About the registration

Experience the magic of the holiday season as a food vendor at ChristmasVille 2025!  As a food vendor, you'll have the opportunity to showcase your delectable creations with thousands of hungry attendees. From mouthwatering holiday treats to savory comfort foods, you'll have the chance to tantalize taste buds and spread joy with every bite. With a captive audience of enthusiastic festival-goers, you'll have ample opportunity to build your brand, expand your customer base, and make lasting connections. 

 

OFFICIAL (REQUIRED) FOOD VENDOR HOURS - The official food truck hours are as follows and must be respected unless otherwise approved by festival organizers: 

  • Friday, December 5th: 1:00 PM - 9:00 PM
  • Saturday, December 6th: 10:00 AM - 6:00 PM 
  • Sunday, December 7th: 12:00 PM - 6:00 PM

 

Vendors are required to be set up and ready for operations at a minimum of 1 hour prior to the times referenced above and are required to be on-site and open for business the entire time for each date. Closer to the festival, chosen vendors will receive load in instructions for Friday.  New this year, vendors will be given the option to choose their approximate location. Pricing is based on the type of your booth/truck and location. We will have two tiers: Truck/Trailer spaces will be located around the Fountain Park area, while Cart/Booth spaces will be located in general trafficked areas on Main Street. 

 

Pricing options are as follows:  

Food + Beverage Tent/Cart: (10 x 10 spaces): $300

Food + Beverage Truck/Trailer (up to 24 feet in length): $500

 

All vendors will now be required to provide their own power. If you would like to have power access during the festival, there will be an additional charge of $250. Note: No vendors will be given power that do not register in advance. 

 

Please note that this application is for consideration of becoming a food vendor for the 2025 ChristmasVille Festival. Applications will be waitlisted if submitted without all current and required documentation. Once all required documentation is uploaded into the application, it will be considered for approval. A completed application does not guarantee participation, as vendors will be selected based on several criteria including menu items and originality.  There will be a limited number of vendors per category. 

 

Please supply several pictures for representation of your menu items, booth/truck as it is set up, as well as corresponding pricing.  It is understood that your supply costs will likely fluctuate between now and the festival, so final pricing is not due until November 1, 2025.

Terms & Conditions

Application deadline is October 1, 2025.   Applicants who have been accepted to participate will receive confirmation from Festival organizers with the requirement to keep current all applicable federal, state, and local licenses and permits to operate in Rock Hill, SC, as well as a Certificate of Liability Insurance naming ChristmasVille Rock Hill and the City of Rock Hill as ADDITIONAL INSURED. Your proof of insurance documents are not required to apply but will be required prior to November 1, 2025. Failure to provide said documentation by November 1st will remove you from the festival.  Documents required include:

  • A VALID City of Rock Hill Business License 
    • The application can be found at www.cityofrockhill.com, or you can reach out to the business licensing office directly via email at businesslicense@cityofrockhill.com, or at 803-329-5590.
    • An FSE Grease Discharge Permit  
      • This can be found at www.cityofrockhill.com/fog, or you can reach out to the GMP Official at 803-329 -8703.
  • DHEC Inspection  
    • Information regarding SCDHEC regulations can be found at SCDHEC.gov or by calling the Environmental Health Manager at 803-909-7373.
  • A VALID State of South Carolina Retail Business License  
    • This can be found at www.dor.sc.gov/tax/registration.

 

Those approved are required to be on-site and open for business the entire time for each date. Poor weather, lack of sales, etc. are not considered reasons for not being on-site. Cancellation on your part within one week of the event will be considered a violation of this agreement and no refund will be issued. If you encounter a situation that prevents you from attending a date you reserved, please contact vendors@christmasvillerockhill.com. The Festival will proceed RAIN OR SHINE. Should ChristmasVille be canceled due to severe weather or unforeseen circumstances, vendors may request a partial refund of their vendor fee. Once approved, $100 of the fee is non-refundable to cover the cost of rentals, operations, etc.  The City of Rock Hill's risk management team has requested that food truck vendors provide their own 50 to 30 amp adapters due to liability concerns. Single vendor spots are not to exceed 24 feet.  

 

Additional Notes:

  • No distribution, canvassing, flyers, nor vending of any kind may be done by strolling through the park.
  • Food vendors are required to sell only Coke products for soft drinks, including water (Dasani). Homemade drinks are allowed, but any labeled soft drinks or bottled water must be Coke products. If you choose not to sell Coke products, please refrain from offering soft drinks or water.
  • Vendors must post prices in a legible manner and in a visible place. 
  • The sale or consumption of alcoholic beverages is strictly prohibited and will result in expulsion from the Festival.
  • All food items must be stored inside the vehicle, covered and off the ground.  
  • Food should primarily be prepared on site.  Pre-packaged foods are discouraged. 
  • You are required to provide appropriate cleaning material.
  • Do not pour ANYTHING in the drains. Do not get stains or grease of any kind on the pavers.  
  • Take your trash with you. Improper trash disposal is grounds for exclusion from participation at future Festivals.
  • If a vendor is rude or disrespectful to the public, staff, or other vendors, they will be removed from the Festival without refund.   
  • Deadline for applications is October 1, 2025. 
  • A completed application does not guarantee participation.  

 

 

Hold Harmless Agreement: By submitting this application, the applicant shall indemnify and hold harmless ChristmasVille, the City of Rock Hill, and the Old Town Association, its agents, volunteers, elected officials and employees from and against all losses, costs, damages, expense, and liability caused by an accident or other occurrence in bodily injury, including death, sickness and disease to any persons, or damage or destruction to property, real or personal, arising directly or indirectly from Applicant’s operations, products or services at ChristmasVille.   Applicant agrees to waive, release and discharge ChristmasVille, the City of Rock Hill, and the Old Town Association, its agents, volunteers, elected officials and employees, of and from any and all claims, demands, costs, liability and causes of action whatsoever that may arise as a result of Applicant’s participation in ChristmasVille, including but not limited to, any claims, causes of action, liability, damages, demands and costs related to injury to any of the Applicant’s person or property. This waiver and release shall inure to the benefit of ChristmasVille, the City of Rock Hill, and the Old Town Association and shall bind applicant along with its employees, heirs, legal representatives, assigns and successors in interest of the Applicant or any member thereof. I represent that I am the person whose name appears on this vendor application, and that I viewed and understand this Hold Harmless Agreement and the rules, regulations, and guidelines provided.  I acknowledge and agree to the statements, terms, and conditions in this application, and that by submitting this application, I am providing electronic agreement to these terms that will have the same legal effect as signing the document with a written signature, which shall be valid evidence of my intent and agreement to be bound.

Prices

Application Fee $25.00 Non-refundable There is a $25 non-refundable application fee which is charged upon application.
Tent/Cart (10'x10' space) SOLD OUT Non-refundable Single tent/cart space is regulated to 10 feet wide and 10 feet deep. These spaces will be located in generally populated areas throughout the festival.
Truck/Trailer (up to 24') $500.00 Non-refundable Your truck/trailer may be up to 24 feet in length. These spaces will be located near some of the highest populated areas
Power Supply $250.00 Non-refundable All vendors will now be required to provide their own power. If you would like to have power access during the festival, there will be an additional charge of $250. Note: No vendors will be given power that do not register in advance. The City of Rock Hill's risk management team has requested that food vendors provide their own 50 to 30 amp adapters due to liability concerns.
