WeebCon Texas returns to the Gaylord Texan Resort. We have reimagined our Exhibitor Process to ensure everyone who works alongside WeebCon has the experience they deserve.

About the application

Thank you so much for wanting to help make WeebCon an amazing show! No anime convention would be the same without amazing community based events like Idol Shows, Fashion Shows, and events that are bigger than a standard Panel.

Please consider all of the following prior to signing up:

 

Requirements:

  • Head Show Runners must check in at the info desk to receive an info packet about their room 1 HOUR before the Event is scheduled

Room Info:

  • Show Rooms will be on the third level of show
  • Seating around 100 people each unless more is requested and approved
  • Depending on the event, and event type, certain shows my be granted more space, such as karaoke.
  • Specific Rooms are subject to change, but all changes will be communicated directly to the Head Show Runner

ALL info provided will be used by our staff to contact Head Show Runner for all changes and updates.

Terms & Conditions

All applications are subject to review by our Programming Committee and the Director of Events. All events must adhere to WeebCon's code of conduct, rules and regulations - which include and do not limit to the following: 

Eligibility

  1. Applicants must be at least 16 years of age by April 3rd, 2026.
  2. WeebCon reserves the right to request proof of age or identification at any step in the panel process. 

 

Content & Conduct

  1. All event content must be appropriate for the rating selected (All Ages or 18+). 
  2. Misrepresentation of content may result in cancellation of the event.
  3. Event must not include hate speech, harassment, or discriminatory language.
  4. Explicit content is permitted only in 18+ designated time slots and spaces.
  5. Content must comply with all applicable laws concerning: Incest, Sexual Assault, Rape, Child Porn..etc.
  6. 18+ events must enforce age restrictions by agreeing to WeebCon staff checking VAILD IDs at the door.

Approval & Scheduling

  1. Submission of a application does not guarantee acceptance.
  2. The WebCon Programming Committee reserves the right to approve, deny, or request edits to any submission.
  3. Accepted applications will be scheduled at the discretion of the Programming Team.
  4. Show Runner may indicate preferences, but final scheduling decisions are made by WeebCon.

Responsibilities

  1.  Show Runners are responsible for their own setup, preparation, and materials.
  2. Head Show Runner must arrive at least 1 HOUR prior to their scheduled start time to check in at the Info Desk to receive panelist packet - packet is expected to be returned or a fee may incur.
  3. If a Show Runner is unable to attend, they must notify the Programming Point of Contact no less than 24 hours to panel time - failure to notify or attend Event will suspend any benefits or badges. 
  4. All show participants agree to maintain good hygiene and professionalism during their presentation and interactions with attendees.
  5. The Show Runner and Participants of event agrees to be sober and not under any influence of drug or alcohol while presenting their event.

Technical Support

  1. Basic AV equipment (such as microphones, projector, or screen) may be provided depending on the venue. Specific requests must be made during submission. 
  2. WeebCon does not guarantee access to internet or additional equipment unless otherwise stated.
  3. Show Runner are responsible for bringing necessary adapters, cables, or backup files.

Attendance & Compensation

  1. If you host a Event: You and a assistant will get 3 Day badge.
  2. Additional Complimentary badges may be offered at the Convention’s discretion but are not guaranteed.
  3. Travel, lodging, and other expenses are the sole responsibility of the panelist.
  4. Show Runners are not permitted to trade badges or be able to skip lines at any events.

Liability & Indemnification

  1. WeebCon is not responsible for lost, stolen, or damaged property.
  2. Show Runners assume all risks associated with their panel and agree to release WeebCon, its staff, and affiliates from liability.
  3. Show Runners agree to indemnify and hold harmless Weebcon from any claims resulting from their actions, conduct, or content.

Code of Conduct

  1. Show Runners and particpants must adhere to the WeebCon's Code of Conduct at all times.
  2. Disruptive, unsafe, or inappropriate behavior may result in cancellation of the event and possible removal from WeebCon.

Changes & Cancellation

  1. WeebCon reserves the right to change event times, locations, or technical availability at any time.
  2. WeebCon may cancel event at its discretion due to emergencies, scheduling conflicts, or policy violations.
