Polar Express: A Winter Wonderland – Sponsorship Terms & Conditions By submitting a sponsorship application for Polar Express: A Winter Wonderland on December 20, 2025, at The Mill on Etowah, the applicant agrees to the following terms and conditions: Sponsorship Approval -All sponsorship applications are subject to approval by Goin’ Social Events. -Submission of an application does not guarantee acceptance as a sponsor. Payment & Non-Refundable Fees -Sponsorship fees must be paid in full according to the agreed-upon schedule. -All sponsorship fees are non-refundable, including in the case of personal cancellation by the sponsor. -In the event the organizers cancel or reschedule the event, sponsors may be offered the option to transfer their sponsorship to a future event, but no refunds will be issued. Event Participation -Sponsors are responsible for providing their own booth, display materials, signage, and any promotional items. -Booth placement and event layout will be determined by the organizers and are subject to change at their discretion. -Brand Representation -Sponsors are expected to conduct themselves in a professional and family-friendly manner. -All displays, signage, and promotional materials must be appropriate for a family-oriented holiday event. Liability & Insurance -Sponsors agree to hold Goin’ Social Events, The Mill on Etowah, and their representatives harmless from any liability, loss, or damage arising from their participation. -Sponsors are responsible for maintaining their own liability insurance and coverage for their booth, products, and staff. Event Cancellation & Changes -The organizers reserve the right to reschedule or cancel the event due to unforeseen circumstances, including but not limited to severe weather, safety concerns, or local regulations. -Transfers to future events may be offered, but no refunds will be issued. Promotion & Marketing -Sponsors agree to allow the use of their company name, logo, and likeness in event-related marketing and promotional materials. -Sponsors may not claim affiliation with the event outside the terms outlined in the sponsorship agreement. Compliance with Laws -Sponsors must comply with all federal, state, and local laws, regulations, and venue rules during the event. -Any violation may result in removal from the event without refund. By submitting a sponsorship application, the applicant acknowledges that they have read, understood, and agree to these terms and conditions, including that all fees are non-refundable.
