FOOD TRUCK / FOOD VENDOR - OUTSIDE SPACE

Terms & Conditions

FEES:
Fee includes (1) Food truck space only for show date. Electricity is limited (110 only available). Refunds will not be given unless the Park Department cancels the event. Permission granted for food and beverage sales on a case by case basis and proof of health permit and insurance naming the TOWN OF SCHERERVILLE, THE SCHERERVILLE PARKS AND RECREATION BOARD OF DIRECTORS AND ITS DULY AUTHORIZED AGENTS AND EMPLOYEES as certificate holder/ additional insured are required).
 
SET UP/TAKE DOWN:
Set up time is Saturday 6am-8am on craft show day. Vendors MUST unload their vehicle completely and move their vehicle to the designated parking area. A school bus will transport Crafters/Vendors back and forth from Redar Park to the Community Center. There will be a staff person checking the unloading area to ensure vehicles are moved in a timely manner. Take down must be completed by 4:00 pm on each event day. A set up email will be sent 2 weeks before the event. Food Trucks may have up to (2) vehicles parked on site.
 
RULES: 
No live animals permitted in the building. No decorations may be attached to any wall, metal, or wood surface. Direct sales businesses will be limited to one vendor per company (based on first come, first served). No crafter/vendor may sell guns, knives, or items considered weapons. All merchandise and displays must stay within designated spot. All tables must have a floor length table cloth for all tables with no boxes, extra merchandise, or debris exposed to common area. Assigned area must be kept clean throughout the event and all trash must be removed at the end of the event. No soliciting to other crafters/vendors or patrons through distribution of advertising for anything other than what you are selling in your location. Food vendors must participate for the full duration of the show. Those who fail to participate for the full duration of the show will be banned for one-year from future shows or events with the Schererville Parks Department. Not all spaces are guaranteed electricity. Schererville Parks and Recreation reserves the right to cancel a show due to insufficient registration (refunds issued if show is canceled). Registration is not complete without payment and a signed contract.
 
THE BIG No Nos 
(a list of things that is unacceptable and will have you removed from future shows and all monies lost)
 
1. Leaving Early
Tearing down early seems to be a trend at many other locations but not Schererville. This is extremely disrespectful to all parties involved and flat out rude. I understand things happen and you may need to leave but communication is required WITH Recreation Director (Josh) to accommodate that.
 
2. Arriving Late 
Each day the show starts at a specific time, your booth space should be ready for business by 8am on Saturday and 8am on Sunday. Ready for Business means that someone should be at the booth and it should be opened for business. 
 
3. Parking Incorrectly 
This is HUGE! Parking is a premium with this show and some think they are exempt from this. If you have a request in regards to parking ONSITE then you must speak with me (DON’T ASSUME). Every parking spot taken up by a crafter/vendor onsite is one less customer for you to see. Food Vendors are allotted (2) spaces onsite, all others must park at Redar Park.
 
4. Raffle Items
This is required from ALL Crafters and Vendors. This needs to be a physical item, not a coupon or gift card. These raffles are FREE to participate and so it’s a draw for customers to attend and sign up. The raffles are drawn the week after the show since the show is so large and no feasible way to draw them during the show. Food Vendors are NOT required to donate but are highly encouraged.
 
5. Respect
Every person and THING deserves this. BE KIND, please.
The 5 No Nos above are the specific policies that seem to always have to be reiterated every year. These things WE WILL NOT TOLERATE. This is the LARGEST SHOW in the REGION and we must have structure or you won’t succeed. Keep in mind we am very accommodating but you MUST communicate.
 
SALES TAX: All crafters/vendors are responsible for collecting and remitting all sales tax, if applicable.
 
REGISTRATION PROCEDURE:   Applications will be reviewed by the Schererville Parks and Recreation staff on an individual basis. Schererville Parks and Recreation reserves the right to limit the number of vendors selling similar products.  Not all applications may be accepted.  Wholesalers, flea market products, or previously worn/used merchandise will not be accepted.  The Schererville Parks and Recreation staff reserves the right to not accept applications for items or displays made with poor craftsmanship, look unprofessional, have too many of a certain category, or any other reason at the discretion of the Recreation Director.

 
CERTIFICATE OF INSURANCE
Food Vendors MUST provide a certificate of insurance naming the TOWN OF SCHERERVILLE, THE SCHERERVILLE PARKS AND RECREATION BOARD OF DIRECTORS AND ITS DULY AUTHORIZED AGENTS AND EMPLOYEES as certificate as the certificate holder and additional insured one month prior to the event (please see below for more details).  Please refer to the enclosed sample for minimum limits of coverage required by the town. All vendors will be responsible for having a posted and visible County Health Permit and a 10lb. ABC fire extinguisher with current certification tag. Vendors are expected to operate during event hours. Vendors will not be allowed to set up or operate if all requirements are not met and are subject to inspection by local fire department officials.  Application and food items sold are subject to approval.
 
Waiver & Release Of All Claims
I, the participant (the Vendor) in this event/program, recognize and acknowledge that there are certain risks of physical injury and I agree and assume the full risk of any injuries, including death, damages or loss which the participant (s) may sustain as a result of participating in all activities connected with or associated with such program. 
 
I, the Vendor assume the entire responsibility and liability for losses, damages, and claims arising out of injury or damage to the Vendor's unit, display, equipment and other property brought onto the Town's premises in this event/program, and agree to waive and relinquish all claims that I or the participants may have as a result of participating in the event/program against the above named entity and its agents, officers, servants, and employees, including any and all such losses, damages and claims arising out of such use.
 
I, the participant ("The Vendor") in this event/program agree to fully release and discharge the above named and its officers, agents, servants, and employees from any and all claims for injuries, including death, damage or loss which the vendor, its employees, or any participants may have or which occur to me or the participants on account of participation in the above programs. 
 
I, the participant ("The Vendor") in this event/program further agree to indemnify, hold harmless, and defend the above named entity and its officers, agents, servants, and employees from any and all claims resulting from injuries, including death, damages, and/or losses sustained by the vendor or participants and arising out of, connecting with, or in any way associated with the activities of the above event, including cancellation due to weather or unforeseen conditions beyond the control of the Parks Department.
 
I have read and fully understand the above event details and I fully understand that “This is a release of all claims”.

Your space will be on pavement. 100ft extension cord required, stakes and 25lb minimum weights required for all tents. Water is unavailable. Setup Date & Time: Saturday, July 27th, 2024 - 6am-8am
