Hops in the Hills Beer Festival – Terms and Conditions
By applying to participate in the Hops in the Hills Beer Festival (hereafter referred to as "the Festival"), you agree to abide by the following terms and conditions. Failure to comply may result in removal from the event and forfeiture of any fees paid.
1.
EligibilityParticipation is open to all craft breweries, vendors, and exhibitors that meet the Festival’s criteria and have been approved by the event organizers. All products exhibited must be relevant to the theme of the event (craft beer, brewing equipment, accessories, etc.).
2.
Application and FeesAll participants must submit a completed application form by the specified deadline. Upon approval, participants will receive notification of acceptance. There is no fee to participate.
3.
Licensing and InsuranceParticipants are responsible for securing all necessary licenses and permits required to sell or distribute alcohol at the event. Additionally, all participants must provide proof of liability insurance with coverage of no less than $1,000,000 and list the Smoky Mountain Tourism Development Authority and the City of Maryvile as Additional Insureds. A copy of the certificate of insurance must be submitted to the event organizers at least 7 days before the event.
4.
Booth Setup and DismantlingParticipants will be provided with an assigned booth space that will include a 10x10 tent, two tables, and two chairs. Booth setup must be completed by the designated time. Dismantling of booths may not begin until the Festival ends. Participants are responsible for maintaining a clean and professional booth throughout the event.
5.
Health and SafetyParticipants must comply with all health and safety regulations, including food and beverage handling requirements. Festival organizers reserve the right to inspect booths and ensure compliance at any time during the event. Failure to meet health and safety standards may result in immediate removal from the Festival.
6.
ConductAll participants must conduct themselves in a professional and respectful manner. Offensive, discriminatory, or illegal behavior will not be tolerated. Festival organizers reserve the right to remove any participant found in violation of this policy.
7.
Alcohol ServiceAll alcohol served must be in compliance with local and state laws, including responsible serving practices. Alcohol may only be served by individuals who are licensed and permitted to do so. Over-service of alcohol or serving to minors is strictly prohibited and will result in immediate removal from the event.
8.
Marketing and PromotionFestival organizers will promote the event through various marketing channels. Participants are encouraged to actively promote their participation in the Festival through their own networks and social media platforms. Participants grant the Festival permission to use their logo, name, and likeness in promotional materials.
9.
LiabilityThe Festival organizers are not responsible for any lost, stolen, or damaged property. Participants assume all risk associated with participation, including but not limited to theft, damage, or injury. Participants agree to indemnify and hold harmless the Festival, its organizers, and the venue from any claims, damages, or liabilities arising from their participation.
10.
Force MajeureThe Festival organizers are not liable for any loss or damage due to events beyond their control, including but not limited to natural disasters, pandemics, strikes, or governmental actions. In the event of a cancellation due to force majeure, participants may be refunded at the discretion of the organizers.
11.
AmendmentsFestival organizers reserve the right to amend these terms and conditions at any time. Any updates will be communicated to participants via email or posted on the event website.
