Terms & Conditions

1. Payment and Fees:
  • Booth Fees: Vendors must pay for booth space by a specific deadline. Fees are often non-refundable.
  • Deposit: Sometimes a security deposit is required, refundable if the vendor meets all requirements (e.g., cleaning the space).
2. Setup and Breakdown:
  • Setup Times: Vendors must adhere to specific setup times, usually a few hours before the festival begins.
  • Breakdown Times: Vendors may not start breaking down their booths before the festival ends and must vacate by a set time.
  • Booth Equipment: The vendor is responsible for providing their own setup (tables, tents, signage), unless otherwise specified.
3. Permits and Licensing:
  • Business Licenses: Vendors must have valid business licenses and present them upon request.
  • Health Permits: Food vendors may need a health permit and must comply with local health department regulations.
  • Insurance: Vendors are often required to carry liability insurance and may need to provide proof of coverage to the festival organizers.
4. Product and Service Guidelines:
  • Product Restrictions: No sale of products containing animals.
  • Eco-Friendly Policies: We require vendors to use eco-friendly packaging and materials. Please let us know if you need support finding sources.
5. Sales and Revenue:
  • Sales Tax: Vendors are responsible for collecting and reporting their own sales tax.
6. Electrical and Safety Requirements:
  • Electricity Access: If electricity is needed, vendors must request it in advance, and there may be additional fees.
  • Fire and Safety Codes: Vendors must comply with local fire codes (e.g., fire extinguishers, no open flames) and maintain safety standards.
7. Behavior and Conduct:
  • Vendor Conduct: Vendors are expected to maintain professionalism and adhere to all event policies.
  • Noise Levels: Vendors must keep noise (music, promotions) to an acceptable level to avoid disturbing other vendors and attendees.
  • Alcohol and Drug Policy: Vendors and their staff are often prohibited from consuming alcohol or drugs during the festival.
8. Cancellation Policy:
  • Refunds: No refunds unless the event is canceled by the organizers.
  • Force Majeure: Events like bad weather, natural disasters, or public emergencies may lead to cancellations without vendor compensation.
9. Liability and Indemnification:
  • Damage Liability: Vendors are responsible for any damage caused to their booth space or the venue.

10. Marketing and Promotion:
