Booth location: Only pre-registered and pre-paid exhibiters will be able to choose their booth location. The event management may need to adjust your booth location without notification if a conflict occurs.
Booth Cancellation: If your company wishes to cancel their contract (booth space) the refund would be based on the cancellation date:
50% refund-90+ Days prior to show date 25% refund-60-89 Days prior to show date
0% refund-59 Days or fewer before show date
I have read the above agreement and understand that there will be NO REFUNDS within 59 days prior to the event including during the event for any reason. I also understand that Heat Wave Inc. dba Texas Heat Wave is not responsible for any lost, stolen, or damaged merchandise or property or for any injury that may occur to you your staff or volunteers that may be working for you. You will receive weekend passes based on the size of your booth. If you need additional passes, you may purchase up to 5 more at half price.
Your signature below acknowledges that you have read and understand the above agreement.
Sponsor Agreement: 50% of the booth fee and tent rental is required to reserve a tent and space. All fees must be paid in full three week prior to the event. There will be no sharing/renting/donating of booth space to other vendors. There will be no soliciting from any company/individual that did not officially purchase vending space. Any person(s) doing so, will be asked to purchase booth space, or will be escorted from the premises.

Damages: Full or partial damage to tents, generators, or other property due to negligence of the sponsor, vendor, entrant, his or her agents or employees or volunteers, or damage to the property because of vandalism, malicious mischief or theft shall cause the sponsor, vendor, entrant, or participant to become liable for items missing or such damages suffered.
The Texas Heat Wave Reserves the right to restrict Vendors Sponsors, entrants, participants, or spectators from all Texas Heat Wave activities. Entrants are subject to eviction from the premises if behavior is deemed objectionable by the event management because of environmental damage caused by the Vendor, Sponsor, entrant, participant, or spectator by his or her person or vehicle or any other reason, or if the Vendor, Sponsor,
participant, spectator, or entrant’s appearance, or that of his or her vehicle, or his or her conduct is considered to be unbecoming or damages the image the show. This reservation includes persons, things, conduct, printed materials, or any act or item considered to be of poor character and damaging the event and well-being of its participants by the management. In the event of any eviction or restriction, the Texas Heat Wave is not liable to refund any entry fees or any other fees except at its own discretion.
In the event Heat Wave Inc dba Texas Heat Wave or its representatives find it necessary to sue in the court of law to enforce collection of moneys stipulated herein or otherwise to enforce the terms of this agreement Sponsor, Vendor, Entrant, Participant or Spectator agrees to pay reasonable attorney fees pursuant to such actions.
LIABILITY WAIVER: In consideration of the right to participate, vendors, sponsors, entrants, participants, or spectators, through the execution of this entry form, hereby release and discharge the Heat Wave Inc dba Texas Heat Wave or anyone associated with Heat Wave Inc. dba Texas Heat Wave from any and all known and unknown damages, damaged merchandise and or property, injury that my occur to you and your staff or volunteers that may be working for you, losses, judgments and/or claims from any cause whatsoever that may be suffered by any vendor, sponsors, entrants, participants, or spectators to his/her person or property. Further, each vendor, sponsor, entrant, participant, or spectator expressly agrees to
indemnify all the foregoing entries, firms, persons, bodies, and sponsors of and from all liability resulting from the conduct of vendor, sponsor, entrant, or any participant assisting or cooperating with vendor, sponsor, entrant, or participant under the direction or control of Vendor, Sponsor, entrant, or participant.
