Terms & Conditions

DEALERS ROOM INFORMATION
The dealer’s room will be located in Exhibit Hall A in the Greater Columbus Convention Center. Space will be sold by the boothspace; The space is 10’x10’x10’ and will come with 1 table, 1 chairs, and 2 Dealer’s Badges.  Dealers may not expand beyond the space provided to them, and the space will be clearly delineated. Due to limited space in our accommodations, any one dealer may purchase a maximum of 6 tables. A dealer may request a certain spot (if, for instance, you wish to L your tables), but Matsuricon cannot make any guarantees as to location, and any map made prior to con is for guidance and planning only. We reserve the right to make changes to the floor plan while maintaining the correct amount of space purchased by a dealer. Information on the loading and unloading location outside the Greater Columbus Convention Center will be provided by 08/15/24.
Signup opens on February 20th and closes on March 5th.  Accepted/Waitlist e-mails will go out on the 19th of March.

Thursday
08/29/24:
-Pull up begins at 1:45PM
-Load in will begin at 2PM and go until 11PM.
-Will need to have all out by 11:30PM
Friday 08/30/24:
-Room opens to dealers at 9AM
-Hours for VIP attendees are 12PM-7:00PM
-Hours to the public are 12:30PM - 7:00PM
-Room closes to dealers at 8PM
Saturday 08/31/24:
-Room opens to dealers at 9:00AM
-Hours to the public are 10:00AM-6:00PM
-Room closes to dealers at 7:00PM
Sunday 09/01/24:
-Room opens to dealers at 9:00AM
-Hours to the public are 10:00AM-4:00PM
-Teardown must be completed by 11:00PM
*Vendors room hours may be subject to change and all vendors will be updated on changes
PRICING
In line tables will be charged at $550 per table, Corner booths will be charged at $575 per table. There is a limit of 6 tables per dealer.  Electricity is purchased through the convention center and is paid to the convention center on day of setup.
Additional badges are sold at a cost of $45 per badge. Extra badges must be requested on the form below, as they may not be available during the setup times unless the prior arrangements have been made.

MANDATORY CONTRACT AGREEMENT
This contract is entered into agreement between ______________________________
(dealer) and the Company “Matsuricon” (organizer) on the date ______(day) __________ (month) 20____
(year). The place of agreed business is the Columbus Convention Center in Columbus, Ohio.
The dates of agreed business take place August 30-September 1, 2024. (the form below will take the place of this section for completing contract)
1) 80/20 rule.  Dealer agrees to keep grab bags (bags or boxes with a collection of merchandise that are unknown to the purchaser until after the purchase is made) to 20% or less of their total items being sold.  Dealer also agrees to allow inspection of grab bag contents if requested by either the Vendor’s Hall Department head or Convention Chairs.
2) Dealers will be responsible for obtaining any licenses, permits, or approvals required under local, state, and federal laws applicable to their activities at Matsuricon. Dealers will be responsible for obtaining any tax identification numbers and paying all taxes, license fees, and any charges that will come due to any governmental authority in connection with their activity at Matsuricon.  Dealer is responsible for having their own liability insurance during the duration of the convention.
3) Dealer acknowledges that the sale of legitimate merchandise may only be provided by persons wearing dealer badges. Only those with dealer badges and selected staff members may access the dealer’s hall before or after public hours. Additionally, access to the dealer’s room after allowed times for dealers may not be possible.
4) Dealer is required to NOT sell, or have for sale, illegitimate merchandise, PERIOD.
Matsuricon reserves the right to ask for the removal of any merchandise that is deemed illegitimate by international, federal, state and local laws.  Failure to adhere to this can be grounds for ejection from convention without refund.
5) Matsuricon reserves the right to refuse to rent booth space to dealers no less than 21 days before 08/11/24. Dealers that are refused will be notified and entitled to a full refund.
6) Matsuricon reserves the right to refuse sale of booth space to any dealer for any reason deemed appropriate by Matsuricon. Notification of such refusal will be available in writing.
7) Matsuricon reserves the right to re-arrange space and locations of dealer booths as necessary.
8) Matsuricon reserves the right to sell booths not claimed by dealer by 10AM on Friday, 08/30/24. Dealer will not be eligible for refund for unused space after 08/1/24.
 
