Meet-Up Applications

We are very glad you want to host an official meet up at WeebCon!

Meet ups come in many forms:

• Cosplay meet up
• Fandom meet up
• Clash of fandom meet up
• Card game meet up
• VTuber fan meet up
• Faction type meet up

the only limit is your imagination! 

Meet-up are a lot of work and we appreciate you gathering everyone together.

Note:

Even if your meet-up isn't officially accepted and put on our schedule we encourage you still reach out to members via social media and discord to meet up and have fun! 

All Official WeebCon Meet-Ups are subject to review by our Programming Committee and the Director of Events. All Meet-Ups must adhere to WeebCon's code of conduct, rules and regulations - which include and do not limit to the following: 

Eligibility

1. Applicants must be at least 16 years of age by April 3rd, 2026.
2. WeebCon reserves the right to request proof of age or identification at any step in the panel process. 

Meet-Up Content & Conduct

1. Misrepresentation of Meet-Up may result in cancellation of event.
2. Meet-Ups must not include hate speech, harassment, or discriminatory language.
3. Meet-Ups must comply with all applicable laws concerning: Incest, Sexual Assault, Rape, Child Porn..etc.

Approval & Scheduling

1. Submission of a Meet-Up application does not guarantee acceptance.
2. The WebCon Programming Committee reserves the right to approve, deny, or request edits to any submission.
3. Accepted Meet-Ups will be scheduled at the discretion of the Programming Committee.
4. Applicants may indicate preferences, but final scheduling decisions are made by WeebCon.

Responsibilities

1. Meet-Up Lead must arrive at least 1 HOUR prior to their scheduled start time to check in at the Info Desk to receive Participation Packet - packet is expected to be returned or a fee may incur.
2. If the Meet-Up Lead is unable to attend, they must notify the Programming Point of Contact no less than 24 hours to event time - failure to notify or attend event will suspend any benefits or badges.
3. Meet-Up Lead and their Co-host agree to maintain good hygiene and professionalism during their event and interactions with attendees.
4. Meet-Up Lead and their Co-host agree to be sober and not under any influence of drug or alcohol while presenting their panel.

Liability & Indemnification

1. WeebCon is not responsible for lost, stolen, or damaged property.
2. Applicants assume all risks associated with their Meet-up and agree to release WeebCon, its staff, and affiliates from liability.
3. Applicants agree to indemnify and hold harmless Weebcon from any claims resulting from their actions, conduct, or content.Code of Conduct

1. Meet-Ups must adhere to the WeebCon's Code of Conduct at all times.
2. Disruptive, unsafe, or inappropriate behavior may result in cancellation of the event and possible removal from WeebCon.

Changes & Cancellation

1. WeebCon reserves the right to change Meet-Ups times, locations, or technical availability at any time.
2. WeebCon may cancel Official Meet-Ups at its discretion due to emergencies, scheduling conflicts, or policy violations.

By submitting a Meet-Up application, you acknowledge that you have read, understood, and agree to these Terms & Conditions.
