The Spencer Pride Festival is a rural LGBTQ+ Pride Festival in south central Indiana. 100% family-focused, the festival features free parking and free admission. There is a huge outdoor marketplace, live entertainment, games, and much more!

About the application

This is the right place to be to register as a vendor for the 2024 Spencer Pride Festival!  The event takes place on Saturday, October 5, 2024 from 12 until 7 PM in downtown Spencer on the square of the Owen County Courthouse in downtown Spencer, Indiana.

2024 VENDOR DEADLINES
  • Early Bird Registration ends May 30th, 2024- 50% off basic registration fee (does not include additional accessories)
  • Standard Registration ends August 15th, 2024
  • Late Registration ends September 15th 2024 - 50% premium added to basic registration fee for late processing
No Registrations will be accepted after September 15th.
 
Please complete the form below so that we can gather the necessary information from you to process your registration.  This form will also require payment in order to submit. This can be done securely using a credit or debit card. If this is not acceptable for your organization, please contact us at Kate@SpencerPride.org for other options.
 
All registrations will be reviewed by Spencer Pride, Inc. within 15 days in order to ensure compliance with our Vendor Requirements. In the unlikely event that your registration is rejected, all registration fees will be refunded to you in full, minus processing fees.
 
Unless this application is initially rejected by Spencer Pride, Inc., no refunds shall be granted for any reason, including event cancellation or vendor withdrawal.
 
There will be a $15 fee for returned checks. If you pay by check and it is returned, payment will be required via money order for the original registration fees plus the $15 fee. We appreciate your understanding of this policy.

Terms & Conditions

  • All materials deemed offensive by Spencer Pride Inc. will not be permitted to be sold or displayed. Please keep “adult-oriented material” out of view of minors.
  • All Vendors and employees are expected to monitor themselves on all matters of conduct, attire, etc. We are not about censoring, but this is a "family event" and minors will be present.  Please help us keep our reputation as a truly family-friendly event.
  • Vendor is responsible for paying all fees, and obtaining all permits required by any federal, state or local governmental entity, including, but not limited to, the Town of Spencer. Spencer Pride Inc. is not responsible for the collection or submission of any such governmental fees.
  • Spencer Pride Inc. will maintain event insurance for the overall event, but Spencer Pride Inc. assumes no liability for Vendors or their invitees or licensees within or around Vendor’s allotted area.
  • Vendors shall not display, offer for review, or sell any illegal or contraband items. The laws of the State of Indiana and local ordinances of the Town of Spencer shall control. Vendors shall not display, offer for review, or sell any items that are unlicensed and/or copies/interpretations of licensed or registered items at any or all sites and operations of Spencer Pride Inc.
  • Vendors are required to unload items for their booth by 11:15 AM, be ready for customers by 11:30 AM, and agree to not clean up until 6:00 PM.  Vendors may choose to stay until 7:00 PM.  Vendors must have all materials removed by 9:00 PM.  No Vendor may “leave early” without the express permission of Spencer Pride, Inc.
  • Vendors are required to wipe down any materials provided by Spencer Pride (if provided) prior to departure. Vendors must also fold up any tables and/or or chairs provided by Spencer Pride and return them to the appropriate drop-off location.
  • Vendors must plan to secure their canopy to appropriate weights to prevent movement during wind or other inclement weather.  Failure to secure canopies could result in injury and therefore, this requirement must be adhered to.  Vendors not using a canopy should evaluate and implement whatever measures are necessary to ensure that their booth is secure.
  • Any organization that has previously broken terms and conditions of a Spencer Pride Inc. event, or who is a no-show at a Spencer Pride Inc. event without notice, will not be considered for participation at any Spencer Pride Inc. event. If you must withdrawal your participation for any reason, please ensure that you provide notice to Spencer Pride Inc. to avoid issues participating in the future.
  • Businesses/Organizations that do not agree with the mission of Spencer Pride will not be considered for participation at any Spencer Pride Inc. event and may be refused participation if the aforementioned disagreement is not discovered until after initial acceptance of the vendor.  No refund will be provided if vendors are refused for this reason.
Vendors who do not comply with these requirements will not be permitted to register for future Spencer Pride events.

Early Bird 10x20 Food Vendor $55 Non-refundable Street- Food Area (includes 10x20 booth space- Vendor provides mobile vending apparatus or canopy, table & weights to secure canopy)
Standard 10x20 Food Vendor $110 Non-refundable Street- Food Area (includes 10x20 booth space- Vendor provides mobile vending apparatus or canopy, table & weights to secure canopy)
Late Registration 10x20 Food Vendor $165 Non-refundable Street- Food Area (includes 10x20 booth space- Vendor provides mobile vending apparatus or canopy, table & weights to secure canopy)
All Inclusive Booth Accessories (Canopy, Table, and Chair Rental) $20 Non-refundable Spencer Pride provides a 10'x10' pop-up canopy, a 6' rectangular table, and two chairs. These items will be ready for setup by you upon your arrival. If you need assistance with setting up any of these items, please contact a Spencer Pride volunteer.