9) Dealer agrees to request photo identification for any sales of weapon or weapon-like objects, and limit the sales of such items to those over the age of 18. Dealer also agrees to box and tape weapon-like merchandise in non-revealing packaging. Any dealer selling weapon-like objects agrees, by signing this contract, to follow all federal, state and local rules regarding the sales of weapon-like merchandise. Dealer agrees not to sell or have for sale adult products or pornographic materials to persons under the age of 18. Dealer agrees to check photo identification for persons wishing to view and purchase adult merchandise. Dealer agrees to
package adult merchandise in an inconspicuous fashion. Dealer agrees to post and/or distribute any information provided to them for free by Matsuricon regarding weapons/adult sales.
10) Dealer acknowledges that no items may be hung on the walls of the convention center, using any means, including but not limited to: scotch tape, masking tape, painters tape, thumbtacks, nails, sticky tack, or any other adhesive or mounting device. If the dealer wishes to display items such as posters, it is recommended that they bring easels, freestanding displays or other ways of displaying their merchandise.
11) By signing this contract, dealer releases Matsuricon, the Greater Columbus Convention Center, and all related staff members of those organizations from any blame of theft or damages of property during or outside business hours.
12) Dealer acknowledges that sales of merchandise outside of the appointed dealer’s hall are in breach of contract unless previous written arrangements have been made with Matsuricon.
13) Food/Drink cannot be sold in the vendor hall as per convention center policy without prior agreement made with the Convention Center’s catering services.  If you are wanting more information in regards to this please e-mail the vendor head for the contact information of the catering services.
14) The Booths have a height limit of 10 feet and cannot have a roof over the top of the booth (i.e. you must be able to see the ceiling of the vendor hall from within the booth)
15) The vendor must provide a list of the type of wares sold on the contract form in moderate detail.(ie.  Saying “Figurines” is fine, whereas “Toys” is a little too vague.)
16) Internet is not offered by the Greater Columbus Convention Center.  Cellular service is also available within Exhibit Hall A and a smartphone or hotspot can be used with usually little issue.
17) Music & Sound Levels: If any type music is being played in your booth, obtaining all necessary licenses from the copyright owner or licensing agency representing the copyright owner is a necessity. This is a requirement that narrows in on the playing of live, as well as recorded music and sound. Please note the stipulations outlined in the contract for additional information regarding Music and Sound Levels. Sound/Music levels of audio/video, and human vocals should be kept within the confines of the booth area without interfering with other Exhibitors. Exhibit Space management reserves their right to create a fair Exhibiting environment for all in the hall.
18) Matsuricon reserves the right to videotape or photograph in the vendor’s room for commercial purposes pertaining to the convention.
19) Vendor cannot resell boothspace they have purchased.  Sharing space with another vendor must be approved by vendor head ahead of time.
20) Dealer acknowledges that Matsuricon reserves the right to revoke this contract or any agreement in the event the dealer is found to be in breach of contract. Actions taken after revoking a contract by Matsuricon may include:
-Removal of dealer’s displays from dealer’s hall
-Removal, confiscation and voiding of dealer’s badges
-Ban of dealer from any Matsuricon sponsored event.
-Pursuit of legal action as allowed by law.
21) Refund policy on booth space is as follows:
Any refund request done before June 1st is entitled to a full refund on the booth cost
From June 2nd-July 1st ¾ booth price is available for refund.
From July 2nd-July 31st half booth price is available for refund.
August 1st-August 30th no refund is offered unless prior agreement is made.
By signing the line below, the dealer certifies that all information provided in the registration form below is correct to the best of his/her knowledge. This signature also signifies that the dealer has read and agrees to all parts of the above contract, and any amendments to the above contract made with reasonable notice before 8/01/24.
