Business/Exhibitor: A company that supplies goods or services. (Ex: Bath Fitters, LuLaRoe Clothing, Mary Kay, etc.)
By submitting this application as an electronic agreement, you are validating you have read all of the information on this page and approving this agreement electronically. This application will be reviewed and is not a guarantee of space. All questions must be answered completely before consideration for space can be given. If your application is accepted, we will notify you and charge the application fee with payment information provided.
About the event
Terms & Conditions
General Regulations:
1.) Vendors will hold harmless and waive liability of Powhatan Fair Association (PFA) for loss, damage, or destruction of personal property, or for items or equipment left on the property.
2.) Full payment is due prior to setup. ($30 return check). The event is rain/shine. No refunds.
3.) Insurance Certificate and any other required documents must be on record with the Event Coodinator prior to opening. All Vendors must provide a Certificate of Insurance (COI). The COI must be a 1-million-dollar liability policy adding Powhatan Fair Association, 4042 Anderson Highway, Powhatan, VA 23139 as an “additional insured.” Must receive the COI by July 31, 2024, 11:59 p.m. Without COI, setup will not be permitted.
4.) Vendor understands and agrees to comply with the regulations. All revisions or additions in terms of this agreement must be in writing and approved in writing by all parties. Vendor understands failure to comply with the regulations may result in expulsion from the event without a refund.
5.) Regulations may be changed as needed and will take precedence over the existing guidelines.
Environmental Health/Safety Requirements:
1.) All licenses and permits must be received before set-up.
2.) Security will be onsite for the entire event.
Setup/Closing:
1.) Grounds are available for setup 2 hours prior to opening.
2.) Vendors must check-in prior to setup.
3.) Space is assigned. You cannot move without authorization from the Event Coordinator.
4.) Must be completely setup 30 minutes prior to opening.
5.) Vendor provides own tents, chairs, tables, generator for electricity.
6.) Vehicles must be moved to the designated parking area. Vendor passes will be provided for re-entry.
Booth use/Personnel:
1.) Only 1 business per space, No Sub-leasing is allowed. An assigned space is to be used by the original lessee only.
2.) Items to be sold will be confined to the contract to avoid duplication of items with other vendors.
3.) Booth must be manned at all times during the event.
4.) Vendor passes will be provided by the Event Coordinator. Each space will be issued 2 worker passes.
5.) We reserve the right to deny participation based on display, etc.
