About the registration

Our mission is to celebrate the magic of chocolate by creating a fun and enjoyable festival experience for families, foodies, and vendors. 

 

The heart of ChocoFest is offering guests a wide variety of chocolate to taste and enjoy. Rather than giving away valuable samples, vendors are paid for each sample by redeeming taste tickets through our free digital app. This eliminates the need to take paper tickets, store them safely and count them at the end of the night.

 

All food vendors agree to participate in the chocolate tasting program and are encouraged to offer a diverse selection of chocolate samples that showcase their unique products. Samples should be larger than a standard sample but not a full serving. Ideally finger food. Example: bon bons, chocolate bar squares, mini cupcakes, cookies, brownies, macrons, pastries, etc.

 

Home-based Vendors agree to supply a minimum of 250 samples per day (500 total), with a 50% payout from the taste tickets redeemed. Vendors set their own number of tickets to be redeemed per sample with a goal of one or two tickets per sample. Average payout per ticket is $0.50 to $0.62.

 

Vendors are welcome to sell their other products at ChocoFest, only the samples are required to be chocolate.

 

ChocoFest supports home-based vendors with special pricing and a limited number of spaces. Please note that tables are located in the center of the room.

 

Booths are 10' wide X 5' deep with 8' back curtains, 1- 8' table and 2 chairs.

Terms & Conditions

Terms and Conditions

Mountainlion Events Ltd., as the host and organizer of ChocoFest, reserves the right to adjust the event details as necessary for health, safety, or logistical reasons.

By registering for booth space at ChocoFest, you (Vendor/Exhibitor) agree to and accept the following terms and conditions:

 

Vendor Handbook

  •          All vendors are required to read and agree to the guidelines outlined in the Vendor Handbook. By registering for ChocoFest, vendors acknowledge that they have reviewed and accept the terms and conditions in both the Vendor Handbook and this agreement. (will be sent to you upon submission)

 

Chocolate Tasting

  •          All food vendors are required to participate in the chocolate tasting program. Home based Vendors agree to provide a minimum of 250 chocolate samples per day (500 total) and will receive a 50% payout from the redeemed taste tickets.
  •       The majority of Taste Tickets will be pre-sold, allowing the organizer to give vendors a more accurate estimate of how many samples to prepare. Any leftover samples are the vendor’s responsibility, and Mountainlion Events does not guarantee that all samples will be redeemed.
  •          Vendors are encouraged to sell their other products at ChocoFest; however, only the samples are required to be chocolate.

 

Booths

  •          Booth cancellations received by January 25, 2025, will be eligible for a full refund, minus the application fee. Cancellations made before March 25, 2025, will receive a 50% refund. No refunds will be issued within 30 days of the event unless the show is canceled due to a government mandate.
  •          Only one company may occupy a designated booth space unless otherwise approved in writing by show management.
  •           Vendors may not sell or transfer their booth space without written consent. New vendors must submit their own applications..

  •          The exhibit space does not include electrical hookups, applicable health permits, insurance, or equipment required to meet food safety standards. These elements, if needed, must be arranged by the vendor.

Insurance

  •          Vendors must maintain $2,000,000 in liability coverage, naming Mountainlion Events Ltd. as insured. Insurance proof is due by April 1, 2025.

  •          Mountainlion Events Ltd. is not responsible for lost, stolen, or damaged vendor products, including refrigerated items and rental equipment.

 

Photography Consent

  •          By entering the event premises, all exhibitors consent to being photographed. All photos taken by Mountainlion Events employees or contractors are the property of ChocoFest and may be used for event marketing and promotional purposes.

 

Payments

  •          All invoices and show-related fees must be paid within the timeline specified by the event. Registration invoices are due immediately upon receipt, unless otherwise agreed to in writing by show management.

 

Termination and Removal

  •          Mountainlion Events management reserves the right to terminate the exhibitor reservation and services contract at any time, either before or during the event, for any reason. Exhibitors may be removed from the event for violations of health codes, failure to comply with show guidelines, or safety concerns.

 

Compliance

  •          All exhibitors and booth staff must adhere to government mandates, provincial laws, county by-laws, and facility rules while on the premises of Millennium Place during the event.

Application fees C$25.00 (+ tax and fees) Non-refundable There is a $25 non-refundable application fee which is charged upon application.
Electricity C$50.00 (+ tax and fees) Non-refundable Please indicate what appliances you will need electricity for. ex: freezer, microwave, etc.
