Kaboom-Con 2025 Vendor Terms & Conditions

Event Dates: September 19–21, 2025
Location: Carson City Community Center, 851 E William St, Carson City, NV 89701

1. Application and Payment

• Application Process: Submission of a vendor application does not guarantee acceptance. All applications will be reviewed, and selected vendors will receive an invoice upon approval.

• Payment Terms: Full payment is required within 15 days of invoice issuance to confirm your space. Failure to remit payment within this timeframe will result in cancellation of your reservation, necessitating reapplication.

2. Cancellation and Refund Policy

• Cancellation by Vendor:

  • Cancellations made before April 1, 2025, are eligible for a 50% refund.
  • Cancellations between April 1 and July 1, 2025, are eligible for a 25% refund.
  • No refunds will be issued for cancellations after July 1, 2025, or for no-shows.

• Event Cancellation or Postponement: In the event of cancellation or postponement due to circumstances beyond our control (e.g., natural disasters, governmental regulations), vendors will receive a full credit for the rescheduled event.

3. Booth Specifications and Assignments

• Included Amenities: Indoor spaces include one 8-foot table and two chairs per reserved space. Outdoor spaces do not include tables or chairs; vendors must provide their own setup.

• Space Allocation: Booth assignments are at the discretion of event organizers. While we strive to accommodate special requests, they cannot be guaranteed.

4. Vendor Responsibilities

• Setup and Teardown: Vendors must be fully set up by 8:15 AM on Saturday, September 20, 2025, and remain operational until the event concludes at 5:00 PM on Sunday, September 21, 2025.

• Permitted Merchandise: The sale of stolen, counterfeit, or AI-generated items is strictly prohibited. Vendors are responsible for ensuring all merchandise complies with event guidelines and legal standards.

• Compliance: Vendors must adhere to all event policies, including those outlined in the Kaboom-Con! Policies, such as prohibitions on functional weapons, smoking, and unauthorized retail sales.

5. Liability and Insurance

• Liability: Kaboom-Con and its organizers are not liable for any loss, damage, or injury incurred by vendors or their representatives. Vendors are responsible for safeguarding their property and merchandise.

• Insurance: Vendors are encouraged to carry their own insurance to cover potential risks associated with participation in the event.

6. Nevada Tax Compliance

• Seller's Permit: Vendors are required to provide a valid Nevada Tax ID number (Seller's Permit) or indicate if not applicable. Vendors are responsible for collecting and remitting any applicable sales taxes.

7. Promotional Activities

• Marketing Collaboration: Vendors are encouraged to promote their participation in Kaboom-Con 2025 through their social media channels. Please follow Kaboom-Con on Facebook and Instagram, and announce your participation upon payment confirmation, with at least one additional post one month prior to the event.

8. Amendments

Kaboom-Con reserves the right to modify these Terms & Conditions at any time. Vendors will be notified of any significant changes prior to the event.
