About the event
Terms & Conditions
1. Vendor agrees to supply manpower to operate the booth according to the following schedule: Thursday, September 11, 2025: 5:00 pm - 10:00 pm
- Friday, September 12, 2025: 10:00 am - 11:00 pm
- Saturday, September 13, 2025: 10:00 am - 11:00 pm
- Sunday, September 14, 2025: 11:00 am - 6:00 pm
2. The Board reserves the right to terminate this contract and require the removal of vendor booth or exhibit for any cause deemed reasonable by the Fair Committee.
Booths may be set up during the following hours ONLY:
- Wednesday, September 10, 2025: 9:00 am - 2:00 pm
- Thursday, September 11, 2025: 9:00 am - 4:00 pm
3. It is imperative that all vendors are unloaded and vehicles removed from the Fairgrounds no later than 4:00 pm on Thursday, September 11, 2025. Vehicles will not be permitted back on the Fairgrounds for breakdown until 6:30 pm on Sunday, September 14, 2025. All vendors must be broken down and off the fairgrounds by 8:30 pm on Sunday, September 14, 2025. If for some reason you are unable to participate after being approved and you do not notify the Fair Coordinator of your cancellation you may not be allowed to participate in the Vendor Area in future Fair Events.
4.Vendors are responsible for supplying, as well as, setting up and taking down their own displays, dividers, tents, overhead coverings, booth signage, booth decorations and at least (1) 50ft extension cord. Vendors are also expected to clean up their assigned booth areas at the conclusion of their sales day. All trash must be disposed of properly for consideration to participate in future Fair Events. LED lights are recommended for power efficiency.
5.Vendors will be given (8) one-day tickets for entrance into the Fair. These passes are ONLY for use by people working your booth. Additional one day tickets for workers are available for $10 each in advance or $15 at the gate. All tickets will be collected at the gate. Please get a hand stamp if you are intending to leave and return to the Fairgrounds on the same day. Vendors will receive (1) Vendor Parking Pass and all Vendor Passes when you arrive to set up your booth for the 2025 Isle of Wight County Fair.
6.There is no rain site or rain date. Vendors should come prepared with suitable materials to protect their merchandise for any weather conditions. Events will remain open for business until closing on all event days. Failure to comply may jeopardize future contracts with your business or organization.
7.There will be NO SMOKING including E-Vapor Cigarettes inside the vendor area! There will also be NO CONSUMPTION OF ALCOHOL WHILE WORKING YOUR BOOTH.
8.Please respect surrounding vendors by refraining from the use of bubble machines, projectile objects, or any other items that may extend beyond your booth and disturb other vendors. Vendors are prohibited from operating in the aisles or the fairgrounds outside the assigned space or calling out to those in the aisles. No walking privilege or “sheet writing” will be granted. All personnel, merchandise, signage, and equipment must remain completely inside the assigned space. Soliciting in areas outside of assigned space is prohibited.
9. The Isle of Wight County Fair has a zero-tolerance policy for antisocial behavior, harassment, or bullying towards the public, staff, volunteers, and/or vendors/exhibitors. All vendors are expected to maintain a professional and respectful demeanor while participating in this event. This includes interactions with event staff, other vendors, and attendees. Specifically, vendors must refrain from:
• Making derogatory, inflammatory, or otherwise unprofessional comments about event staff, other vendors, or their products/services.
• Engaging in behavior that could be perceived as disruptive, hostile, or damaging to the event’s collaborative and welcoming environment.
10. Failure to adhere to this policy may result in corrective action, including but not limited to:
• A formal warning.
• Removal from the event without refund.
• Disqualification from participating in future events.
11. Gate 1 will open 1 hour prior to opening to the public to allow vendors in. Please do not arrive more than 1 hour prior to gates opening. Vendor passes will be collected/scanned upon entry.
12. An application is a commitment to show when accepted by the Fair Staff. NO REFUNDS will be made for cancellation after notification of acceptance or cancellation due to inclement weather. Booth space is nontransferable.
13. Application deadline is August 8, 2025. Applications must be received no later than August 8, 2025 to secure booth space for the Fair. Returning 2024 Vendors will be prioritized if application is submitted on or before March 31, 2025. After this date all applications will be accepted on a first come first serve basis.
