
Base Non-Food Truck/Trailer $140.00 Non-refundable Vendor Application & Booth Selection Process Step 1: Submit Your Application & Pay the Base Fee - Complete the vendor application with your business details. - Pay the $25 non-refundable application fee plus the $140 base fee to secure your spot in the selection process. - After payment, you will receive an email with a link to select your booth from our event map. Step 2: Choose Your Booth & Pay the Additional Fee - Your final total will depend on the booth type you select. - Additional fees apply for standard and premium booth options. --- Booth Options & Final Pricing Basic Booth – $140 (No Additional Fee After Selection) - 10x10 vendor space only - Bonus: Free access to our exclusive Facebook group with over 8,000 members for business promotion Standard Booth – $190 (Additional $50 Due at Booth Selection) - 10x10 vendor space - Priority booth placement in high-traffic areas - Bonus: Free access to our Facebook group for business promotion Premium Booth – $365 (Additional $225 Due at Booth Selection) - 10x10 vendor space - Premium booth placement for maximum visibility - Main stage feature where you can choose from a demonstration, sales promotion, raffle, or contest giveaway - Bonus perks include access to our Facebook group, a social media exposure package with five dedicated shoutouts on our platforms leading up to the event, and a dedicated email blast to our full audience --- ### Important Notes - Your booth is not selected at checkout.
