Terms & Conditions

Katy Exchange Sponsorship Terms & Conditions By agreeing to sponsor the Katy Exchange event, the sponsor agrees to the following terms and conditions: Sponsorship Agreement All sponsorships are subject to approval by the City of Katy. Once approved, the sponsor will receive a confirmation and invoice for payment. The sponsor is required to complete payment by the specified deadline to secure their sponsorship. Payment Terms Sponsorship payment is due upon invoice receipt. Payments not received by the deadline may result in the forfeiture of the sponsorship and any associated benefits. Sponsorship fees are non-refundable, except in the case of event cancellation by the City of Katy. Sponsor Benefits The sponsor will receive the benefits outlined in their sponsorship package, which may include logo placement, social media mentions, promotional materials, and other agreed-upon items. Sponsors are responsible for providing their logos and materials by the specified deadlines. Event Cancellation or Postponement In the event of cancellation or postponement due to circumstances beyond the City of Katy’s control, sponsors will be notified promptly. Refunds may be issued at the discretion of the City of Katy, depending on the circumstances. Use of Sponsor's Name and Logo The sponsor grants the City of Katy permission to use their name, logo, and branding materials in relation to the Katy Exchange event, including event promotions, signage, and digital platforms. Sponsors are encouraged to review and approve all uses of their brand before publication. Sponsor Conduct Sponsors are expected to conduct themselves professionally and in a manner consistent with the values of the Katy Exchange event. Any behavior that disrupts the event or negatively impacts other sponsors, participants, or attendees may result in removal from the event, without refund. Indemnification The sponsor agrees to indemnify and hold harmless the City of Katy, its affiliates, agents, and employees from any and all claims, damages, or losses arising out of the sponsor's participation in the Katy Exchange event. Liability The City of Katy is not responsible for any loss, damage, or theft of sponsor materials, products, or property before, during, or after the event. Sponsors are responsible for securing their own property. Compliance with Local Laws Sponsors agree to comply with all applicable local laws, rules, and regulations in their participation in the Katy Exchange event. This includes obtaining any necessary permits or licenses for their activities. Force Majeure The City of Katy is not liable for any failure or delay in performance due to circumstances beyond its reasonable control, including but not limited to natural disasters, strikes, or government regulations. Modification of Terms The City of Katy reserves the right to modify these terms and conditions at any time. Any changes will be communicated to sponsors promptly. By completing the sponsorship application and submitting payment, the sponsor acknowledges and agrees to the terms and conditions outlined above.

Katy Champion Sponsor	$1,500.00	As the Katy Champion Sponsor, you will be our primary sponsor, ensuring your brand is prominently featured throughout the event. You’ll receive exclusive visibility and special access to the Katy Exchange audience. What you should expect: Logo placement: Prominent display of your logo on all event marketing materials, including print, digital media, and banners. Title Recognition: Above the Title “[Company Name] Katy Exchange” in all advertising. Event Signage: Largest logo placement on event stage, banners, and main entry points. Stage Naming Rights: Exclusive naming rights for the live music stage. Prime Booth Space: Premium, priority booth placement at the event. Social Media Recognition: Social media mentions across event social media channels, tagging your company. Exclusive Social Media Campaign: A dedicated post about your brand leading up to the event. Website & Email Exposure: Your logo and website link featured on our website and in all email communications. Press Release Mention: Inclusion in all press releases about the event. On-Site Recognition: Verbal recognition during live music performances and announcements. You will be on stage to present the checks to the beneficiaries of the event (2 local non-profits).
Gold Level Sponsor	$1,000.00	As a Gold Sponsor, your company will receive premium exposure while maintaining flexibility to interact with attendees in various ways. What you should expect: Logo Placement: Large logo displayed on event marketing materials, including flyers, banners, and digital media. Stage Recognition: Mention during opening remarks and closing remarks Booth Space: Premium booth location at the event. Social Media Shoutouts: Mentions and recognition across event social media channels, tagging your company. Signage at Key Locations: Branding at strategic locations at the event. Press Release Mention: Inclusion in all press releases about the event. Website Exposure: Your company’s logo and link included on the event website.
Silver Level Sponsor	$750.00	As a Silver Sponsor, your business will be represented in key areas of the event. This is a fantastic opportunity to increase your visibility within the Katy community. What you should expect: Logo Placement: Your company’s logo on selected event marketing materials (e.g., flyers and social media posts). Event Day Recognition: Signage at one event area (such as kids’ activities or food trucks). Social Media Shoutouts: 3 social media mentions, tagging your company. Website Exposure: Your company’s logo and link included on the event website.
Bronze Level Sponsor	$500.00	Our Bronze Sponsorship gives you the opportunity to support the Katy Exchange and gain local visibility at an affordable price.
