About the application

Please read all information carefully and follow all instructions when filling out and submitting the applications. Do not leave any area blank or assume we already have your information. The Vendor Committee limits the overall number and type of vendors for each event. Therefore, applications will be considered based on previous experience, menu items, and professionalism. We strongly encourage potential vendors to submit completed applications as soon as possible as spaces will fill up quickly - we are only accepting 30 Food/Drink/Dessert vendors for this event. We look forward to reviewing your application! This application is for FOOD,DRINK, DESSERT, and VEGAN vendors. There is no price difference between these vendor types.

Hours: Set up from 8 am to 11:30 am on Saturday, May 11, 2024
           Operation from 12 pm to 9 pm
Vendor Fees: Food vendor booth fees including application fee are $500 for the day. A mandatory cleaning deposit of $200 is fully refundable provided your booth space is left clean.

Process: 
1) Submit application below.
2) Applications will be reviewed by team.
3) You will receive an approval or regrets email to the address provided in your application by May 07, 2024. 
4) You MUST attend one vendor training orientation May 07, 2024). The session will be held live and via Zoom.

Terms & Conditions

1) INSURANCE: all vendors MUST have insurance - though you do not have to provide proof of insurance until after being accepted. All provided COIs must have a minimum limit of $1 million aggregated, and LIST THE FOLLOWING 2 ADDITIONAL INSUREDS (you will need to request that your insurance provider issues a specific COI for our event, do not simply send us your insurance details):
a) City of Suwanee, 330 Town Center Ave., Suwanee GA 30024
b) AAPI OUTREACH & ENGAGEMENT, LLC, 11632 Davenport Ln., Johns Creek, GA 30005
 
2) HEALTH & FOOD SAFETY: Each Vendor MUST follow the Department of Health and Safety Guidelines for temporary food service. Failure to follow these guidelines will lead to forfeiture of participation in the AAPI HERITAGE MONTH CELEBRATION, with refund. 
 
3) BOOTH RENTAL: Vendors will provide their own tents and tables as well as lighting and any signage/decorations. Electricity is available but you must bring your own extension cords. Water source is available as well. 
 
4) VENDOR TRAINING: Each vendor must attend ONE Zoom training to learn about and adhere to the AAPI HERITAGE MONTH CELEBRATION's vendor expectations. Date: 5/07/2024. the link will be emailed to your designated email. 
 
5) BOOTH PLACEMENT: BOOTH PLACEMENT IS DECIDED ON A FIRST-COME FIRST-SERVED BASIS. Vendor preferences will be taken into consideration, but the final decision for placement is by the Event Planning Committee. 
 
6) LOAD-IN: Detailed instructions for Load-In will be provided during the Zoom meeting. 
 
7) WEATHER: The event is rain-or shine. It is the responsibility of each vendor to bring weather-proofing gear and supplies as needed, such as tarps. The event may shut down temporarily in the event of severe and dangerous weather conditions, such as hurricanes or tornados, etc., and will re-open when conditions are deemed safe again. 
 
8)CANCELLATIONS/REFUNDS" There will be no refunds. Please ensure your availability and staff prior to committing. 
 
9) LIABILITY: All vendors are required to sign and submit a HOLD HARMLESS WAIVER (see below) for the AAPI HERITAGE MONTH CELEBRATION. 

Prices

Cleaning fees $200 All food vendors must pay an upfront and fully-refundable cleaning fee. It will be refunded after the event, provided the vendor booth space is left clean. Vendors should bring mats, ground tarps, brooms, and cleaning supplies to ensure the return of the cleaning fee post-event.
FOOD VENDORS: 1 DAY - 10' X 10' Space $500 Non-refundable All food vendors will bring their own 10' X 10' tent and tables/chairs. Water and a power source will be provided. NO GREASE is allowed in the park unless it is in a self contained mobile concession trailer or food truck. NO GLASS is allowed in the park.
